Enter Department Requisition
There are basically 3 steps to creating a department requisition:
1. Input the header information of the requisition
2. Input item(s) of the requisition
3. Send the requisition for approval
1. Input the header information of the requisition
Path: CM DR AD - Add new department requisition
The system will default to Requisition type RQ (Standard Requisition), but the user may override the default.
To browse/select requisition types press PF1 on the *Type field. Arrow up to preferred type and press Enter.
Once you have selected the requisition type use the tab key to move throughout the screen to add the following
information:
• Requestor – Defaults to the person entering the department requisition.
• Dt.Needed – Enter the date you need the product or services (format: mm/dd/yyyy)
• Contact Name – Press PF1 to browse/select the person.
• Cntct Email – Defaults to the Contact person’s email address.
• Fax Nbr – Enter the fax number of the contact person including the area code.
• Contact Ph – Defaults to the Contact person’s phone number.
• Buyer ID – The system defaults to TBA (To Be Assigned). If you need to change it to a specific buyer
you may do so by pressing PF1 on the *Buyer ID field. Arrow up to preferred buyer and press Enter.

Account – Enter the Org/Account Number and the GL Code.
Suggested Vendor – Press PF1 on the *ID./Addr.Seq field to browse/select a vendor from the Active
Vendors. Arrow up to preferred vendor (or enter Vendor Name and press Enter. The preferred Vendor
will show up on the top of the list) and press Enter.
Press Enter again. This will take you to the second panel of the department requisition.
The Delivery Dept/Name, Campus ID, Building ID and the Room number is where the product or
service needs to be delivered to or where the equipment will reside.
o Delivery Dept/Name – Enter the name of the department that will receive the
product/service.
o Campus ID – Enter the Campus ID or press PF1 to browse/select Local Sites. Arrow up to
preferred campus and press Enter. This will take you the next browse/select screen Locations. Arrow up to preferred location and press Enter. This will take you the next
browse/select screen - Local Facilities (building name). Arrow up to preferred local facility
(building name) and press Enter. This will take you the next browse/select screen - Room
Number. Arrow up to preferred room number and press Enter.
o Ship To Address: *Code – The system defaults to CC – Central Campus Receiving Department.
If you work on another campus you MUST remember to change the ship to address. Press PF1
to browse/select Ship To Address.

Press Enter. This will take you back to the front header page of the requisition.
2. Input item(s) of the requisition
Press PF4 to add one item at a time.

Quantity – Enter item quantity.
Unit Price – Enter the unit price.
Account – The Org/Account Number and the GL Code is required if it was not entered on the header
screen. If you enter an account at the line item, the system will override the account entered on the
header screen. Otherwise leave it blank and the system will automatically populate the account number
from the header screen.
U/M (Unit of Measure) – System default to EA – Each. If you need to select a different unit of measure,
press PF1 to browse/select a unit of measure. To scroll forward press PF8 or to scroll backward press
PF7. Arrow up to preferred unit of measure and press Enter.
Discount – If discount is known enter the percent amount (or browse/select discount percent
amount), otherwise leave it blank
Commodity – Not required
Std Text – Not required
Deliver Dt – Not required
Item Description – Enter the description of the product or services you are purchasing (i.e. Printer,
Hewlett Packard Deskjet 6122/item#C8765ABA). Press PF8 to scroll forward and continue your
description or PF7 to scroll backward.
Press Enter after you have entered all the item information.
To add the next item press PF4 and repeat the above steps.
Once finished adding items, press PF2 to return to the header page. At this point you have successfully
entered a department requisition.
You may add a Note to your department requisition.
Dept Note: The department note is the way to communicate to your supervisor, approval managers and buyer.
This is the area to put your quote information or any other type of information that would be important for
your supervisor, approval managers or buyer.
To enter a note: Type X on Dept and press Enter. After you have entered your note, press Enter.

3. Send the requisition for approval.
Press PF8 to send the requisition for approval. Type YES and press Enter.
Your department requisition is now sent for approval. Print the screen or write down the Requisition Number
for your records.
