Aim
The aim of this handbook is to provide users a reference guide to
the Alcatel Phone handsets.
We have four handset systems within the Archdiocese, largely
based on your office location. This handbook will give you the
basics for each.

Setup of Phone
Navigation button:
The navigation button is a keypad consisting of arrows and an
ok button, which allows you to make selections from the menu.
How to Setup your Voicemail for the First time
Press the Mailbox Button
Press Voicemail
Enter Your Current Default password is (Service desk will
supply)
Your new Password is (4 digits)
To Confirm Press #
You will then be asked to record your name (Record JUST your
name) e.g. Mary Smith
Press #, and you will be given the option to listen to the
recording, then press # to confirm

How to change your Voicemail Passcode
Please press the orange envelope symbol
Then press the button next to Voice Mail on the screen
Enter your current password
Select number 5 for Personal Options
Select number 2 to Change a password
Enter a 4 digit password.
The phone will tell you if it has accepted the change.
How to Change your initial voicemail name
Press the Mailbox Button
Press Voicemail
Enter Your Current password
Select Option 5 – Personal Options
Follow the prompts to record your name again – press hash.
Call Forward To an Internal Extension Number
Press the “Curved arrow” at the top right hand corner of the
screen and press “Immediate Forward”
Dial the Ext. Number you wish your calls to be forwarded to
Hang up- the arrow will now be spinning, indicating the handset
has been forwarded successfully.
Set Immediate Forward To Voicemail
Press the “Curved arrow” at the top right hand corner of the
screen and press “Immediate Forward”
Then press “Immediate VM”
Hang up- the arrow will now be spinning, indicating the handset
has been forwarded successfully.

\Set Voicemail when No Answer/on Another Call
Press the “Curved arrow” at the top right hand corner of the
screen.
Press down and select “Other Forward”.
Press down again and select “Forward on busy/no reply”.
Then select “Voice message”
Hang up- the arrow will now be spinning, indicating the handset
has been forwarded successfully.
Call Forward Cancellation
Press the : ”Spinning Arrow” at the top right corner of the
screen
Press “Deactivate” and hang up
Changing the Volume on your Handset
Press the Left arrow
Press “Settings”
Press “Phone”
Press “Ringing”
Press “Level”
Press the + or – buttons to adjust to your preferred Volume
Then “OK”
Changing the Contrast on your Phone
Press the Left arrow
Press “Settings”

Using the + or – buttons adjust the contrast, then press “OK”

Placing a Call on Hold
To Place a call on hold press the line in which you are
speaking- (looks like a person and a handset at the top right of
your screen).
To Retrieve the call press the retrieve button that appears on
your screen.
Dialling by name or initials
Using the alphabetic keypad on your phone, type in the first
three letters of a person’s name, either first or surname. Press
name button (left hand side of the screen), select the individual
you require, using the navigation arrows.

of a person’s name. Press name button (right hand side of the
screen), select the individual you require, using the navigation
arrows.
Transfer
When you need to transfer a call to another destination simply
dial the extension number required and hang up
If the staff member wishes to take the call, simply hang up and
the call will be forwarded through- this also works if you wish to
put the caller through to the destination’s voicemail (If the user
has Voicemail).
If the staff member does not wish to take the call, press
“Enquiry off” and the call will come back.

Speaker - Hands Free
Dial the number you require and the speaker light will light up,
indicating that you are speaking handset free. Should you wish to
use your hand piece, simply pick up the hand piece.
Tone Dialling
Tone Dialing is for internet banking, phone queries etc that
require keypad interaction, for example, enter account details.
When Dialling a number that requires tone dialling press ## on
the keypad, do this after the call has connected and recorded
voice starts.
This will then activate DTMF Mode so you will be able to press
the buttons for options.
If you do not press ##, you will be putting the call on hold. If this
does happen, Press “Enquiry Off” to retrieve the call.
Three Way Conference Call
Dial the number you wish to have a conference call with, then
start Dialling the second number (Similar to transferring calls)
Press the downwards facing arrow and select the “Conference”
Button that appears on your screen.
To End the Conference call hang up on each caller separately,
otherwise both parties will be speaking without you when you
hang up the call.
Note* This supports a 3 person conference call.

Call Pickup of another extension
To Answer another Extension Ringing in your area dial #6 and
the (Extension Number)
Note* At CDF the sequence is *6 for phones in the same pickup
group.
Voicemail
Checking Voicemail messages
Solid Orange light means you have previously viewed
messages
Flashing Orange light means there is a new message or
missed call
How to access your Voicemail
Press the Mailbox Button
Select the Option “Voice Mail”
Enter your 4 digit password
Note* to delete a message press 7. You will then be asked to
confirm deletion press 7 again.
Accessing Voicemail from Outside the Office
Ring 9926 5789 from an Outside Line
Dial 1 when prompted & then your extension number
Then you will be prompted to enter in your 4 digit password,
follow prompts to check voice mail.
