Introduction 1 Introduction The purpose of this manual is to provide information and process steps to enable the review of the structure of public examinations and their associated assessments and notify the Academic Records Offices of any changes required. 1.1 Intended Audience This manual is intended for departmental and divisional staff who will review and agree the SITS exam entry criteria for award programmes. 1.2 Pre-requisites It is assumed that you have: Knowledge of the components that comprise award programmes, assessments and public examinations structures for your department/division Basic web browser knowledge Basic knowledge of using a computer, keyboard and mouse Access to the eVision ‘Navigation’ quick reference guide 1.3 Objectives On completion of this manual, you will be able to: Review examination structures within eVision Request amendments to existing assessments Request amendments to the examination rules Define new assessments Submit amendments and new definitions to the Academic Records Office 1.4 Conventions Indicates additional useful information Indicates an important piece of information, take particular care to read this In this case you would click on the File menu, then select Open ASSMN001Assessment Review Manual v0.9 Page 5 The Assessment Review Process 2 The Assessment Review Process The public examination structure, comprising the preliminary and final examinations, will be reviewed each summer in preparation for the forthcoming academic year i.e. in June/July 2015, the structure for the 2015/16 academic year will be reviewed. The approved examination structure will then be presented to students during on-line exam entry to enable the selection of their assessments. Note: There are some exceptions to this process where the examination structure has rules that are less definable, for example, Continuing Education. Where this is the case, the examination structure will be available for review but the students may not have access to on-line exam entry and a manual process for entering student selection will apply. The assessment review will be initiated by a request from the Academic Records Office (ARO) and will take place using the eVision web application. During the process, the following will be reviewed: The accuracy of examination structure elements i.e. compulsory, optional/elective assessments Applied assessment requisites and rules e.g. assessment A should be taken before assessment B, or, if assessment A is selected, assessment C cannot be selected The composition of compulsory and elective assessment groupings and their rules e.g. select five assessments from group A and three from group B The assessment method(s) and duration The method of reporting the results i.e. individual assessment marks or overall mark The term(s) in which the assessment is available for selection Statuses are used during the review process to identify the stage an individual examination structure review has reached and are described below: Status Definition In Progress A requested assessment amendment can be saved pending submission to ARO. An examination structure with one or more saved but not submitted assessments will be marked as ‘In Progress’. No further amendments can be made to an assessment with this status although the requested amendments can be viewed. Accepted An examination structure which does not require any amendment and has been accepted as accurate, will be marked ‘Accepted’. Amended This status will be displayed when any required amendment(s) for the examination structure have been submitted to ARO. Approved After the amendment is made by ARO, this status will be displayed, and the assessment will be available again for review. Further amendments cannot be requested through eVision. After the departmental/divisional review has taken place, the reviewer will receive confirmation of their acceptance of the structure(s) or their amendments by email. The details of any required additions or amendments to the presented examination structures will be forward to ARO for updates to be made. The amendments will then be reviewable via the same eVision page. Once any submission is made, further amendments to the Examination Structure cannot be requested, until the ARO have completed the changes on the system. When multiple schools need to review and request amendments, a shared process needs to used so that an Examination Structure is not locked down by the first school reviewing or requesting an amendment. This would prevent another school reviewing and submitting additional amendments. There are two suggested options: a) Each Joint Schools administrator can login and make amendments to their own part of the Joint School but these changes should not be submitted until all administrators have checked the assessments and structure. Therefore, you will need to liaise with each other and agree when and who will submit the final changes. OR b) You can nominate one administrator who will gather any changes/comments from the other administrators and will then be the only person to login and submit the changes on behalf of all. It would be useful if you could inform the ARO of which option has been chosen for each Joint School and who the ‘lead’ administrator will be. ASSMN001Assessment Review Manual v0.9 Page 7 Useful Information 3 Useful Information 3.1 Terminology Term Description Assessment Type How the assessment performance will be measured e.g. written exam, submission, presentation, oral etc. Assessment Code e.g. A11651. A unique code for the assessment following the convention [alpha ‘Type’ code]_[5 digit number] ‘Type’ code = Central Exams, ContEd Exams etc. 5 digit number = random generation Duration The duration of the assessment in minutes e.g. 180 for a written assessment. Examination Structure Code e.g. UA_BG1_CBLS_13, a unique code for the examination structure following the convention [Level]_[SITS Course Code]_[Exam Code]_[Last two digits of the academic year] Overall Mark Confirms that the overall mark is required on the transcript rather than the marks attributed to the individual assessments that make up the overall mark. (See Reporting Results entry below for more information. This option will appear in the Assessment Type information as well as in the Reporting Results information. Reporting Results Details how the assessment result will be reported and appear on the transcript if there is more than one method of assessment, e.g. written exam and submission. The options are: 1. Overall only = overall assessment unit result 2. Assessment = each individual assessment that comprises the overall assessment record will be displayed Both = a combination of 1 and 2 above. Responsible Department The department that ‘owns’ the assessment. Requisites The requisite rules define which assessments should be taken together should not be taken together are required but can be taken at any time ASSMN001Assessment Review Manual v0.9 Page 8 Searching for and Selecting an Examination Structure 4 Accessing the Assessment Review Functionality 1) Select Examinations from the menu at the top of the screen to display the Examinations options. Note: The options in the menu along the top and the selections within the body of the page will vary, depending on individual security access. 2) Click on the Assessment Review link at the bottom of the Assessment Review section. 5 Searching for and Selecting an Examination Structure You can use any combination of the fields on the search page to find an examination structure or a group of examination structures that share a common reference. You can also use the * wildcard in the four input fields. This section of the manual covers: ASSMN001Assessment Review Manual v0.9 Page 9 Searching for and Selecting an Examination Structure Searching for an examination structure (5.1) Selecting an examination structure for review (5.2) 5.1 Searching for an Examination Structure 1) Enter text and/or numeric information (search criteria) in one or more of the first four fields (not case sensitive). (Example search criteria can be found in the table below.) Note: If using the * wildcard, it should be placed at the start of the text and at the end e.g. *CCAH*, *English* 2) Select the academic year from the Academic Year drop-down list. Warning: If you select ‘All’ academic years it will search across all records. As each examination structure has a unique record in each academic year this could result in large quantities of records being returned and may impact the response time. Example Search Criteria To search for .... Use .... A particular examination structure The Examination Structure Code e.g. UA_BG1_CBLS_13 Or The Examination Structure Title e.g. Preliminary Examination in Biological Sciences Or The Course name e.g. BA Biological Sciences And The Year of Study numeric value e.g. 1,2,3 A group of examination structures Common text/values in one of the Examination Structure Code, Examination Structure Title, or Course fields using the wildcard where appropriate. For example, *English* in the Examination Structure Title field will return all Examination structures with English in the title. 3) From the Review Status drop down list, select the option. For further information regarding the options, see the table below. In Progress Examination structures with saved amendments but which have not yet been submitted to ARO for the changes to be made. Accepted Examination structures that require no amendment and have been accepted by the department/division. Amended Examinations structures that have submitted amendments and are awaiting approval by ARO. Approved Examination structures that have been amended and approved. 4) Click 5) Search results are returned on a new eVision page (see section 5.2 Selecting an Examination Structure for Review), but If no matching records are found, the following message is displayed on the search page. 5.2 to start the search process. Selecting an Examination Structure for Review Note: The number of examination structures returned following a successful search depends on the criteria selected. For example, the following criteria resulted in the above two entries. The default is 10. Click the drop-down arrow to select 25, 50 or 100. Apply an additional filter to the results. Review next batch of records Use the option at the top right to apply an additional filter to the search results. For example, if you only wanted to review examination structures with a status of ‘In Progress’, enter the status text in the search box. Delete the input search text to return the list to its original state. Note: This search looks at all fields where the search text is found. For example, if ‘2’ is entered with the intention of only returning the ‘Year of Study = 2’ entries, it would also return any results where the academic year includes ‘2’. Use the buttons at the bottom right of the page to move to the next/previous page of entries. To select an examination structure: 1) Locate the required entry using one of the filtering or display options described in the table above. 2) Click in to the left of the required entry, or anywhere on the row. The different elements are described below: Note: The filter and display options listed below (and described more fully in the table on page 11) can be used in each of the examination structure elements described in this section. Apply an additional filter Review the next batch of records Examination Structure Details – This element is always included and defines the examination structure selected. Compulsory Assessments – This element is included where compulsory assessments form part of the structure. ASSMN001Assessment Review Manual v0.9 Page 14 Reviewing and Updating an Examination Structure Elective Assessments – This element will be included where elective assessments form part of the structure. They may be divided into several elective groups, e.g. where a number of electives must be selected from one group and additional electives from another group. This is defined by use of AND and OR statements which are displayed on the screen. Note: Where an assessment has been reviewed an amendment request submitted to ARO, the item will be shaded as is displayed above (assessment code A12181). Amended items also appear in the Assessment Request element as shown below. Assessment Request/s – This element will be included where an amendment to an assessment, or a new assessment, has been requested and is pending approval. It will appear at the bottom of the Assessment Review screen. ASSMN001Assessment Review Manual v0.9 Page 15 Reviewing and Updating an Examination Structure 6.2 Reviewing the Assessments within the Examination Structure Content All assessments detailed in the examination structure must be reviewed individually to ensure accuracy. 1) Select the required examination structure following the instructions in Section 5 Searching for and Selecting an Examination Structure. 2) Select the first assessment to be reviewed by clicking on the row. 3) Review the details for accuracy. Note: For further information regarding terminology, refer to 3.1 Terminology 4) Select one of the following options to continue: If you want to .... Then .... Accept the assessment record as correct a) Click b) Go to step 5) Amend any of the assessment details a) Click b) Go to section 6.2.1 Requesting an Amendment to an Assessment Remove the assessment from the examination structure a) Click b) Add the reason for removal in the text box at the bottom of the form c) Click d) Go to step 5) 5) Repeat steps 1) to 4) until all assessments within the examination structure have been reviewed and the appropriate action taken. Then move to step 0. Note: As you work through the assessments, the Assessment Request/s element at the bottom of the Examination Structure page will be populated. A list of all assessments requiring amendment or deletion is displayed. Then .... Request a new assessment to be added to the examination structure. a) Click b) Go to section 6.3 Requesting a New Assessment within the Examination Structure. Amend the Assessment Rules e.g. which a) electives are compulsory/optional or requisites. Go to section 6.4 Requesting an Amendment to Assessment Rules within the Examination Structure. Submit the examination structure without further amendments. Click 7) a) b) Go to section 6.8 Submitting a Reviewed Examination Structure. Repeat step 0 until the review is complete, all required changes have been made and the examination structure has been submitted. 6.2.1 Requesting an Amendment to an Assessment Note: To access the Amend Assessment page follow steps 1) to 4) of section 0 Reviewing the Assessments within the Examination The Name of the assessment should only be changed to correct a typo. Changing the title normally has significant ramifications in the system. 1) Make amendments to any of the yellow shaded fields as required. These fields are mandatory and each requires an entry. If adding to, or amending the Assessment Type information within the Assessments block, please read the note below. Note: When amending assessments please make note of the following: a) Existing assessment types can be removed by clicking relevant assessment type). ASSMN001Assessment Review Manual v0.9 Page 17 (to the right of the Reviewing and Updating an Examination Structure b) New assessment types can be added using the yellow shaded drop down field. If you wish to add more than one new assessment type, click (to the right of the last entry) to create a new input field below the current row. c) When adding an assessment type with a time limit e.g. Written Exam, enter the time limit period, in minutes, in the adjacent Duration field. d) Ensure you enter a Title in the Title field. 2) In the Requisites field, if required, add any requisite information/amendments relating to the assessment e.g. ‘Must be taken before A11677 or must be taken with A11679’. 3) In the Additional Notes field, if required, enter any notes to support the requested amendment. 4) Click . Note: Once saved, the status of the assessment changes to ‘In Progress’. This status will remain until the changes are submitted to ARO at which point the status will change to ‘Amended’. The amended assessment will also be added to the list of Assessment Request/s at the bottom of the Examination Structure page. If any mandatory fields have not been completed, the following message is displayed at the bottom of the page: 5) Select one of the following options to continue the review of the examination structure: If .... These fields are mandatory and each requires an entry. If adding to, or amending the Assessment Type information within the Assessments block, please read the note below. Note: When creating assessment type records please make note of the following: a) Add new assessment type(s) using the yellow shaded drop-down field. If you wish to add more than one new assessment type, click (to the right of the last entry) to create a new input field below. b) When adding an assessment type with a time limit e.g. Written Exam, enter the time limit period, in minutes, in the adjacent Duration input box. c) 3) Ensure you enter a Title in the Title field. In the Requisites field, if required, add any requisite information/amendments relating to the assessment e.g. ‘Must be taken before A11677 or must be taken with A11679’. Note: It is essential that additional information about the new assessment is recorded in Notes. For example; has this assessment been offered by this course previously, or is it already being offered by another course or is it new? If already offered, please state either when this was last offered for this course or which course it is taken from. 4) In the Additional Notes field, if required, enter any notes to support the changes. Be very clear with any description of combinations of assessments using AND and OR operators. Save the additional assessment and return to the Examination Structure page. Save the additional assessment and retain the New Assessment page to allow another new assessment to be created. If any mandatory fields have not been completed, the following message is displayed at the bottom of the page: Note: Saving the new assessment will set the status to ‘In Progress’. This status will remain until the changes are submitted to ARO at which point the status will change to ‘Amended’. The new assessment will also be added to the list of Assessment Request/s at the bottom of the Examination Structure page. 6) Select one of the following options to continue the review of the examination structure: If .... Page 20 Reviewing and Updating an Examination Structure 6.4 Requesting an Amendment to Assessment Rules within the Examination Structure Once you are happy that the assessments details are correct, the overall examination structure ‘rules’ should be reviewed. An examination structure can be configured to have rules that control the selection a student can make when selecting from the available assessments. Example rules include: Choose 3 assessments from the following 6 electives contained in this block Choose 2 assessments from the following 4 (in block 1) and choose 3 from the following 8 (in block 2) or 4 from the following 8 (in block 3) There can be an unlimited number of blocks of assessments and any combination of OR and AND logic can be applied to specifically control the possible selections. The ARO modify the examination structures based on the requests they receive via eVision Assessment Review. If .... Then .... Amendments to an individual assessment are required Refer to the section: Amendments to the overall examination structure are required Follow the steps in ASSMN001Assessment Review Manual v0.9 6.2.1 Requesting an Amendment to an Assessment Page 21 6.5Requesting amendments to the overall Examination Structure Reviewing and Updating an Examination Structure 6.5 Requesting amendments to the overall Examination Structure Each examination structure may have rules to specify how many assessments must be selected for any given group/block of assessments. In the example below, a minimum of 5 and a maximum of 8 electives must be chosen. To request amendments to the rule, the Amend Text button should be used to inform the ARO of the required amendments. 1) Select the required examination structure, following the instructions in Section 5 Searching for and Selecting an Examination Structure. 2) Review the existing rules (if any). 3) Click 4) Enter the revised text/rule into the text field. 5) Click Save. A summary of the requested amendment is displayed at the bottom of the screen. ASSMN001Assessment Review Manual v0.9 Page 22 Reviewing and Updating an Examination Structure 6.6 Amending Help Text Help text is displayed to students to assist them in selecting assessments and it can be displayed at the top of the examination structure or within each block of assessments. To amend the help text: 1) Click 2) Enter the amended text in the text field 3) Click Save. ASSMN001Assessment Review Manual v0.9 Page 23 Reviewing and Updating an Examination Structure 6.7 Other Comments If an examination structure requires additional amendment not covered by the methods previously described, or a more complex rule(s) to be applied, the Add Other Comments field should be used to inform the ARO. 1) Select the required examination structure, following the instructions in Section 5 Searching for and Selecting an Examination Structure. 2) Click at the bottom of the screen. A text field appears and the details of the amendment or any additional rule can be entered. 3) Click Save when you have entered the details. You will be returned to the Examination Structure screen with the details previously entered displayed at the bottom of the screen. 4) Select one of the following options to continue the review of the examination structure: If .... Note: To access the Review Assessments page, follow the steps in section 5.2 Selecting an Examination Structure for Review. 2) Check the requested assessment and/or examination structure rule amendments as detailed at the bottom of the page. 3) Click to complete the review process, or to return to the Review Assessments page. Note: Submitting the amendments to the Examination Structure will result in the following actions: An email notification, with an attached document confirming the changes requested, will be sent to the Academic Records Office and the originator of the amendment. Examples of the emails sent can be found in 7.1 Examples of Automatic Email Confirmations Sent The status of the examination structure will be changed to ‘Approved’. The Submit button will disappear from the Review Assessments page of the examination structure until the amendments have been made and the status is changed to ‘Accepted’. No changes can be made to any submissions, until the ARO have accepted or rejected them. This is especially important when multiple schools review the same Examination Structure.
