Church Coordinator Instructions GATHERINGS: Board Representative or committee member makes contact with church coordinator. Responsibility of church coordinator: 1. Secure date, day and time for use of facility 2. Pastor involvement a. Fourth Day Speaker (3-5 minutes/Fourth Day/2 Questions from closing) b. Communion 3. Secure sound/media (Emmaus church volunteer) 4. Set up/clean up team 5. Communion elements 6. Childcare – ensure at least 2 people are on hand for child care. Payment will be made thru the FSE Treasurer at the rate of $10.00 per hour. FOURTH DAY GATHERING: All of the above and: 1. Facility available for 5 pm meeting with pilgrims, sponsors and board 2. Two rooms for weekend group meeting 3. Dining facility 4. Sanctuary for Worship & Communion Suggestions for monthly, quarterly, semiannual & annual Church Emmaus group participation and to ignite awareness: 1. Fellowship opportunities among group; dinner, agape parties 2. Promoting sponsorship a. Leadership/potential leadership persons b. Youth Pastors c. Pastors d. Musicians 3. Information sessions for interested individuals 4. Brochures, announcements, newsletter & bulletin items 5. Group reunion involvement & placement 6. Share current FSE Community events, changes and information with local church group regularly 7. Set up fund/donations for local fund to take care of expenses such as media/sound tech, agape supplies, sponsorship for someone who cannot necessarily afford it, snacks for information sessions or fellowship, etc. Basic Timeline for Gatherings Friday gathering: From 7-8 PM. Start with Praise & worship, Community Lay Director announcements, (Training talks on occasion), introduction of 4 th Day speaker, 4th Day talk, Clergy response to 4th Day talk leading to Communion. 8-9 PM: Presiding clergy opens with Grace. Coffee/beverages provided by host church. Dessert/snacks provided by community. Approximately 2 HOURS total Saturday gathering: 6-7:30 PM. Presiding clergy opens with Grace. Coffee/beverages provided by host church. Covered dish dinner provided by community. 7:30-8:30 PM Start with Praise & worship, Community Lay Director announcements, (Training talks on occasion), introduction of 4th Day speaker, 4th Day talk, Clergy response to 4th Day talk leading to Communion. Approximately 2.5 HOURS total Fourth Day Gatherings: 5-6 PM Sponsors & pilgrims meet in sanctuary for Emmaus Board introductions and areas of responsibilities. 6-7:30 PM. Presiding clergy opens with Grace. Coffee/beverages provided by host church. Covered dish dinner provided by community. At approximately 6:45 PM, pilgrims and team leave dining area to go to break out rooms for reunion meeting. 7:30 PM community is in sanctuary starting with Praise and Worship. 7:45 PM, community ready to receive pilgrims with singing “When the Saints Come Marching In” while pilgrims and team march into sanctuary. Community Lay Director announcements, (Training talks on occasion), introduction of 4th Day speaker, 4th Day talk, Clergy response to 4th Day talk leading to Communion. Adjourn at approximately 8:45 PM. Approximately 4-5 HOURS total Host Church Responsibilities for Monthly Gatherings 1. Furnish plates, napkins, cups, eating utensils and nominal table decorations for approximately 100-125 people (FOURTH DAY GATHERINGS APPROXIMATELY 225-250). 2. Arrange for the Fourth Day Speaker (must be a member of the FSE Community) AND provide for someone to introduce the fourth day speaker – name to be provided to COMMUNITY LAY DIRECTOR, via email or at Gathering. FOURTH DAY WITNESS (Speaker) Talk should be 3-5 minutes in length. This is a person’s witness to God’s presence in his or her life and to developments in his or her walk with the risen Lord. The witness may stem from an experience, a spiritual learning, a reflection on a stretch of his or her spiritual journey, or a challenge to live more fully in holiness and service. The Fourth Day Witness is NOT a sermon, teaching, or exhortation. Nor is it an “Emmaus Talk,” or a nostalgic remembering one’s Emmaus weekend. The Fourth Day witness is a first person sharing that will cause others to reflect on God’s presence and call in their own lives and will inspire them to live more fully in grace as disciples. While the Fourth Day Witness should come from the heart, it should also be thoughtful and well-prepared. 3. Provide Communion Elements (grape juice, bread, chalice(s), serving cloth for bread, plates(s), etc. – for Fourth Day Gatherings TWO chalices and serving plates/cloths are necessary. 4. Arrange for a Pastor to consecrate the Communion elements. This Pastor MUST be a member of the Florida Sonrise Community. If the Pastor of the host church is NOT a member of the FSE Community, you may ask any Pastor who is a member of the community to service. Clergy response: The Fourth Day Witness (speaker) is sometimes followed by a response from the evening Spiritual Director in order to pull together the various thoughts and highlight further connections with the gospel. This response is NOT a sermon or even a prepared talk, but a scriptural reflection on the general theme of the Fourth Day Witness for the purpose of deepening the listener’s understanding of the connection between their lives and the story of God in Scripture. The Lay speaker would have shared the basic intent of the Fourth Day Witness with the Spiritual Director ahead of time. The clergy response is secondary to the Fourth Day Witness and should be no longer than 10 minutes. At the clergy’s discretion, they may ask the community for comments on the fourth day talk. The clergy response can also provide a transition to Holy Communion or be incorporated into a brief Holy Communion Meditation. 5. Provide Drinks (Coffee, tea, water) Soda may be provided as well. 6. Contact the community music coordinator to arrange necessary items for praise & worship. Make sure the musicians have access to sanctuary or fellowship hall in order to get instruments, microphones, etc. set up about 30-60 minutes ahead of time. 7. Provide childcare for approximately 6-10 children (approximately 20 for the 4th day gathering). The FSE Board requires all personnel providing childcare to have undergone a background check. Although volunteers are encouraged for this position, the FSE Board has authorized the rate of $10.00 per hour, per person, for a minimum of two persons (state law requirement of two persons). A check can be issued by the FSE Treasurer directly to the person if the Treasurer is present at the gathering and each child care providers fill out the attached form. Please let the gathering coordinator know if you will need payment for childcare providers.
