iReach Deployment 2016 Job Descriptions Arrive 15 minutes prior to scheduled time. Please park in the outer lots to allow close parking places for our families. Wear school or iReach shirt. Bring your patience and a smile! Call the district office to report emergencies that require an absence or delay of attendance. Be flexible regarding a potential assignment change. Call Amy Vagnier 865-256-2476 or Beth Boring (Volunteer Coordinator Table) 865-679-3370 for assistance during Deployment. Each of these workers will also be using a Walkie Talkie. After the Deployment Session, please pack all supplies in the labeled expandable file folder or tub as provided. Return to the iReach Help Desk located in the cafeteria (left side). All money bags must be directly handed to Beth Boring or Amy Vagnier at the Volunteer Coordinator Table. 1. iReach Help Desk/Volunteer Coordinator Table (Amy, Beth, and Audrey – no additional help needed) Location: Cafeteria left side. a. Review the Deployment Stamping Worksheet Steps to be able to provide assistance and answer questions for volunteers. b. Check off volunteer attendance on spreadsheet c. Provide name tags. d. Mention provided cell phone numbers above for needed assistance. e. Inform volunteer that job descriptions are provided at each station in binder or tub (Exception – greeters, hall monitors, & student volunteers - provide description to those volunteers) f. Inform volunteer to go to location for specific directions. g. Handle any student missing a deployment stamping worksheet. Check against the Required Day User List or the Academy List for restrictions. Check against PowerSchool (see notebook directions) to verify enrollment and print personalized sheet, if possible (4th grade use colored paper), h. Register families missing Deployment Worksheet (new students). Access PowerSchool. Print Personal Deployment Stamping Worksheet (Use colored paper for 4th graders). If student is not enrolled in PS, then ask them to return to the New Families Deployment on July 30th. Give invitation. If in PS, print form and write NEW at the top of the Deployment Stamping WS. Send through process. i. Coordinate needs; handle requests j. Keep record of all day users, including the Academy and Discipline Day Users. k. Coordinate high school volunteers and send runners to check on the efficiency of the process. l. Sell sleeves and chargers to any returning student who lost their sleeve (grades -4-12) sleeve, $35.00; laptop charger $30.00 (Supervise the MHS students to do this) m. Utilize student volunteers to help families needing special assistance. Provide seating for the families near the left wall of cafeteria where laptops are available for video viewing. n. Handle any online payment activity for those missing receipts. Look it up on OSP (see directions in notebook) and verify payment. Punch hole at the bottom of the WS. o. As time permits, gather scholarship forms and begin spreadsheets and confirming in PS. p. As time permits, finalize volunteer spreadsheets. 2. Inside the entry/lobby area of the MHS Doors that lead to Cafeteria (1-2) a. Welcome & Greet. Check for adult/student pairing and inform that both must be present to deploy. Spot check and announce that students must have their sleeve AND charger (exception: rising 4th, rising 5th, new students). Returning students who lost their charger and/or sleeve may purchase at the iReach Help Desk inside left cafeteria. b. For families needing special assistance, direct them to the iReach Help Desk, left side of cafeteria. c. Answer questions. 3. Cafeteria Right Side – two lanes by alphabet. Step 1. Table 1. Registration/Checkin/Paperwork (10 - 12) Families will split sides of the cafeteria based on last name. (A-M & N-Z) ***If the lines builds, use a volunteer to collect the list of student names and provide the list to the station to pull forms in advance. a. Retrieve personalized Deployment Stamping WS for specific students. Verify with student. (4th grade is color coded) For those missing the WS, send families to the iReach Help Desk Area (left side cafeteria). b. Emphasize to complete and turn in the Deployment Stamping Worksheet at the end of the process before leaving the exit hallway. c. Provide a copy of the RUP to all families, not per student. d. Stamp Step 1 on Deployment Worksheet. e. Stamp Step 2 and Hole Punch $40 credit at the bottom of the Deployment WS if the student provides a receipt for Credit/Online Payment. If they do not have receipt of payment and have paid online, send them to the iReach Help Desk without holepunching anything. 4. Cafeteria. Right Side Center. Step 2. Table 2. Payment Collections (10 - 12) Table for cash/check. Table for Semester Installment Plan. Kiosk Table for credit. Payment Specifics: $40.00 User Charge. Installment Plan - $20.00 at deployment; $20.00 at the end of 1st semester; Scholarship - $20.00 at deployment with pending Scholarship (notification if denied). The same duplicate form will be used for either $20 installment plan or scholarship. ALL students must pay a minimum of $20.00 at this station. Day Users - Anyone refusing an issued device for home or anyone not making a $20.00 payment will be day users. Steps 1, 4, 5, & 8 are required for Day Use. Device will not be issued. Mark an X in Step 2, 3, 6, & 7. Hole Punch “Day Use Only” at the bottom of the Deployment Stamping WS. Notify iReach Help Desk Volunteer to provide name to Day User List. At the end of the Deployment Session, count money and checks in bundles of $500.00 . Rubberband together. Enter the total amount of checks and the total amount of cash on paper and return with money bag directly to Beth Boring, Audrey Berry, or Amy Vagnier at the iReach Help Desk. a. Cash/Check Table. Accept $40.00 money or check. Ask parent to put student name in memo of the check. Checks payable to Maryville City Schools. Complete & provide receipt in the student’s name from the Deployment Stamping Worksheet data. Hole punch either $40 cash or $40 check at the bottom of the Deployment Stamping WS. Stamp Step 2. b. $20.00 Installment Plan. Collect $20.00. Complete the duplicate Installment Plan Receipt Agreement. Hole Punch $20 Installment Plan at the bottom of the Deployment Stamping WS. Retain the duplicate of Installment Plan Receipt/agreement and place in expandable file provided. Stamp Step 2. c. $20.00 Scholarship Request. Collect $20.00. Provide paperwork for Scholarship Request (same duplicate as installment request). Inform families they will be notified if the request is denied and an additional $20.00 will be due at the end of first semester. Retain the duplicate of Installment Plan Receipt/agreement and place in expandable file provided. Stamp Step 2. d. Credit Card Kiosk. Specific directions provided on kiosk. Help as needed. Accept E receipt (or view screen) of credit card payment. Hole punch the credit method of payment at the bottom of the Deployment Stamping WS. Stamp Step 2. All families who paid online prior to Deployment will get STAMP 2 at the Step 1, registration table. 5. Cafeteria Commons. SLEEVE Distribution for new students, 4th & 5th grade students (4th grade students will be color coded). Check the Deployment WS to confirm the student is NEW (labeled at top) or 4th or 5th grade (check grade level on WS). Provide sleeve accordingly. Stamp Optional Step 3. 6. Cafeteria Commons Exit Door Monitors. (2) Ensure that all students have a sleeve and a Deployment Stamping WS to proceed. 7. Classrooms 233, 234. Step 4. The other two adjoining rooms can be used as needed. Training Rooms. (8) a. Fill classrooms to capacity, start video. Coordinator will make decision to use the two other rooms as needed with a potential total of 4 videos going at the same time. At the end of video, read the following script to families: Thanks for your attention during the video. We are very proud of our robust filters that are in place while at school and at home to protect our students from inappropriate content. However, there is no perfect filter, and even a strong filter cannot replace adult supervision and monitoring, as well as student responsibility regarding digital citizenship. We request that our students and their families report any filter concerns to the school technology coordinator and not attempt to navigate to inappropriate content. Please follow the guidelines provided in the iReach Resource Guide located on our district website and available for print as requested in your school site. It is now time to sign the RUP and the Media Release Notification located on the back of the Deployment Stamping Worksheet. (Hold up sample of the Deployment Stamping WS, so parents will see the area to sign is on the BACK). RUP and Web Application Signatures at the top of the page are required for device use. Students may NOT use any devices or receive a device today unless all RUP signatures are completed. If you have questions about the RUP signatures, please stop at the table by the hall exit door. The Media Release Notification requires a signature at the bottom of the page. This acknowledges you are aware of our media policy. Any parent who wishes to further restrict media opportunities must complete a “Restricted Media Release” available at this station. Any and all questions about the Media Release signature can be answered at the table beside the hall exit door. If you complete all signatures, you will receive two stamps as you exit the classroom. If you have questions or need more time to obtain signatures, you will have the opportunity to receive a stamp for Step 5 in subsequent stations. If you have younger children at the elementary school (grades K-3), please pick up the Video Validation Form, so you can provide evidence that you are already viewed the iReach RUP video. This will save you time in the elementary buildings. Insurance is an optional purchase. Many families choose to purchase insurance through their home owners’ rider policy. Contact your insurance provider for specific guidelines. Please pick up an insurance flyer if you are interested in purchasing insurance through an online process with an outside company chosen to provide this service. This choice needs to occur within 30 days. Insurance only covers loss and theft. All device damage not connected to loss and theft and/or negligence is covered and repaired through our iReach department with the User Charge. Students, when carrying a device, please never place complete finger pressure on the corners of the device as this has caused numerous damage issues. (Demonstrate with a thumb pressing one of the corners below the keyboard). In addition, don’t pick or fiddle with the keys as you work as this has also resulted in several damage issues. Broken screens, popped keys, and corner damage is considered negligence. Finally, please do not remove the asset tag and/or Microsoft License Tag sticker from the bottom of your device. Do keep up with your school issued charger and don’t replace a lost charger with an alternate brand. Please purchase a new one from the school system. Finally, if you do not have high speed internet in your home, please pick up an “Internet at Home” flyer. We have several free and affordable options for our Maryville families. (10) Team Captain & Trouble Shooting - Adam Morrell Air Conditioning Over-ride: Press the button on the bottom right of the thermostat every 3-4 hours to keep the air flowing if the room doesn’t cool. a. Encourage families to move down to the front of the room to fill from the front to the back. b. Log-in credentials provided at the bottom of page 2 of the Deployment Stamping WS. c. Problems – Adam Morrell d. Confirm student can log in to device & knows their log-in credentials. Suggest a photograph or write it down before leaving for home. e. Check the Deployment Stamping Worksheet to make sure all signatures have been obtained on the back. If the RUP signatures are not obtained, collect the device and send the family to the cafeteria to the iReach Help Desk to speak with Amy. Check to ensure all information and stamps have been gathered on the front. Check to ensure that at least one payment option is punched at the bottom. Send back to the cafeteria if missing the payment/day user punch. f. If families question the Media Release, inform them that they may submit a Media Restriction (make available) to limit media access. The signature is acknowledgement of our policy. Collect the Restricted Media Form if completed by the family. g. Make insurance flyers available. h. Ask parents to initial Step 8. i. Stamp Step 7. 11. Ruby Tuesday Exit Hall - Final Step (2) Collect Deployment Stamping Worksheets. Quick check for completeness, especially checking for the signatures on the back. Stamp Step 8. Send families up the stairs to exit. ALL DEPLOYMENT STAMPING WORKSHEETS MUST BE COLLECTED AT THIS LAST STOP!!! Volunteer Scanners will come down and collect the Deployment Stamping Worksheets throughout process and file them upstairs in the Teachers Eating Area. 12. Scanners. Final Step 8b. Cafeteria, Teacher Eating Area. (2 + Glenda) Send runners down to collect the Deployment Stamping Worksheets. At the end of the process, scan Deployment Stamping Worksheet barcodes for school data spreadsheets. File Deployment Stamping Worksheets alphabetically in the hanging file crates. Team Captain: Glenda Ennen 13. Hall Monitors. Throughout the Deployment Route (4) a. Outside the back of the RT Room (Room 130) Keep traffic flowing. Direct families to take a double left to go by the exit table. b. Back of the Commons Area - directing people to only stop IF they need a sleeve. Direct them down the hall to Rooms 233 & 234. c. Outside of the exit of Rooms 233, 234 (Video Rooms). Direct families to move through the doors and down the stairs unless they have RUP and/or Media questions. Direct those with questions to the RUP/Media Q & A Table. d. Exit doors at the top of the RT stairs - Supervise the MAIN EXIT door at the end of the process (where most people enter the school if going to the RT room). Thank the guests for coming and make sure the guests are leaving with a device and cord BUT NOT THEIR DEPLOYMENT STAMPING WORKSHEET. 14. Communication/PR/Roving Reporters (1).
