Cancellation for TGA Conference must be in writing. Cancellations 30 days plus prior to conference: Full refund less $50.00 processing fee or full credit to TGA Account,
expiring by year end. Cancellations 16-29 days prior to conference: Full credit to TGA account, expiring by year end.
Cancellations less than 15 days prior to conference: will not be refunded (Refunds and credits for special events: golf, tours, fishing, clay shooting, other programs, etc. will not
be issued). Substitute (Employee) Attendee will be accepted for all events. Notify TGA office prior to first event date.

The TGA is responsible for submitting an executed release of liability to Embassy Suites
Hotel, Frisco from each Exhibitor or its third-party representative in charge of providing
installation and dismantling services 45 days prior to set-up.
Exhibitor shall be fully responsible to pay for any and all damages to property
owned by the Hotel, its owners or managers which results from any act or
omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold
harmless the Hotel and each of its respective affiliates and their officers,
directors, partners, agents, members, managers and employees (collectively,
the “Hotel indemnified parties”) from and against any and all demands, claims
damages to persons or property, losses and liabilities, including reasonable
attorneys’ fees (collectively “Claims”) arising out of or caused by the
Exhibitors or its members’, agent’s, employees’, independent contractors’
negligence in connection with the use of Hotel property, except to the extent
and percentage attributable to the negligence of the Hotel indemnified parties.
Exhibitor’s liability shall include all losses, costs, damages or expenses
arising from or out of or by reason of any accident or bodily injury or other
occurrences to any person or persons, including the Exhibitor, its agents,
employees, and business invitees which arise from or out of Exhibitor’s
occupancy and/or use of the exhibition premises, the Hotel or any part
thereof. The Exhibitor understand that the Hotel does not maintain insurance
covering the Exhibitor’s property and that it is the sole responsibility of the
Exhibitor to obtain such insurance.
Group shall assume (jointly and severally with Exhibitor) responsibility for any claims arising out of the
use of the exhibition premises of the Hotel. In this regard, the Group agrees to indemnify and defend
the Hotel and its affiliates and agents and their owners, agents and employees against any claims or
expenses arising out of the use of the exhibition premises.

Suites Hotel Frisco. Each Exhibitor setting up and/or tearing down the exhibit must return this form
with your registration.

Hotel requirements:

You must identify yourself as a Texas Gas Association (TGA) member to receive the Event rate.
Hotel cut-off date for TGA's special hotel rate is Sunday, May 21, 2017.








Make your hotel reservations early to insure you get a room before they are gone.
After the 21st, the hotel may not offer our special rate and our remaining room block will be released to the public.)
Check in is 3 pm and check out is 12 pm.
Hotel would appreciate receiving your flight and arrival time if applicable.
(Early arrivals will be charged $25 fee) (Late checkout may have fees, see front desk) Upon check in - present a valid credit
card for per-authorization & contact info required for 1 night deposit.
If you choose to use a porter for luggage, be advised that there are additional fees (not including gratuity) added to your room
bill. There will be a portage fee of $3 in and $3 out per person per room.
Surface Parking - No charge (complimentary). Garage Parking - $10 for guest overnight self-parking and $5 per day up to 12
hours. Valet parking $16 per day.
72 hour prior to arrival hotel cancellation policy is in effect to receive a refund of the deposit. . Hotel policy: Upon checkin, each guest will be required to present a valid credit card upon check-in, on which an amount of sufficient pre-authorization can be obtained
to cover the room and tax charges and parking for the length of the guest’s stay (approx. $50), plus the Agreed use of the Hotel’s ancillary
services, and we require each guest’s home/business address and e-mail address.

Tuesday evening, June 13, 2017 - The Associates are hosting a fun-filled night with entertainment, dinner, dancing, and a live auction
and silent auction for scholarship. Dress is Business Casual.
CORNHOLE TOURNAMENT OPENING RECEPTION
Monday, June 12, 2017 –5:00 – 6:30 PM in Frisco 6 Ballroom: This year during the Opening Reception we are having a Cornhole
Tournament / Bean Bag Prelims Contest. This is the hottest thing to do in this day and time. It’s a fun event with prizes and
refreshments. Practice to warm up your tossing arm to bring your game because The GAME is ON. Be ready for lots of fun, no
experience needed, anyone can do it and FUN is the name of the game! The Cornhole - Bean Bag Competition/Tournament continues
on Tuesday 5:00 – 6:00 PM & Tournament Finals are on Wednesday 12:30 – 1:30 PM in Frisco 6 Ballroom.
