Information required at inspection – importing
This guide is designed to help you prepare for your annual inspection visit. Please ensure that all
information listed is readily accessible at your inspection and covers the period since your last visit; if it is
not, we may need to carry out a follow-up visit at additional cost.
Please refer to section 40 of our standards for inspection requirements. To help meet requirements we
provide various record sheets, please contact us to order these.
Your records must show full traceability from receipt of raw material, to dispatch. You inspector must also
be able to complete an audit verifying the balance between input and output. Please tick to confirm the
relevant information is available and keep this sheet until your inspection. All information provided at
inspection will remain confidential.
Applicants
We realise that you will not have all of the records below at your application inspection. However, you must
be able to show the record-keeping systems you will use when you start operating. To help you meet our
record-keeping requirements, we offer various record sheets on request. We can also review your proposed
systems prior to inspection, via post or email.

Value of organic products sold during the period of the last certified sales declaration.
Records of organic product sold must be available in a format that can be verified
by the inspector.
Copies of sales invoices and delivery notes
Organic product quantity sales records, from the most recent annual stock-take

Physical stock taking records for the beginning and end of the company
financial year and any intermediate stock-takes.

consignment of organic produce imported from countries outside the EU, including
approved third countries.
