Once created, you should receive an email containing your Login Email as well as your Activation Code. You may not register without your unique Activation Code and Login Email. 1. Navigate to my.dotStaff.com. 2. Select the Activate Account hyperlink: Activate your Account 3. Complete the Activate Account Form in its entirety. www.dotStaff.com All fields are required for account activation. Account Notification Email: Enter a valid email here for notifications of password changes and product news/updates A new password requires at least 3 of the following: Letter (a-z); Number (0-9), Special Character (except “@” symbol), Upper Case Letter (A-Z). If you are unsure about how to complete a certain cell, hover over its associated blue question mark, and an explanation will appear. 4. Upon completion of the cells, place a check in the box beside the “I agree to dotStaff User Agreement” (click the hyperlink to review the User Agreement if you wish) and then click the “Activate” button. www.dotStaff.com Page 2 of 6 How to Login T O D O TH I S D O T HI S 1. Go to www.dotStaff.com, and click the “Login” button. 2. Enter your email address on the Username line. 3. Enter your password on the password line. 4. Click the “Login” button. How to Reset Your Password T O D O TH I S D O T HI S 1. Go to www.dotStaff.com and click the “Login” button. 2. On Login form, enter your email address in the Username cell. 3. Select the “Reset password” link. Change Your Password 4. Answer the two Security Questions. 5. Click the Continue button, (or Back if you wish to return to the Login form). 6. At the prompt, create a new password. 7. Confirm the new password. 8. Press the Login button, (or the Back button, if needed). How to Add a New User or Resource T O D O TH I S D O T HI S A Vendor Administrator may add a User or a Resource while a Vendor User may only add a Resource. A Vendor User might be a Recruiter, an Account Representative, or an Accounts Receivable Representative. 1. Navigate to Records Mgt > View Users. 2. Click the “Add” button. 3. (Vendor Administrator only): Select the applicable Account type, User or Resource, then click the “Next” button. Add an Account 4. Complete the Account information form. All fields are required. The *Account Notification Email is where the Account Activation email will be sent, which contains the User’s Activation code. 5. Choose Yes or No from the *Send Activation Notification drop down option: www.dotStaff.com Page 3 of 6 Select Yes if you wish the individual to receive an email notification requesting s/he activate the account in dotStaff™. Select No if you do not wish the User to receive an email notification at this time. Please note: If you select No, you may re-send this Account Activation notification at a later time. See the How to Resend the Account Activation Notification in the section below. 6. Click Save. 1. A confirmation window will display. Choose “OK” to retain the new account entry. Confirm, Review, and Edit New Account 2. The User List will appear with the newly added user included. To edit Account details, double click on the data grid item to open the account. 3. Click the “Edit” button and update information as necessary. 4. When complete, click the “Save” button to retain changes. How to Submit a Project Bid T O D O TH I S D O T HI S 1. Navigate to Postings > View Postings. 2. Double click on the posting (Position Type = Project) on which you would like to bid. 3. Select the Make a bid tab. Fields denoted with an asterisk (*) are required. 4. Using the drop-down list in the “Contact” field, select the bid author. Bid on a Project 5. Enter the bid Amount for the project. 6. In the Comments field, enter additional pertinent information such as value-add details. 7. Click the green plus sign to open the “Attachments” area to attach any supplemental materials. www.dotStaff.com A) In the “Upload Your Files Below” window, enter a File Name, a required field. B) Click the “Select” button. C) The “Choose file” window will appear. Using the “Look in” field, navigate to the desired file folder and click once on the file. D) See the file listed in the “File name” field and click the “Open” button. E) Back in the “Upload Your Files Below” window, see that the file’s address is in the “File to attach” field and click “Upload”. Page 4 of 6 F) To complete the file attachment, click the “Save” button. 8. Back in the “Make a bid” screen, you are now ready to place the bid. Click the “Submit Bid” button. 9. A Bid Review window will now display the details of your bid. You will be required to confirm the details to continue. 10. Click the “Yes” button to confirm submittal of the bid or choose “No” to revise. The Bids tab will be displayed showing the submission. How to Submit a Milestone on a Project T O D O TH I S D O T HI S 1. Navigate to Time\Projects > Add Milestone. 2. Ensure that the correct contract is selected in the Contract field. 3. Using the drop-down feature in the Project field, be careful to select the correct Project from those listed. A resource may be attached to more than one project! 4. In the Milestone field, select the Milestone ready to be submitted as complete. Milestone names are likely to be unique to each project. The one in the example below is named “Planning.” Submit A Milestone 5. The value shown in the Amount field will have been predefined in the project’s details. Each Milestone will have its own specific value. 6. A Comments field is available for any additional information that may apply. 7. If you wish to add an attachment to this milestone, follow steps 7-8 above in the How to Submit a Project Bid section. 8. Click the “Save” button to submit the Milestone. How to Track or Modify a Project Bid T O D O TH I S D O T HI S 1. Navigate to Postings > View Bids. 2. Bring forward the item of interest, if necessary, using the “Date Selection Zone” Track a Bid 3. View bids of interest by using the standard data grid sort and filter features. The Status column identifies the stage at which a bid resides. www.dotStaff.com Page 5 of 6 1. Having located the desired posting, open it by double clicking on it in the data grid. 4. Click the “Bids” button and, using the various filters and search options, locate the Proposal for which you wish to edit the bid and double click to open it. 5. On the Bid Information page, edit the bid as is needed. 6. Click the appropriate button to “Submit” or “Withdraw” the bid.
