HOW TO BEGIN USING THE RDS ADVANTAGE V9.19.00 VACATION/LEAVE (SICK) PAY Before RDS Advantage V9.19.00 ONLY vacation and Sick (Leave) pay hours USED were saved in Payroll History. After RDS Advantage V9.19.00 Vacation and Sick (Leave) hours are now saved in Payroll History: Carryover (from one year to the next), Lost, Earned, Used To begin using the new Vacation Sick (Leave) hours: 1) Setup Vacation/Leave tables in PR125 (see Options for this in PR199) Check this box if you would like to manually enter the available Vacation or Leave hours. (not calculated by table). You can then enter these hours in Manual Payroll or PR107. You can enter these hours once a year based on the hire date or the MM/DD entered in PR125. This will show you where you may need to adjust the hours to get started. Enter adjusting hours in a payroll on or right after the last “Carryover hours/Hours accrued date break”. These will be used in the next payroll run for the employee to calculate the available hours. Enter any hours in the first period after the date break. These will be used to calculate Employee’s available for every payroll until the next date break. You can enter a lump sum or enter for each pay period in PR107 or Manual Payroll. Entering any hours BEFORE the last “Carryover hours/Hours accrued date break” will not affect the available hours for the employee. These hours are ‘closed out’ for the current payroll processed. After adjusting employee’s hours one time (not using the Manual entry checkbox in PR125) everything will be calculated automatically from then on…. If using the Manual entry checkbox in PR125, the hours used will be subtracted from the manual entry made at the beginning of the “Carryover hours/Hours accrued date break”. PR107—Vacation & Leave History Maintenance To adjust Vacation and Leave hours that are already posted in Payroll History use PR107. Enter the Employee’s number you want to adjust and Click on F7 or the … lookup button. Find the first record after the last “Carryover hours/Hours accrued date break” from PR308. If you want to update all of the Payroll History from the last “Carryover hours/Hours accrued date break”: Make changes, Click OK then click F5 or “Find Next” icon to bring up the next record. The fields at the bottom of PR100—Employee Maintenance will be updated on the next Payroll run for this Employee. If you want to update the fields at the bottom of PR100 immediately, make all your changes and with the employee on the screen, click on the “Update Employee’s Record” button. PR411—Manual Payroll Entry You can use Manual Payroll Entry to update the Vacation and Sick Pay Hours. Only those entered into a Payroll since “Carryover hours/Hours accrued date break” will affect the Employee’s current available hours. the For example: For each Employee make a manual entry on or after this date to bring the hours up to date in Payroll History or use PR107 to update the Vacation and Sick (Leave) by pay period already posted. Example: My employee, Speedy Gonzales, hire date is 8/1/2010 and his Vacation and Sick (Leave) policies both have the box checked “Determined at Date of Employment”. I know that on his last hire date anniversary he has Carried over Vacation 20 hours and 192 Sick (Leave) hours. You do not need to enter the “Lost” hours unless you want to track those hours. PR308 is the only report where you will see the “Lost” hours. From that date until today he has earned 40 hours of Vacation and 20 hours 192 Sick (Leave) . He has used 40 hours of Vacation and 8 hours of Sick (Leave) . Here is what his manual payroll entry would look like: Post this record to history and these hours will be included into the calculations.
