Ensure Table of Contents, List of Tables/Figures or Boxes are automatically, NOT manually generated. To create the automatic lists of tables etc. use ‘References tab/Insert Caption’ Use the heading styles as per example ToC in this template to format your text. Tables/Figures from the Executive Summary are NOT included in the List of Tables/List of Figures. Only Tables/Figures in the main body of the report should be listed. Executive Summary Methodology Key Findings Overall conclusions Recommendations i 1. Introduction 1.1. Overview of the Evaluation Subject 1. Text should be ‘justified’ throughout – including the footnotes. Font: Georgia 12pt; Suggested spacing: before: 6pt, after: 6pt. Suggested line spacing: single NOTE: Paragraph numbers start at 1. again in the main body of the report (i.e., para. numbering starts at 1. in the Executive Summary and re-starts again at 1. from Introduction until the end of the document. 1.2. Context 2. 3. 1.3. Evaluation Methodology and Limitations 4. 5. 2. Evaluation Findings 2.1. Evaluation Question 1 6. 7. 2.2. Evaluation Question 2 8. 9. 10. 2.3. Evaluation Question 3 11. 12. 2.4. Evaluation Question 4 3. Conclusions and Recommendations 3.1. Overall Assessment/Conclusions 13. 3.2. Lessons Learned and Good Practices (optional) 14. 3.3. Recommendations 15. 1 Ensure that paragraphs are numbered correctly as per above paragraph numbering format. [Example] paragraph with correct numbering format: 16. The country portfolio evaluation of WFP activities in the Kyrgyz Republic covers the period from when WFP started working there in 2008 until 2012. It serves the dual objectives of accountability and learning and focuses on: i) the alignment and strategic positioning of WFP’s operations in the country; ii) the drivers of strategic decisions; and iii) the performance and results of WFP operations. Tables and Figures: Ensure that tables are not 'broken' in two different pages. If the table is too large to fit on one page ensure table headings are repeated on subsequent pages. Ensure that numbers/texts in tables/graphs are readable (even when printed in black and white) Georgia 11pt bold should be used for table/figure/box titles Georgia 8pt should be used for footnotes and source references under a table/figure/box. Ensure footnote text is justified. Ensure correct table/figure alignment (see below examples) [Example] table with correct alignment, title and source format: Table 1: WFP Portfolio Overview Number of operations % of overall requirements Requirements (USD$) IR-EMOP 2 997 488 1 EMOP* 2 47 411 984 59 Special operation PRRO 1 4 431 378 5 1 28 097 458 35 6 80 938 308 100 2011–2013 2008–2011 Project type TOTAL WFP Strategic Objectives 1 – Save lives and protect livelihoods in emergencies 2 – Prevent acute hunger and invest in disaster preparedness and mitigation measures; 3 – Restore and rebuild lives and livelihoods; and 5 – Strengthen the capacities of countries to reduce hunger Activities GFD GFD, VGF and FFW Logistics augmentation VGF, FFW, FFT and capacity development Source: Standard Project Reports.,FFT: food for training, GFD: general food distribution, PRRO: protracted relief and recovery operation, VGF: vulnerable group feeding 2 [Example] figure with correct alignment, title and source format: Figure 1: Percentage of beneficiaries by activity 2009 2010 VGF/GFD FFW 2011 2012* 0% 10% 20% 30% 40% 50% 60% 70% Vulnerable group feeding No. of beneficiaries Men/boys Women/girls 2009 2010 196 845 488 730 204 905 529 455 2011 2012 319 925 n/a 339 910 n/a Total 401 750 1 018 185 659 835 407 559 * 2012 data from country office. Do NOT use italic or bold fonts in text to denote emphasis, which should be instead reflected in the phrasing. Do NOT use capital letters for headings. Abbreviations and Acronyms: Acronyms should be spelled out in full at their first occurrence in the text. Yet they should not be used in the Executive Summary. For dollars use US$ with no space between the letters, symbol and numerals (e.g.US$246.1 million). Use a hard space before million. For the Euro use € (e.g. €356,128). In text, always write out percent with a hard space between the numeral and percent (e.g.42 percent). In tables, use % with no space between the numeral and the symbol. World Bank and United Nations are never abbreviated (NOT “WB” or “UN”) When acronyms are spelled out, we rarely use capital letters. Eg non-governmental organization rather than Non-Governmental Organization (except for title of a report and names of an organization/ institution). Check if a word is capitalised under the list of frequently used acronyms in the WFP English Style Guidelines Never use acronyms for governments (e.g. the Government of Pakistan, not "GOP") Hyphens: Use a hyphen to form a compound adjective (e.g. long-term effects, private-sector partnership, civil-society organization, two- or threeyear period). Tables and Figures: A table or figure must be placed immediately after the paragraph in which it is mentioned and should have a brief, accurate title. Number tables and figures separately, each in consecutive order. Footnotes and References In the body text the footnote number goes after the punctuation (not before). Footnotes should be brief, limited to providing references or extra information that would interrupt the flow of the body of the text.
