Board position description

Our Parent Teacher Student Association (PTSA) is led by a dedicated group of Volunteers. You
need to have a heart to serve our students and the desire to make LNMS the best school
around!
The PTSA Board is currently collecting applications for leadership positions for the 2017-2018
school year. Please contact the Board if you are interested in ANY Executive Board or
Committee position. Our goal is to build connections among our amazing leaders.

EXECUTIVE BOARD POSITION DESCRIPTIONS
The Board solicits applications for these positions and nominates a slate for vote by the General
Membership at the May General Meeting.
President
Facilitates the creation of a caring community of parent volunteers and ensures support to
teachers/staff.
Confers with the Principal and Executive Committee regarding the school community’s
wants/needs, plans for the year, and progress toward goals.
Oversees and provides guidance to the other Executive Committee members and committee
chairs.
Oversees implementation of the budget.
Presides over PTSA Membership meetings and Executive Board meetings.
Attends PTA council meetings when possible.
Files his/her signature at the bank containing PTSA funds upon taking office.
Co-signs or approves all letters and/or communications.
Collaborates with the Principal or Principal’s designee to add PTSA sponsored events to the
school calendar.
Acts as an official representative of the school PTSA.
Responsible for the accuracy of PTSA information and compliance with PTSA Bylaws and
Standing Rules.
Updates Bylaws as needed/required.
Cooperates with Incoming PTSA President and Board after election to ensure a smooth
transition.
Vice President of Fundraising
Acts as the point person for all PTSA fundraisers.
Evaluates fund raising events throughout the year and determines the effectiveness of
fundraising efforts.
Oversees and provides guidance to the committee chairs involved in fundraising efforts.
Attends all Executive Board Meetings and General Membership Meetings.
Presents a report at meetings to summarize fundraising efforts.
Coordinates/prepares the advertising/communications concerning fundraising efforts.
Vice President of Membership
Responsible for the recruitment of new and renewing PTSA members and distribution of
membership cards.
Reports membership statistics to PTSA governing groups. Ensures that applicable dues/fees are
paid.
Maintains a current list of members including dues paid and contact information.
Attends all Executive Board Meetings and General Membership Meetings.
Presents a report at meetings to summarize membership efforts.
Coordinates/prepares the advertising/communications concerning membership efforts.
Vice President of Committees
Monitor that all committees are functioning accurately and within budget.
Committee Chairs report into VP of Committees and VP of Committee should be the first point
of contact for all chairs.
Help recruit committee chairpersons for all vacant standing committees and ensure that all
committees have an adequate staff of parent volunteers to function properly.
Treasurer
Controls all funds of the PTSA by accounting for all receipts and expenditures.
Makes disbursements as authorized by the president, Executive Board or General Membership.
Prepares the PTSA budget for review and approval by members at the first general meeting in
cooperation with the Executive Board and budget committee if applicable.
Prepares and submits all tax related documents.
Files his/her signature at the bank containing PTSA funds upon taking office.
Instructs Executive Board members on the expense process.
Ensures that expenditures are approved before being incurred.
Ensures all treasurer reports and financial statements are prepared for the Audit Committee by
July 15th each year.
Attends all Executive Board Meetings and General Membership Meetings.
Presents a Financial Report at all meetings.
Recording Secretary
Prepares and distributes the meeting agendas with the President.
Prepares and distributes the meeting minutes.
Tracks attendance at Executive Board Meetings and General Membership Meetings.
Prepares rooms for meetings.
Maintains records of sign in sheets, agendas, minutes, bylaws and standing rules.
Provides ballots for all elections.
Prepares presentations for meetings.
Presents Standing Rules and Procedures annually and prepares revisions as discussed by the
Executive Board.
Attends all Executive Board Meetings and General Membership Meetings.
Communications
Responsible for dissemination of information to the general membership and the community.
Prepares email blasts, maintains Facebook page and updates Website.
Maintains PTSA website and PTSA email addresses.
Acts as Executive Board liaison.
Attends all Executive Board Meetings and General Membership Meetings.
Presents a report (if needed) at meetings to summarize communication efforts.
Prepares communications on behalf of the PTSA and Executive Board.
COMMITTEE CHAIRPERSON POSITIONS
Volunteer Chair
Serves as the primary coordinator to fill PTSA volunteer needs.
Creates volunteer sign-ups for events/activities.
Coordinates volunteer recruitment.
Maintains a database of volunteers.
Works with school staff as needed to ensure volunteers are ADDitions approved.
Coordinates/prepares the advertising/communications concerning volunteer efforts.
Box Tops Chair
Coordinates collection, trimming, counting, and submission of Box Tops for Education two to
three times each year.
Decorations Chair
Works closely with Student Dance Chair and Teacher Appreciation Chair to provide decorations
for monthly teacher appreciation events and Student dances.
Provides decorations for other events as needed
Student Dance Chair
Responsible for coordinate the theme, decorations, advertising and concessions for each of the
four dances that occur during school year
Sell wristbands before the dance-works with volunteer coordinator to secure adequate number
of volunteers to staff all lunches prior to event for wristband sales
Work with VP of Fundraising to coordinate donations for raffles and giveaways
Oversee the event.
Attend monthly General meetings.
Secures venue, DJ, Administration and LNHS Volunteers.
Spirit Nights Chair
Works closely with VP Fundraising to coordinate Spirit Nights with local restaurants.
Teacher Appreciation Chair
Coordinates appreciation events for our faculty and staff monthly including Back to School
Breakfast (August) and Teacher Appreciation Week (May)
Sports Concessions Chair
Coordinates concession sales at all home LNMS Sporting events (Volleyball/Basketball).
Responsible for procuring concession items for sale and restocking.
Secures volunteers if needed.
Banner Program Chair
Works closely with the VP of Fundraising and the President; Collaborates with local businesses,
handles questions/issues with Vendor banners, hangs banners, removes banners, keeps files of
all banner agreements; Works closely with VP of Fundraising during Special Events to gain
Vendor Support and hang Banners during Special Events only
