Facility Contacts and Report Access to Facility Training Data
Step 1: Identify staff within your facility responsible for tracking professional development.
 Each person has their own individual login. As a contact for your facility you can access staff records.
Staff can login to retrieve their own Training Record.
Step 2 -Complete and submit the Facility/Provider Form if you are a Director, Owner or other designated
contact for a facility. This is gives contacts specific access to facility related reports and notices related to staff
training credit, recalls etc.
Step 3 - Once this form has been completely filled out, please fax or mail to ECE-TRIS.
 The fax number and mailing address are located at the bottom of the form. Please do not email these
as email is not a secure environment to share personally identifiable information contained within the
forms (dob, ssn, employer, personal address, etc.)
 Access to the ECE-TRIS website is granted once your Information Form/Facility-Provider Form has
been entered by ECE-TRIS staff. To confirm you have successfully been entered into ECE-TRIS you
can follow the login instructions below. If login is unsuccessful or you do not feel you have the
appropriate access level, you will need to contact ECE-TRIS.

How to Login for the first time

If this is the first time logging in, please use the format below for entering your username and password.
Your username is comprised of your first name and your last name. ex.) john.doe
Your default password is comprised of the letters ece plus your birthday. You will be required to change this
default password the first time you sign in. ex.) ece01261979
If you have used the site before and forgotten your password you can begin the password reset process by
clicking here.

A successful login will take you to the home page. The options available to users on this page will be
determined by their access level. Everyone has the option to view their Training Record and View/Edit
Personal Information as well as have the option to change their password by clicking on the buttons on the
right of the screen.
How to turn off your Pop-up blocker
 Go to your computer’s start menu
 Select Control Panel
 Select Internet Options
 Select the Privacy tab
 Uncheck the Pop-up blocker
 Click Apply, OK
Add https://tris.eku.edu/ece to your trusted sites
 Go to your computer’s start menu
 Select Control Panel
 Select Internet Options
 Select the Security tab
 Select Trusted Sites
 Select Sites button
 Enter https://tris.eku.edu/ece
 Click Add, then Close

As a contact for your facility you will see the Reports area option above the My Information section.
The Reports button will direct you to the area where you will have access to facility reports. Before
attempting to run any report we encourage you to read the following instructions carefully.
Click on the Reports Area button from the Home page after logging in
Required Training Hours Based on Current Anniversary Year of Hire Date
This report lists staff currently in ECE-TRIS with your facility as their current employer. The total training hours
displayed for each individual includes sessions since the last anniversary of their hire date. The hire dates
entered are those reported to us via the Information Forms or by using updates received from you as a contact
for your facility on the Staff List report (see below). If no hire date has been reported, the Hours needed column
will display the total hours required even though they may have received training credit within the review
period. The goal of this report is to assist with determining who has met their clock hours during the review
period. Keep in mind that we must have a hire date on record for the staff person in order for the hours to
calculate in this report.


This report lists staff members with a specified current employer, and their total training
hours since the last anniversary of their original hire date. If no hire date has been
recorded, the Hours Needed column will display the total hours required even though they
may have received training credit within the current year.
Click on the (Employer Search)
o When the search window opens you can search on any of the fields provided.
o You do not have to complete each field
o *Search tip*, less is more! You may want to enter part of the name, license # only or street # only.
o If we have the name slightly different than what you type, you may not find what you’re looking for.
o Click on Find Employer, then click on the employer from your search results
o You will then be returned to the report search page and you will see that the Employer name has
been entered in that box.
Choose Yes or No in the drop down box for the Previous Year
Click on the Submit Button
 Review the report details
Staff List by Current Employer Report
This will report allows you as a contact of your facility with a list of staff that have your facility as their current
employer. We ask that providers begin with this report to ensure staff information is current and correct. Print
this list, mark through names of those no longer employed, add or correct hire dates as needed. Once
complete, fax/mail this to ECE-TRIS along with Information Forms for those not found on the list.

Training Record Report for Staff
This report is a record of training for those who have had their training credit recorded in ECE-TRIS. It includes
training details related to each session in chronological order. The dates, number of clock hours received, title
and training details of each session are given.


This is a record of an individuals’ training which has been reported in ECE-TRIS. It lists
their name, employer (facility/provider/agency/organization), the county and ADD based
on the address they provide. At the top you will also find the Orientation and PAHT training
dates. Each training session is listed by date order, number of credit hours received, title,
and contains the training details of each training session (Trainers Credential Information,
Training Sponsor, Training Level, Core Content Subject Area, CDA Subject Area).
You do not have to select the ADD or County.
You can run the report for all staff by employer (Employer Search) OR you can run it for a specified
individual
Click on the Search personnel
o When the search window opens you can search on any of the fields provided.
o You do not have to complete each field
o *Search tip*, less is more! You may want to enter part of their first name and last name, or their
dob only or ssn only
o Click on Search Personnel, then click on their name from your search results
You will then be returned to the report search page and you will see that the Person’s name has been
entered in that box.
You can then choose to enter start and end dates or leave those blank.
Click on the Submit button.

Helpful Tips for Using ECE-TRIS
1. Remember to notify our office if you have staff changes using the Staff List report. You will only have
access to records for those staff correctly listed as employed by your facility. Include the Information
Form as part of your new hire paperwork and fax/mail it our office
2. Regularly check your reports. We encourage you to notify us and your trainer if a recent training is
missing from your training data. We will work with you and the trainer to make sure your records are up
to date.
3. Consider asking potential staff and new hires to login and print their training records. This will give you
a look at their professional development and help you plan for future training. The training record can
be used as proof of training hours for licensing and many new staff may have already had the
Orientation for Early Care and Education Professionals training that would not need to be repeated
if it is on their training record.
