Attendance Procedures and Banner for Fall 2010
Cindy Mowry and I met on Tuesday to discuss Attendance issues and how they
would be implemented in Banner. Based on that meeting and with additional
input from Doug Lukasik, the following is a list of what we interpret the policy to
be, and how we can use Banner to do this. We would like to use the 10AM
Student Core meeting on Monday, 7/19 to discuss these issues and make some
final decisions so training materials, etc. can be developed. We would especially
like to have the following people present for this meeting: Marty Guzzi, Julie
Peacock, Cindy Mowry, Doug Lukasik (we know you are on vacation, but could
you send someone), Julie Lakin, Scot Beekman, JoEllen Hartman and Beth
Mollen.
Suggested Policy and Procedure for Attendance (with questions in RED):
1. Department secretaries will use Argos to print class lists by subject to
distribute to department faculty to be used for Attendance taking.
a. This must be done BEFORE the first day of classes.
b. All departments need ARGOS installed on a department computer
with instructions on how to generate the class lists.
2. Attendance will be taken for the FIRST 3 WEEKS of classes for full term
courses.
a. Faculty must denote if a student has NEVER ATTENDED.
b. Faculty should denote absent students.
c. Do we want to continue to denote absences with an A and
attendance with a blank on these sheets?
3. At the end of the 3rd week of classes for FULL-Term sections, each
Faculty member must enter the attendance information using MyCollege
and the Attendance and Midterm Grades link.
a. A suggestion for how this can easily be done is to use the Attend
Hours column.
i. A 0 can be entered here to indicate that a student has never
attended.
ii. This would seem to be the simplest and easiest
implementation since entering a date of 00/00/0000 would
not be allowed since the Last Attendance date is validated.
b. No other attendance data would need to be entered, since only the
students that have NEVER attended will be dropped at this time
and their financial aid affected.

4. Should the Class lists indicating those never attending be sent to the
Registrar's office for appropriate attendance drop coding or can a script be
developed to look at the Hours Attended field for each student in each
class section and enter the appropriate drop code and produce a report of
all these students for notification?

5. Faculty will have to continue to take attendance based on their
individual attendance policies for each course since at the end of the
semester when FINAL GRADES are entered, the LAST DATE OF
ATTENDANCE (MM/DD/YYYY) must be entered for ALL students
receiving an F grade.
a. This is because their Financial Aid may have to be adjusted based
on their attendance. It will NOT affect the assigned grade.
b. No official grade sheets will have to be handed in for this.
c. It will be based on the Last Attend Date entered in the Final Grades
screen by the Faculty.

6. Attendance will need to be taken for all parts of term.
a. Attendance will be due on the census date for all parts of term (first
day of W grading for each)
b. The process will be EXACTLY the same.
7. It will be useful to change the name of the link on the Faculty and Advisor
screen to ATTENDANCE and Midterm Grades, so it will be less confusing
to the faculty. Additionally we should check if it is possible to make this
same change in the Page heading. There is a little i (information icon) that
would probably provide for some “BCC personalized instruction”.
8. Reminder notices may have to be set up for the attendance due dates.
9. The attendance information can also be accessed on the SFAALST form
(Class Attendance Roster) on INB Banner. This is the Attend Hours field
that could be accessed to determine those students that never attended
for reporting purposes.
a. Hopefully an Argos report for the Registrar can be generated listing
student IDs with CRNs for the faculty identified “Never Attended”.
b. A similar sample report may be available from ACC
10. Some other questions(general- not specific to attendance):
a. Can the Midterm grade choices be changed to just D/F/U?
b. Can the time-out be changed to 30 minutes?
