Introduction to Microsoft PowerPoint Microsoft Office PowerPoint is presentation software. It is a package of MSWord. PowerPoint uses a graphical approach to presentations in the form of slide. Steps to Open PowerPoint Step 1 - Click the Windows "Start" button Step 2 - Select “All Programs.” Step 3 – Go to “Microsoft Office.” Step 4 - Click on “Microsoft PowerPoint 2007” icon to open PowerPoint. Power Point 2007 Interface Office Button: Choose this button to open a new presentation, save the presentation, and access PowerPoint options. Quick Access Toolbar: Also known as the QAT, this is a customizable toolbar placed by default next to the Office Button. Ribbon: The Ribbon has tabs which in turn contain groups of buttons for various options -- some groups also contain galleries (for example galleries for Themes and Theme Colors). Slides/Outline Pane: The Slides tab shows thumbnails of all the slides in the open presentation. The Outline tab shows the same slides in outline view. Note: If the Slides and Outline pane is not visible, click the Normal button in the View tab of the Ribbon. Status Bar: A horizontal strip that provides information about the open presentation like slide number, applied Theme, etc. It also includes the view and zoom options. Notes Pane: Directly below the active slide, this is where you input speaker notes for the current slide. None of this content is visible on the actual slide while presenting -- although it is visible in both Notes Page view and Presenter view. View Buttons: Essentially there are three view buttons displayed right beneath on the status bar with zoom-in and zoom-out. Slide Area: Displays the active slide. Task Pane: The Task Pane contains more options and appears when you choose an option in one of the Ribbon tabs -- for example if you click the Clip Art button on the Insert tab of the Ribbon, the Clip Art task pane opens (as shown in the figure above on this page). Mini Toolbar: This toolbar is not shown in the figure above -- it's a semitransparent floating toolbar that spawns right next to the cursor -- and it is also available instantly with a right-click. More about View buttons: Normal View - Clicking this enables Normal view, Shift-clicking this gets you to Slide Master view. Slide Sorter View - Clicking this displays zoom able thumbnails of every slide in the open presentation. Shift-clicking this button gets you to Handout Master view. Slide Show from current slide - Show the presentation as a full screen slideshow from the current selected slide. Shift-clicking brings up the Set Up Show dialog box. Creating a slide from scratch In the next step you will create a Title Slide for your presentation using the Blank Presentation template. You will be working in Slide View. Click on Office button. Highlight new option (New presentation window appears) Choose Blank Presentation. Adding slide Click on Home Tab Go to Slides Group Select “New Slide” button from Dropdown list appears Choose “Title Slide” Moving from slide to slide Let's say you've created several slides for your presentation. You've finished working on the last slide, and now you want to take a look at your other slides. Here's how you move from slide to slide in Slide View. To move to a previous slide: 1. Click the upper double-arrow button on the lower right corner of the PowerPoint window. The previous slide will appear. To move to the next slide: 1. Click the lower double-arrow button on the lower right corner of the PowerPoint window. To delete a slide: Select the slide you want to delete. Click the Delete command in the Slides group on the Home tab. You can also delete a slide by pressing the Delete key on your keyboard. Saving your presentation: If you are saving a document for the first time, you will need to use the Save As command; however, if you have already saved a presentation, you can use the Save command. To use the Save As command: Step 1 - Click the Microsoft Office button. Step 2 - Select Save As. A menu will appear. Step 3 – Enter a file name to save the presentation. Step 4 – Click the Save button. Theme: It is a set of design elements. It is used to change the font, color, style for creating a modern look for your presentation. To apply a theme: Select the Design tab. Locate the Themes group. Each image represents a theme. Click the drop-down arrow to access more themes. Click a theme to apply it to the slides. Background styles Background styles can be added to your slides after a theme is applied. To apply a background style: Click the Background Styles command in the Background group on the Design tab. Click a style to select it. The new background will appear in the slides. To insert a picture from the Ribbon: Select the Insert tab. Click the Insert Picture command in the Illustrations group. The Insert Picture dialog box will appear. Locate and select the picture you want to use. Click Insert, and it will appear on the slide. To insert a clip art from the Ribbon: Select the Insert tab. Click the Clip Art command in the Illustrations group. The Clip Art task pane will appear on the right. Enter keywords in the Search field that are related to the image you want to insert. Click the drop-down arrow next to the collections field. Select every where to make sure PowerPoint searches your computer and online resources for an image that meets your criteria. Click the drop-down arrow in the media file types field. Deselect any file types you do not want to see. In this example, we only want photographs, so we'll deselect the other options. Click Go. A list of clip art images related to the search terms is displayed. Click a clip art image to insert it, or click the drop-down arrow next to the clip art and select Insert from the menu. The clip art will appear in the slide. Working with WordArt and Shapes WordArt allows you to create stylized text with textures, shadows, and outlines. It can be applied to text on any slide. Additionally, in PowerPoint you can insert a variety of shapes such as lines, arrows, callouts, stars, and basic shapes, including rectangles and circles. To apply a WordArt style: 1. Select the text you want to modify. The Format tab will appear. 2. Select the Format tab. 3. Click on WordArt style More drop-down arrow to see all possible WordArt styles. 4. Choose word art style. To change the fill color of a WordArt style: 1. Select the text you want to modify. 2. Click the Text Fill command in the WordArt Styles group. 3. Move your cursor over a color option to see a live preview on the slide. 4. Click a color to select it. OR select from the following: No Fill: This option will leave the WordArt text without a fill color. More Fill Colors: This opens a dialog box of color choices you can use as a fill color. Picture: This opens the Insert Picture dialog box. From here, you can select a picture from your computer to use as the fill background. Gradient: This displays a submenu of various gradient options that change how the fill color appears. Textures: This displays a submenu of various textures you can apply to WordArt text.
