Faculty Log System
Overview
(1) This is meant for regular, retainers and visiting faculties having TYPE_ID=1,2,11
respectively.
(2) The HR Module :- Allows HR to enter the pay rates of visiting faculties only.
(a) To allow entering the pay rates.
(b) To allow updating them.
(c) The pay rate history is also maintained.
Steps to follow
Go To Clzone
Step1: Click at “HR Admin” link in “HR Zone”. Now click at “Faculty Per Hour Price Detail”
Link present there. Then we will get the screen as shown below.
For adding new records for visiting faculty
For updating records for visiting faculty
For updating pay rates
Step2: When you click the “Add New” button,the following screen will get displayed
Select the faculty name first
Enter the pay rates
Enter faculty’s finance details (optional)
Step3: In the similar way for updating the details related to faculty click on the “Update
Info” button.
Step4: Another way to update the pay rate is to click at the update link as shown in
previous page. We will get a screen as :-
Enter the new pay rate and the click the update button
Step6: For seeing the report regarding the duration the faculty has worked…

 Faculty's Worked Hours Report
Priviledges to be used
(1) For Faculty = Add Faculty Log
(2) For Center Manager = View Faculty log
(3) For Faculty Anchor = Approve Faculty Invoice
(3) The Faculty Logging Module:(a) Used by all the faculty members of every type i.e. regular, retainer (having
type_ids 1 or 2) or by visitors.
(b) All service types will be shown to the regular or retainers but only those
service types will be shown to the visitors whose pay rates will be set by HR.
(c) Allows faculty to view there log details and also to see their status.
(d) For regular or retainers the salary will be fixed and not handled by this module
but a separate report is made to show the worked duration that allows the HR to
decide the changes made to the final salary given to the regular faculty or
retainers.
Steps to follow
Go To Clzone
Step1: Go to Acads Zone  Faculty Logging , you will get the screen like :
Select center where faculty has taken the class
Select service type
click here to see the logged details
Step2: Select the center where faculty has taken the class and also select the service type.
Step3: After when you have selected the center and service type the pop_up will be
displayed where faculty will enter the details regarding the classes taken.
To see the log details
Description is written below
Description of Fields 
Log Date – Enter the date when faculty has taken class (faculty can log its detail
for the last 25 days)
Log-in-time –Enter the time of class
Log duration – Duration of class (in min)
Log Description – Mentioning topic
Finally click the submit button
Note :(1) If you logged the wrong details then send the request to the center manager
(the center manager of the location which you have selected while entering the
log detail) for canceling the record.
(4) The Center Manager Module :(a) Allows the manger to approve or reject the individual records of faculties who
have come to his center to provide service.
(b) Allows center manager to change the faculty logged duration.
(c) A job or cycle is written that will send alert messages to Center Managers in
the form of sms or mail to CLMS if any record having logged date is four
days less than the current date and still it has not been approved or rejected.
Steps to follow

Step1: Go to Acads Zone  View Faculty Log , you will get the screen like :
Click this link to change log duration entered by faculty
To reject the selected records
To Approve the selected records
For selection purpose (for approval or rejection)
Actions center manager can perform
(a) Approve the selected record.
(b) Reject the selected record.
(c) Change the log duration that will leads to automatic approval of that record for the
changed logged duration.
Step2: To change the Logged Duration
Just Change the logged duration from here and click submit
Finally we get the Confirmation Screen
Note :- If faculty has entered the wrong details then you can reject that record. (the same
case might arise that faculty has send you the request regarding the wrong data entered by
him/her)
(5) At the end of month the job or cycle will run that will collect all the records
approved by all center managers and generate invoice ids automatically.
(6) The Faculty Anchor Module :(a) Allows the faculty anchor to reject or approve the records of faculties
belonging to locations that comes under Faculty Anchor’s control.
(b) Allows to add the extra charge along with the reason.
(c) Also would be able to see the reports of faculty’s worked hours with in a
given time period, for those faculties who come under his supervision.
Steps to follow
Go To Clzone
Step1: Go to Acads Zone  Faculty Invoice Approval , you will get the list of
faculty name along with their invoice ids in the form of links:
Format : [Name of faculty (invoice id)]
When the link is clicked we get
the screen as shown below giving all the sessions taken by that faculty

When we click at that link we will get the screen like this.
For rejecting the selected records
Click this link for invoice generation
Enter the extra charge along with reason if there is one otherwise leave this blank
Description of fields shown above :Approvee Name :- Name of the center manager(if there at the center) who has approved
the faculty log.
Faculty Service Location :- Where the faculty has taken class
Pay Rate :- As set by HR (representing per hour rate)

After clicking the link shown above we get a screen where we have to enter the date
range. Once entered click at the submit button and you will get a report as shown
below :-

The durations is in the form of links, when clicked you will get the detailed report, giving
information regarding the faculty’s classes as shown below :-
As you will see you will get the detailed report for the faculty (Xyz Testing)
(7) The Finance Module :(a) Generate the faculty bill.
(b) And allows the finance department to enter the check number.
Steps to follow
Go To Clzone
Step1: Go to Finance Zone  Faculty Log Payment we will get the screen where list
of faculties will be displayed.
Actual amount paid = Amount + Extra charge
Click at the payment link to generate the faculty bill
When we click at payment link, we will get the below mentioned screen
Click this link to generate the faculty bill
After the step1 is over enter the check number and click “paid” button
When we click at link “Generate Faculty Bill” we get the screen as shown below :-
