Removing Duplicates from your EndNote Library and Exporting

BEFORE YOU BEGIN REMOVING DUPLICATES:

Import your search results one database a time into separate groups. Start with only
the first two databases because we’re going to need to remove internal and external
duplicates. After you remove duplicates between your first two databases, you can bring
in a third, fourth and so on.
When you bring in a set of results add the Database Name to the Name of Database
field. You can do this by highlighting all of your references, select Tools,
Change/Move/Copy Fields. Select “Name of Database,” “Replace Whole Field With” and
name your database.
Set Preferences for Deduping: Edit, Preferences, Uncheck Reference Type and Author

Prepare EndNote Fields for Deduping: “Edit”, “Preferences”, “Display Fields”. The
Record Number, Author, Year Pages and Title are the most important fields for
deduping.
HOW TO FIND DUPLICATES
You should only have two sets of database results in your library at this point.
1. Select your first group of results (Ovid Medline) and find
internal duplicates: References, Find Duplicates. Look
through the found duplicates to ensure that they are indeed
duplicates. Move these duplicates to a new Duplicates
EndNote Database. Record the number of internal
duplicates on your spreadsheet.
2. Select your second set of results (Embase), remove internal
duplicates. Move these duplicates to a new Duplicates
EndNote Database. Record the number of internal
duplicates on your spreadsheet.
3. Once internal duplicates (duplicates within a database) are
removed and recorded on your spreadsheet, search for external duplicates
(duplicates between databases) with EndNote: References, Find Duplicates. Look
through the found duplicates to ensure that they are indeed duplicates. Move these
duplicates to your Duplicates EndNote Library. Record the number of external
duplicates on your spreadsheet.
4. Add another set of database results to your library and repeat step 3. Do this until all
of your references have been added to a Final EndNote Library and your duplicates
are in a separate library.
HOW TO MOVE REFERENCES TO EXCEL
1. Create an Excel Style in EndNote: Go to Edit, Output Styles, New Style. Under
Bibliography, Select Templates, choose Journal under the Reference Types tab. You will
need to enter the fields of your choice, plus a tab between each field. For instance,
under Insert Field, choose Author. The word Author should appear in your Journal Article
reference. Next, go to Insert Field and choose Tab. Next, go to Insert Field and choose
Year, etc.
2. Save our style as Excel Style by going to File, Save as and naming your style. You will
need to include a Reference Type for books, book chapters, web pages, etc. if these are
included in your library. Close out your style by clicking on the small light blue X in the
upper right hand corner of your EndNote Library.
3. Next, select your newly created Excel style in EndNote by clicking on the style menu and
choosing Select Another Style. Choose Excel Style.
4. Select Ctrl+A to highlight all of your references. Go to Edit, Find and Replace. Select
Any Field. In the Find box, click on the Insert Special button and choose Carriage
Return.
5. Go to the Replace With box, enter a semicolon and a space. Choose Change.
6. Select Ctrl+A to highlight all of your references. Go to File, Export and choose Excel
Style as your Output Style.
7. Next, open Excel. Go to File, Open, and open your newly saved txt file. The Text Import
Wizard should say Delimited. Choose Next. The next window should say Tab, choose
Next. Choose Finish and the file should be available.
