Users and Roles Tutorial Overview

Users and Roles Tutorial Overview
TD Bank BusinessDirect makes managing users and roles easier than ever. BusinessDirect has a state of
the art security model that allows you to assign the individual permissions for transferring between
accounts, initiating wires and ACH files, and paying bills. Assigning permissions at the account level allows
you to choose what accounts can be viewed and granting permissions at the business activity level allows
the business owner to assign only those activities for that user. These roles can then be saved to easily
allow you, the small business owner, the flexibility to setup employees and trusted partners to access your
business banking information. Edit and modify their access with just a few mouse clicks!
A robust security model built around tiered authority enables you to grant access at the following levels:
• Application Level- bill pay, transfers, and balances
• Transaction Level – create and modify transfers
•
Account Level- which accounts can be viewed or transacted on
• Threshold- allows you to set dollar limits on value based transactions.
Feel comfortable knowing that you are in control of your business and unauthorized transactions are not
allowed. The easy to use application permits you to easily add roles that suit your business need. For
example you can have a user who can transfer funds between checking and savings and another user who
has authority to generate a wire transfer. It’s up to you, you are in control. BusinessDirect’s detailed audit
reports give the business owner the tools they need to review transactions by their authorized users.
Note: Only the primary account holder can view personal account information. No one can provide
authorization for others to view the primary account holder’s personal banking information.

Quick and easy steps for managing your Roles and Users:
1) Managing Your Roles
•
•
Roles can be added, edited and deleted from the Manage Roles page. (Figure 1)
A role can also be set up so that sub-users can be assigned a role that has specific
access/permissions to the site. (For example, a "Payment Manager" role can be created where subusers belonging to that role cannot submit wires but can submit bill payments up to $5,000.
Or set up a "Vendor Administration" role allowing sub-users to add payees but not to submit bill
payments.)

You can also view a user list by role from this page by clicking on the View Users link for a specific
role. (Figure 2)

2) Add a Role
•
•
•
•
When adding a role, you can specify the access to which a user in that role is limited to.
You can grant access to a particular feature in the site (example: Transfers) and also grant access
to only specific accounts within that feature. (Figure 3)
Activity Access should be provided with caution. Providing User Administration gives complete
access to control other users.
To give the ability to only VIEW accounts you would assign the account portfolio Accounts access
only

•
•
•
•
If access to any monetary transactions is granted, you can specify if any approvals are required for
certain transactions over a specific dollar amount. (Figure 4)
For monetary transactions you may also set non-approval limits for transactions and daily limits
Approval settings can be set to the following:
o No Approval Required
o Single Approval Required (for a transaction over the specified limit)
o Dual Approval Required (for a transaction over the specified limit)
o Deny (for a transaction over the specified limit)
Access to set up only payees/receivers can also be granted without giving access to submitting
payments.

3) Edit or Delete a Role
•
•
Editing or deleting a role can be done at any time. (Figure 5 and 6)
NOTE: If a role is deleted, any users belonging to that role will be put in the "unassigned role"
category and must be assigned a new role in order to log in successfully.

4) Managing Your Users
• For
the BusinessDirect site, primary users (usually the business owners) that have enrolled for small
business online banking have the ability to set up sub-users.
• Sub-users have their own User ID, password, security questions and answers.
• Before setting up sub-users, roles must be set up so that sub-users can be assigned a role that has
specific access/permissions to the site. (For example, a "Payment Manager" role can be created where
sub-users belonging to that role cannot submit wires but can submit bill payments up to $5,000. Or set up
a "Vendor Administration" role for sub-users to add payees but not submit bill payments.)
• On the Manage Users page, the primary user (or any other user given the proper permission) can add or
edit sub-users. (Figure 7) NOTE: Sub-users cannot be deleted; they can only be marked as disabled and
would not be able to log in to the site.

5) Add Your Users
•
•
To add a sub-user, a sub-user must be assigned a role. (Figure 8)
When a sub-user signs on for the first time, he or she will have to go through the same process of
changing the password, accepting the user agreement and setting up security questions.

6) View or Edit Your Users
•
•
You may view or edit a sub-user but you cannot delete a sub-user.
To remove a sub-user's access from the site (temporarily or permanently), you can edit a subuser's
status to "Disabled". (Figure 9)

You may also reset a sub-user's password by clicking on the "Reset Password" button. The
following screen below would then be displayed. (Figure 10)
Remember that the password assigned on this page is only temporary. The user will be forced to
change this temporary password on their next login.
