Data Landing is a secure submission portal used for the National Diabetes Audit (NDA). Data Landing has been developed specifically for the NDA. It sits in a secure NHS Digital site called the Clinical Audit Platform (CAP). CAP is already used for a number of existing audits to collect patient identifiable data securely. However, Data Landing is different from most other audits as data cannot be retrieved back from the portal; it is purely there for data to be submitted. Once the data is submitted/uploaded, it is held securely on NHS Digital servers. Those requiring access to the portal need to be registered for Data Landing and CAP (see Next Steps in this document for further information). Data Landing access Do I need to get Caldicott Guardian/Data Guardian approval for access to Data Landing? No, Caldicott Guardian/Data Guardian approval is not needed to gain access to Data Landing. Because Data Landing will only allow users to submit data and data cannot be retrieved back from the secure online tool, you do not need the approval of your Caldicott Guardian/Data Guardian. What do I need to gain access to Data Landing? For users to be added to Data Landing they will need to be added by a Primary User. A Primary User will be responsible for ensuring that the users within the CCG/GP Practice/Secondary Care Organisation are set up with access to Data Landing. These person/persons must have a valid nhs.net email account. See Roles and responsibilities in Data Landing for more information. Who should register for Data Landing? Anyone in your organisation (which could be a GP practice, CCG or a hospital/trust) who will be submitting NDA data to the audit should register for access to Data Landing. I think I have registered, however I can’t see where I need to submit data If you have received an email from NHS Digital Data Landing Registration to say that you have been registered for online access then you have been registered for Data Landing but you still need an account for the Clinical Audit Platform (CAP) to access Data Landing and Copyright © 2017 Health and Social Care Information Centre. 3 National Diabetes Audit Data Landing Frequently Asked Questions – Registrations submit data. See step 6 in the Data Landing registrations guidance for how to create a Single Sign On (SSO) account. Please note the email address used for your SSO account must be the same email address used for the Data Landing registration. Roles and responsibilities in Data Landing What is the role of a Primary User? The role of a Primary User is to add and manage contacts within their organisation who will be entering data to the NDA. An nhs.net email address is required to be a Primary Contact. What is the role of a Submitting User? The role of a Submitting User is to submit data to the NDA on behalf of their organisation. A Submitting User will need to be added to Data Landing by a Primary User. Managing Users Can a Primary User be a Submitting User? Yes, a Primary User can be a Submitting User. They will need to add themselves as a Submitting User on the Submitting User page for their organisation, see Step 7 in Data Landing registrations guidance for further details. A Primary User can use the same nhs.net email address or alternatively they can use another email address. How many Primary Users can an organisation have? An organisation can have as many Primary Users for an organisation as needed. How many Submitting Users can an organisation have? An organisation can have as many Submitting Users for an organisation as needed. How do I access the Submitting Users page after the secure token has expired? If a Primary User wants to add further Submitting Users for their organisation they can follow the data landing manager link and re-enter their nhs.net email address to receive another secure token. Alternatively, if the Primary User has an earlier email containing a secure token link, they can follow the link within that email and receive a new secure token. How can an organisation delete a Submitting User from Data Landing? To delete a Submitting User from Data Landing where access is no longer required, the original Primary User who created/added them to the system would need to delete them. How can a Submitting User change organisations? For a Submitting User to change the organisation they are registered against in Data Landing, they would need to first be removed from the organisation they are currently associated with. If the Submitting User knows who added them to their previous organisation then they can ask them to remove them so that the Submitting User can be added to their new organistaion. If the Submitting User is unsure of the organisation they are associated with, they should contact the NDA team by emailing [email protected] and the team will assist. Once a Submitting User has been removed from an organisation, they can be added to a new organisation as a Submitting User. How can a Submitting User submit for more than one organisation? Do I need to change organisations each time I submit data? No, if you need to submit for multiple organisation e.g Gp practices or hospitals then you can do so under the one registration as long as you are registered under one of the organisations you will be submitting data for. When you do access the audit to submit data you will be asked to provide the organisation code of the organisation you are submitting data for which can be different to the one you are registered with. Please only change your organisation if you have moved organisations and are no longer associated with your previous organisation. A Submitting User has left the organisation is there anything I need to do? Yes, you can either ask the Primary Contact to remove their Data Landing access on the organisation’s Submitting Users page for their organisation, see Step 7 in Data Landing registrations guidance for further details.or email the NDA team at [email protected] Next Steps Clinical Audit Platform – How do I register? Once a Submitting User has been given access to Data Landing, they are required to create a single sign on (SSO) account for the Clinical Audit Platform (CAP). Submitting Users need to ensure that the email address added to Data Landing is the same email address used to create their SSO. To create an SSO account, follow this link and complete all the fields. For the first time this year, information on people with diabetes who also have a learning disability was also collected and published.. A separate report will be published later in 2017 for insulin pump clinics. The data covers the 2015-16 collection for the audit.
