Exclusive booking of the lounge will not be considered during peak hours on weekdays, i.e. from 12 p.m. to 2 p.m., except for hirers of Chiang Chen Studio Theatre. Applications for exclusive booking of the lounge should be made at least two weeks in advance on a first-come-first-served basis. 2. Applicants should be the following eligible users. Guests accompanied by eligible users are allowed to use the Lounge. Caterer shall have the right to ask for proof of eligibility from any users. a) Hirers of Chiang Chen Studio Theatre* b) PolyU staff, students, retirees or alumni for organizing PolyU-related activities** *Theatre hirers will be given priority in booking the Lounge, which can be confirmed three months in advance. **Non-theatre hirers’ bookings can only be confirmed one month in advance. A minimum of 2-hour booking is required based on the following rates: a) Theatre hirer - HK$65 per hour b) Non-Theatre hirer - HK$125 per hour Applicants should arrange payment one week in advance either by cash/cheque at the Finance Office’s Cashier Counter (located at VA205 in the Campus) or by account transfer. Should you pay by account transfer, simply fill in the departmental account code on the booking form and submit to the Catering Manager. 3. For any cancellation, at least three days prior notice is required. Any paid hiring fee will not be refunded. 4. Opening hours, conditions of booking time and minimum food and beverage charges: Opening Hours Monday – Saturday Sunday & Public Holidays 10:30 – 20:30 Closed Booking Time Conditions Exclusive booking outside normal opening hours will be considered subject to availability. Non-exclusive bookings will not be entertained. Minimum Charges for Food & Beverages 12:00 – 14:00 HK$7,500 14:30 – 17:30 HK$3,000 17:30 – 20:30 HK$3,500 5. Lounge Capacity : 6. Organizers bringing guests/participants into the Lounge shall be responsible for the conduct of their guests/participants and ensure nuisance or inconvenience is not caused to other users. 7. Smoking is prohibited in the Lounge. Alcoholic drinks can be served during a function in the premises. 8. Consumption of food and beverages other than those provided by Caterers is prohibited inside the Lounge. 9. All kinds of games (e.g. card games, chess games) are not allowed in the Lounge during normal opening hours. Maximum 100 persons for tea / cocktail reception; Maximum 76 sets for set meals 10. Without the prior permission of the Catering Committee or Catering Manager, all function activities other than that declared in the requisition form are not allowed. 11. Without prior permission from the Catering Committee or Catering Manager, banners, posters and notices are not allowed to display inside the Lounge. 12. Hirers should ensure that the function held is in compliance with the rules and regulations laid down by all concerned public and private authorities, including obtaining prior permission from the Composers and Authors Society of Hong Kong Ltd. for any broadcasting of pop music inside the premises at all times. 13. All equipment and properties brought into the Lounge must be removed at the end of the function. 14. University and Caterers will not be responsible or liable for any loss or damage of the properties brought into the Lounge by any users or guests. 15. All properties at the Lounge such as furniture, glass, crockery and cutlery shall not be taken away from the premises without the consent of Caterers. 16. Hirers shall be responsible for all damages to the Lounge howsoever caused by the users or their guests. Hirers are required to compensate the University or the Caterers for the loss sustained. 17. Caterers reserve the right to refuse entry of users who do not comply with any of these regulations. 18. Caterers operating in the catering premises have the authority to enforce these regulations as instructed by the Catering Committee. If any matter is not covered by the above regulations, the Catering Committee reserves the right to give further reasonable instructions to the hirers. Hirers shall comply with such instructions. 19. All information collected in this form will only be used for processing the application. This application form will be kept for one year and will be destroyed afterwards. 20.
