Illustrated Excel 2016 | Module 6: SAM Project 1a Wellness Spa MANAGING WORKBOOK DATA “Detailed Teaching Instructions” have been prepared for NGU students to enhance the learning experience. Red, green (for MAC users), and italic text are additional details to the SAM instruction documents designed to “teach” as you work. The italic and red words are the words your instructor would likely speak while demonstrating the skill in a classroom setting. There is usually more than one way to complete a task. Your instructions will indicate one method; however, you should never be afraid to experience with other shortcuts to accomplish the same task. When in doubt, just google for answers! PC users will find many additional commands and options from the dialog box launchers that appear in the lower right corner of many ribbon groups. Click the button for a dialog box to reveal additional choices. MAC users should turn on Ribbon Group Names if you have not already done so. Move the mouse pointer to the top left of the screen. Click Word/Preferences. Click View, check “Show group titles.” Once you turn on group titles, the titles will appear across the bottom of the ribbon and will remain until you turn them off again. The “Detailed Teaching Instructions” will mention group names to make it easier for you to find commands. MAC users will find many additional commands and options from the Menu Bar that appears across the top of the page when the mouse pointer is moved to that area. Move the mouse pointer to the top left and watch for the menu bar to appear. The SAM account is designed primarily for PC use; however, your instructor has included details for use with MAC computers. Using a PC type keyboard and mouse will make some steps easier and will allow you to use certain PC keyboard and mouse shortcuts. If you have problems using a MAC for your SAM projects, you should use a PC on campus. FOLLOW THE GETTING STARTED INSTRUCTIONS AND SAVE THE FILE BEFORE MOVING FORWARD! GETTING STARTED (Go to your SAM Account Activity List and select the link for this project, click Start) Open the file IL_EX16_6a_FirstLastName_1.xlsx, available for download from the SAM website. Save the file as IL_EX16_6a_FirstLastName_2.xlsx by changing the “1” to a “2”. o If you do not see the .xlsx file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically. With the file IL_EX16_6a_FirstLastName_2.xlsx still open, ensure that your first and last name is displayed in cell B6 of the Documentation sheet. Illustrated Excel 2016 | Module 6: SAM Project 1a PROJECT STEPS 1. You are working as an intern during the summer in the accounting department of Wellness Spa. The company is using an Excel workbook to analyze its revenue for the first half of the year. Your manager, Lexie, has asked you to protect the workbook and provide documentation to make the revenue data more secure and easier to understand. Switch to the January worksheet and unprotect the worksheet. Instructor Explanation: When you open this workbook, the January worksheet has already been protected and you will unprotect the worksheet. Here’s How: Click the January tab to move to the January worksheet On the Review Ribbon, Changes Group, click the Unprotect Sheet Button (MAC users will notice the lock symbol on the tab is removed) 2. The senior masseuse wants to review the January revenue for her department. Lexie asks you to make it easy to display only the massage revenue. Hide rows 8:24, then select cell A1. Create a custom view using Massage_Revenue as the name. View the January worksheet using the custom view All_Services_Revenue. Instructor Explanation: In Excel it is possible to hide rows and columns you do not need to see. The rows or columns are not deleted and are available to unhide at any time. Once you have hidden the rows and columns you do not wish to view, it is possible to save the view as a custom view. That way, you can get back to the view with minimal effort. The instructions below will walk you through using the ribbon commands, however, there are shortcuts such as right-clicking that will allow you to accomplish the same task. Here’s How: Position the mouse pointer to the left side over the header for row 8 until you see a black arrow pointing to the right Click and drag down to row 24 to select rows 8 through 24 On the Home Ribbon, Cells Group, click the Format Button Hover over Hide and Unhide, select Hide Rows On the View Ribbon, Workbook Views Group, click the Custom Views Button Name the view: Massage_Revenue (MAC users click the + sign to go to the name box) Click OK On the View Ribbon, Workbook Views Group, click the Custom Views Button Select to view: All_Services_Revenue 3. Unhide the May worksheet. Instructor Explanation: Observe the worksheet tabs and notice there is not a visable worksheet for May. The May worksheet has been hidden. You learned to hide rows and columns in the previous step, and now you will see that worksheets can be hidden as well. Here’s How: Illustrated Excel 2016 | Module 6: SAM Project 1a Right-click on any worksheet tab (MAC users tap two fingers in the lower part of the track pad) Click Unhide Click May Click OK 4. The spa’s owner recently decided to change the company name to Wellness Spa & Salon. The spa name appears in the footers of each worksheet and needs to be removed. Lexie asks you to inspect the workbook and remove the footer information. Use the Document Inspector to remove all footer information from the workbook. [Mac Hint: The Document Inspector is not available on Excel for Mac, so manually remove all footers from the workbook.] Do not remove anything else in the Document Inspector content list. (Hint: Do not save changes when the dialog box appears.) Instructor Explanation: If you plan to share an electronic copy of a Microsoft Office document, it is a good idea to take the extra step of reviewing the document for hidden data or personal information that might be stored in the document itself or in the document properties (metadata). Because this hidden information can reveal details about your organization or about the document itself that you might not want to share publicly, you might want to remove this hidden information before you share the document with other people. Here’s How: 5. Click File, Info, Check for Issues, Inspect Document, Yes Click Inspect In the Headers and Footers section, click Remove All Click Close MAC users click the Insert Ribbon, Text Group, Header & Footer Button Remove the text from the footer area Click into the regular part of the worksheet Move the May worksheet so that it appears between the April and June worksheets. Instructor Explanation: Worksheets can be positioned where you need them to be. You will also want to know that right-clicking a tab presents several options for working with and formatting the worksheets. Here’s How: Position the mouse pointer over the May tab Click and drag to move the May worksheet between April and June 6. Lexie asks you to change the entries in the first cell of all of the worksheets to reflect the spa’s new name. Group the January, February, March, April, May, and June worksheets, and then change the text in cell A1 to Wellness Spa & Salon. (Hint: Do not type the period.) Instructor Explanation: If you were to flip through the worksheets, you will see that the monthly workshets have the company name in cell A1. If the name on each Illustrated Excel 2016 | Module 6: SAM Project 1a monthly worksheet needs to be changed, it is not necessary to edit each one separately. Here’s How: Click to select the January worksheet tab Press and hold the Shift Key Click to select the June worksheet tab (you have selected all worksheets from January to June Click in cell A1 to select the cell Type: Wellness Spa & Salon Press Enter Check each worksheet to observe the name change on all selected worksheets 7. With the worksheets still grouped, add the Sheet Name to the center header section. Switch back to Normal View if necessary. Instructor Explanation: You can add document information by using headers and footers that appear in the top or bottom margin area of the page. Here’s How: 8. If necessary, select worksheets January to June On the Insert Ribbon, Text Group, click the Header & Footer Button Observe that you have changed from Normal View to Page Layout View Click in the center of the header section On the Design Ribbon, Header & Footer Elements Group, click Sheet Name Observe the code that will print the name on the worksheet tab in the header Double-click in the normal part of the worksheet to get out of the header On the View Ribbon, Workbook Views Group, click the Normal Button With the worksheets still grouped, format cell A1 using the Green, Accent 1, Lighter 60% (5th column, 3rd row of the Theme Colors palette) fill color. Here’s How: 9. If necessary, select worksheets January to June Click to select cell A1 On the Home Ribbon, Font Group, click the Fill Color drop-down arrow Select Green, Accent 1, Lighter 60% With the worksheets still grouped, set a 1” custom margin on the Top of the worksheets. Ungroup the worksheets. Here’s How: 10. If necessary, select worksheets January to June On the Page Layout Ribbon, Page Setup Group, click the Margins Button Click Custom Margins In the Page Setup dialog box, change the top margin to 1” Click OK Lexie is considering adding a hyperlink to each worksheet to assist with navigation in the workbook. She asks you to experiment with this task. Illustrated Excel 2016 | Module 6: SAM Project 1a Switch to the January worksheet. Add a hyperlink to the text in cell A1 that links to cell A1 of the February worksheet. The ScreenTip should read Next Month and the text in the cell should remain “Wellness Spa & Salon”. Here’s How: Click to select the January worksheet tab (It may be necessary to click the Documentation tab first to deselect the group, then click the January tab) Click to select cell A1 On the Insert Ribbon, Links Group, click the Hyperlink Button On the left side of the Insert Hyperlink dialogue box, click the “Place in This Document” Button (MAC users click the “This Document” tab) Under “Type in the cell reference:” check to see that A1 is the cell reference and if not type: A1 Under “Or select a place in this document” click on February Click the ScreenTip Button in the upper right corner of the dialogue box Type: Next Month Click OK Click OK 11. Format the hyperlink in cell A1 in the January worksheet using the Calibri font, 18 pt. font size, and Green, Accent 1, Darker 50% (5th column, 6th row of the Theme Colors palette) font color. Test the link to move to cell A1 of the February worksheet. Here’s How: Click to select the January worksheet tab Hover over cell A1 and right-click (MAC users tap two fingers in lower section of track pad) Select Format Cells Change the font to Calibri, and the point size to 18 pt Change the Font Color to Green, Accent 1, Darker 50% (5gh column, 6 th row) Click OK 12. Lexie informs you that the May revenue figures are final except for the promotions data. She asks you to secure the revenue figures in the May worksheet while allowing the May promotions data to be changed in the future. Switch to the May worksheet, and then unlock the range B23:D23. Instructor Explanation: By default, all cells in a worksheet are locked. You would not know that until the worksheet is protected, at which time you would not be able to change data in any locked cell. You will unlock a range of cells before protecting the worksheet, allowing those cells to be changed after the worksheet has been protected. Here’s How: Click to select the May worksheet tab Drag to select cells B23:D23 On the Home Ribbon, Cells Group, click the Format Button, click Lock Cell to toggle off the lock Illustrated Excel 2016 | Module 6: SAM Project 1a 13. Protect the May worksheet so that users do not need a password and they can select both locked and unlocked cells. Here’s How: On the review Ribbon, Changes Group, click the Protect Sheet button Click OK 14. The credit card data for the month of June isn’t available yet. Lexie plans to use the workbook in a presentation and asks you to temporarily hide that worksheet. Switch to the June worksheet, then hide the June worksheet. Here’s How: Right-click the June worksheet tab (MAC users point to the June tab and tap two fingers in the lower section of the track pad) Click Hide 15. Lexie asks for your help in making the workbook easier to identify when searching her computer. You will use document properties for this purpose. Add Spa Revenue as a category in the workbook properties. Here’s How: Click File to go to the Backstage View (MAC users click the File menu, Properties, Summary Tab) Click in the Category space Type: Spa Revenue Press Enter If necessary, press the ESC Key on the keyboard or the Back Button on the screen to return to normal view 16. Lexie asks you to protect the workbook structure so that sheets can not be added or deleted. Protect the workbook structure without using a password. Instructor Explanation: Protecting the workbook is different from protecting the worksheet. When the workbook is protected, no changes can be made to the structure of the workbook such as naming tabs, color coding tabs, rearranging tabs, or hiding tabs. Here’s How: On the Review Ribbon, Changes Group, click the Protect Workbook Button Click OK Your workbook should look like the Final Figures on the following pages. Save your changes, close the workbook, and then exit Excel. Follow the directions on the SAM website to submit your completed project. Illustrated Excel 2016 | Module 6: SAM Project 1a Final Steps Check and compare your completed document to the Final Figure at the end of this document Save the document to update the changes you have made (If you saved and named the document properly from the beginning instructions you can click the Save Button – or – Ctrl/S or MAC users Command/S) Close the document From the SAM Project Start panel in the SAM account, browse to select the file (If necessary, you can reopen the start panel by going back to the SAM Activity List and selecting the project name) Verify the name of the file is exactly as shown to the left of the browse button Occasionally the words “Copy of” will appear before the file name. If so, you will need to rename the file and delete “Copy of” from the file name. Select the file Submit the project and verify the submission by the three green checkmarks Close the “Assignment Submitted” panel In the SAM account, go to the Gradebook, select your section, and locate the submitted project to view the grade If your score was not 100%, go to Reports Locate the most recently submitted project and click to open the grade report Review the report for errors In some of your projects, the scoring has been disabled for tasks requiring specific colors, themes, or tasks not available on a MAC. If you do not select the specified choice due to the choice being not available on your system, the report will show that step in red. However, you will notice to the right side that it is scoring 0 of 0 points. In those cases, the choice you made will not count against you. To make corrections and resubmit: For addition instruction and training, locate the most recently submitted project under Reports and click the “Study Guide” button to the far right Review the training for instruction to correct any errors (Use the Remediation column for textbook instruction, and the Training column for video training Make the corrections in the original document and Save the document Close the document Resubmit the project You have three submissions for each project. The highest grade will be recorded in the gradebook. After the due date or after three submissions, the project will no longer be available in the SAM activity list. If you do not submit the project, your grade will be “0” and will appear as soon as the due-date for the project has expired. Reminder: Once you submit a project for the first time, use the “Study Guide” button in the Reports section for instruction to learn the specific tasks you need to know. Use the links in the “Remediation” column for textbook information, and the links in the “Training” column for video demonstrations. After making the corrections and submitting a second time, if you still have questions, write your instructor and explain your questions. You should attempt to make the corrections on your second submission BEFORE contacting your instructor.
