Introduction
Access to the National UKFSS System is gained through two applications:

The UKFSS Website; and
The UKFSS Data Entry Application referred to as FSSNet.
The aim of this New User Next Steps Guide is to set out each stage of the
process to get the UKFSS Data Entry Application (known as FSSNet) running
in your Local Authority easily and quickly, to enable the day to day tasks of
sampling and entering the data quickly into the UKFSS (using FSSNet
Version 8) for seamless integration with your chosen laboratory(ies).
There are 6 separate steps to get FSSNet up and running on your Local
Authority IT System. For this a contact person is required from within your
Local Authority IT Support to help get the system loaded and running
correctly.

Step 1 – Obtain your User Access User Name & Passwords to the UKFSS
Website, and your LA CFAD User Name & Password from the UKFSS
Service desk
Step 2 – Download the documents you need to operate FSSNet V8 from
the “Downloads” section of the UKFSS Website
(https://ukfssweb.food.gov.uk);
Step 3 - Install FSSNetV8 onto your Local Authority IT system;
Step 4 – Configure FSSNetV8 to operate easily in your Local Authority
(See Document FSA FSSNet version 8 Configuration Guide);
Step 5 – Start using FSSNetV8 to record your Food and Animal Feed
Samples;
Step 6 – Register for and attend UKFSS New User Training.

Step 1 – Obtain LA CFAD User & User Access to the UKFSS Website.
You need this so that you can get access to the various documents and
actual downloads for setting up FSSNet on your Local Authority IT system,
and also for you to have access to information about changes to the system.
Also, you will get the best access to any data enquiry modules that you may
want to use to view the data once it has been loaded onto the UKFSS
system.
For more information about this, please refer to the Getting started with
FSSNet V8 (Install) on the UKFSS Website (also found in your Training
Pack).

Please make sure you include the following information :
• Your Local Authority MIS Provider Name (e.g.: CIVICA);
• Your local authority email address (you must have access to it and it must
be current);
• The name of your Local Authority UKFSS Administrator / Contact for
UKFSS / feed/food sampling programme (This may be the same person
who is identified as responsible for LAEMS Reporting to the FSA or the
main Administrator for your MIS – E.G.: CIVICA);
Ask the Helpdesk for your Web Site User Logon and your Password. This will
be emailed back to you and will take the form of:

Put the website Domain Name: https://ukfssweb.food.gov.uk/ into your
Browser, then when you are presented with the log in boxes;
Put in your User Name & Password in the boxes in the top left hand corner of
the page. Then find the “DOCUMENTS” tab on the left hand side of the
website. Then proceed to Step 2 on the Next Page.
Step 2 – Download the documents you need to operate UKFSS.
All the information you need, including all documentation, is stored in the
web location mentioned earlier for you to download and work with the FSA
UKFSS Delivery Team to operate the UKFSS system correctly:
You will need the following Documents:

Then proceed to step 3 below:
Step 3 - Get the UKFSS system installed onto your LA IT system.
By getting involved in helping the IT department install the system on your
Local Authority IT system will give you valuable experience of the UKFSS
system, FSSNet V8 and how it works, as well as being a helpful point of
contact for the UKFSS helpdesk team.
If this all sounds scary and you don’t feel confident in the use of or download
of IT systems, I can re-assure you that it’s not difficult at all; however the
UKFSS Service desk can help. They will guide you through the whole
process; be assured that the FSSNet V8 system has been successfully loaded
onto every available permutation of the system in more than 120 Local
Authorities already, so the team probably know the answers to your queries
or questions.
By using the Guides you downloaded in step 2 above, which you will find in
your Training Manual (if you are attending the training) and which you will
need to read thoroughly, I’m confident the titles will guide you accurately
through which to read first, then follow the directions for getting the system
working using this guide as a steer and the User guides for the detail.
However we have simplified the process for your IT people and it is
described below as an alternative way:
An alternative way, and this is to assist your IT department to download the
software and the documents directly without needing to log in to the system
is to put the following website Domain Name into your browser:
http://ukfssweb.food.gov.uk/public/FSSNet%20v8/ then you will see a
screen which looks like this:
Click on the link called: FSSNet Version 8.0.1.x Network Client.
After making sure the “Firebird” application resides on the server already – if
not follow the guidelines in the Quick Install Guide document which can be
obtained at: FSA Getting started with FSSNet V8 (install).
Note: We would recommend that you have your IT department install the
FSSNet V8 database onto the same server as your MIS system for ease of
interoperability and communication.
Step 4 – Configure the System for your Local Authority;
Follow the instructions and information in the Document Guide downloaded
in Step 2 called:
“FSA FSSNet Version 8 Configuration Guide”
to configure the system to work correctly in your own local authority. You
will need to work through the details described in the Configuration guide.
You will then download the “Look-up tables” from the “File” tab on the top
line of your FSSNetV8 system page; then “Update Lookup Data Tables” tabs
in the top row of the web page to make sure your version loaded has the
latest features and functionality.
Follow the FSA FSSNet Version 8 Configuration Guide for uploading your
premises information from your local Authority MIS (Management
Information System – sometimes known as your IT system). There is a small
note of caution about mapping the premises information so it matches your
LAEMS Business ID codes correctly and then you are ready to go to step 5
below.
Step 5 – Start using the UKFSS system to record your Food and
Animal Feed Samples
Log in to the FSSNet V8 data entry system using your local user name and
password (this is obtained by you from your Local Authority FSSNet System
Administrator once it has been created as part of the configuration process)
and start using the system completing the fields after clicking the “New
Sample” tab in the second row at the top left of your web browser page.
Follow the instructions as detailed in the “Food” and “Animal Feed” User
guides.
