Remote I-9 Agent User Guide 2/05/2014 Version 3.1.0 Responsibilities for Completing a Form I-9 The following outlines the requirements to be an Agent to complete the on-line Form I-9 on behalf of our organization, CoWorx Staffing Services LLC. All information provided to will remain confidential and will not be shared with any third party. Requirements: In order to act as an Agent on our behalf you have to be 21 years of age or older, you cannot be related to or a family member, an CoWorx co-worker, a CoWorx client or a convicted felon. If you do not meet the criteria please stop and call us immediately at 908-462-5136 Willingness to sign a government form that you viewed unexpired employment eligibility documents Willingness to provide the following information: first name, last name, title, email address accessible at time I-9 is completed, business or home or cell telephone number, company name (optional) Computer with internet access and an email account in order to receive a link to the on-line system o The email will come from [email protected] . If you do not see this email, check your spam blocked messages or call 908-462-5136 CoWorx Application Department. You are not to take pictures of or make copies of the IDs presented to you. COLORADO ONLY: The candidate should give you the Colorado Employment Verification Affirmation Form Please fill out this form in its entirety and fax a copy of the document to the CoWorx Applications Department at 800-864-3117. If you need a copy please refer to the email and click on the link. Contact Information Please contact CoWorx Application Department regarding any questions about the I-9 process or issues with the system at 908-462-5136 Using I-9 Comply to create an I-9 The I-9 process requires the employee and agent to be together to complete the I-9 online. While using the system, click on the ‘here’ link at the top of the page, or, where available, the ‘i' icon next to specific fields for more information. 1. The Agent will receive an email from [email protected] containing a URL and PIN to access the system. 2. With the employee present, the Agent clicks the URL. Enter the Employee Last Name, Agent Last Name and the PIN number provided in the email. Figure 1: Remote Hire – Agent Login Page 2 Version 3.1.0 3. The Agent reviews and corrects any information. The Agent enters required information, agrees to the attestation in pink, and clicks the box next to the statement “I (Authorized Agent) acknowledge, and accept the statement above”. Then click ‘Continue’ *note this button will not be enabled unless you check off that you agree. If any documents were uploaded as part of completing section 1, those documents are presented for review at this point. The agent should review each of the documents uploaded and select the appropriate option next to the document as to whether it is a valid copy of the List A, B or C document that may have been presented, or if it doesn’t match any of them. Based upon E-Verify and document upload options, the system will determine if additional documents are required for upload or if everything provided is sufficient for the employer’s requirements. 4 Version 3.1.0 Figure 1: Work Eligibility Document Review 6. If additional documents are required for upload, then the “Documentation Upload Required” screen will be presented with one or two ‘Document File’ fields available for choosing documents (See Figure 2). The authorized agent has two options at this point: a. The agent can upload electronic versions of documents by finding them on the computer being used to complete the transaction, or, in the case of a mobile device with a camera, choose to take a picture of the document right then and there. Once complete, choose ‘Upload Selected Document(s) Now to complete the upload process. i. Be sure to delete the document from the file system after upload. b. The agent can choose to have the Employee provide the documents to employer directly because they could not capture electronic versions of the documents. Figure 2: Section 2 Document Upload 7. If a screen with the following information appears, go to the Appendix for additional instructions. If not, go to Step 0. a. E-Verify Results: SSA Re-verify b. E-Verify Results: DHS Re-verify 8. If there is no photo, click ‘Yes’ and go to step 11. b. If there is a photo of the individual, E-Verify is requesting confirmation that the individual in the photo matches the photo on the document provided. Choose ‘Yes’ or ‘No’ to continue. Figure 13: Remote Hire – Process Complete 6 Version 3.1.0 APPENDIX - A SSA-Re-verify (and re-submit) You may be prompted with an ‘SSA-Reverify’ screen, which displays all the information provided and asks if it was all entered correctly. This is displayed because some piece of information with the Social Security Administration (SSA) is different than what was sent to the E-Verify system. Review the information and either make changes by clicking on ‘Save Changes’ or choose ‘No Changes – Continue’. The Agent may be prompted then to ‘resubmit’ as a subsequent action, which the Agent should do. Figure 14: Remote Hire – SSA-Reverify The following screen appears to confirm the process is complete. This is displayed because some piece of information with the Department of Homeland Security (DHS) is different than what was sent to the E-Verify system. Review the information and either make changes by clicking on ‘Save Changes’ or choose ‘No Changes – Continue’.
