Please keep in mind that all the results shown (especially in this class of reports) are
conditioned by the:
 accuracy of registrations and the
 correct use of system functions (like Exclude and Remove) !
In 2015 the use of Exclude has been often wrong and have not to be considered in reports.
Reports available:
Assignments
 Shows the members with a role assigned in the system (IG, Gakyil w/color, Membership
Coordinator, Operator) and their email.

Payments
a.1 MMS Reports under Reports - 2
 Shows the registrations of payments done in a selected Gar/Ling and in a selected period with
date, amount, name of member, characteristic of the registration, author. Easy to copy into excel.
 There is a limitation of visibility only over managed members (not on other lings for a ling, not on
other Gars for a Gar).
 There are 3 Totals at beginning, explained in the report itself.
Warning: the second total does not work according description when the period selected is two years.

Quarters
 Shows the total quarterly income by
year, including all membership years
paid in that quarter unless excluded
(not the payment of current year
only).
 Matches with 1st total of Payments
report.

Gar/Ling quarters
a.1 MMS Reports under Reports - 4
 Shows the list of Lings in a selected Gar with total quarterly income by year, including all membership years paid in
that quarter unless excluded (not the payment of current year only !). Matches with 1st total of Payments report.
 If the Gar share % was entered by the Gar (Admin/Manage_Ling_share), calculates the quarterly amount due by the
Ling to the Gar.
 If a member paid to the Gar but have Preferred Community entered in own personal data, the Refund column totals
the percentage of the Ling Share the Gar refunds to the Ling. Final column is the net due to Gar.
 Evidence of members paying in the quarter (of whatever membership year !!), of which how many are newcomers.
 Warning: the report counts the members who paid in each quarter, even if repetitive (so, the sum in the year may
be not meaningful)

Statistics
 Shows, for all Gars (direct membership only) and Lings, the number of members and the income
in the current and in the past year, referred only to the membership year, with the difference, by
type of membership
 (Warning: the report is not perfected and may sometimes give incorrect data if registrations are
not perfect, please cross-check the numbers on other reports).
 Missing each organization totals and Gar totals included Lings.

IDC share
 Shows the amount registered by the Gars (with possible detail of their Lings) since year beginning to the date of the report
for a selected year (in the past, e.g. 2015, to year end) , in EUR at rate of the time of report run and in Local Currency, and
the IDC 15% of Euro.
 The text list of exchange rates used is available by a link
 The amounts match with second total of Payments report (therefore including improperly used Excluded records)
 The report is going to BE RELEASED UPDATED TO 2016 !! Please remember this is NOT the method of calculation of IDC
share applied in 2016 (see slide on off-line Excel report)

When you click on a report button,
the system confirms and sends you an email with a link.
If you click on that link you can download and open the report.
Global Payments
 Excel file with all the payments in the system. If you set the filters in headers you can select
according the field you like (date of registration, year, Gar, Ling etc.) and process it as you like.
 Available info on Member: only system UserID and MemberNumber

- Not Welcome Card (3 continuous previous years of
payments)

b. Excel off-line quarterly Report - 1
This excel spreadsheet processes the data taken from Global Payments (for a
previously selected membership year) and for each Gar and Ling* shows, by M. type:
-
Membership Income in Euro and local currency (LC) as from MMS
Number of members (calculated from Payments)
Average fee in euro (and in local currency) (ratio of the two above)
Number of payments registered
Average number of payments by member
Amount of membership at standard fees (standard fee x Number of M.) in LC and euro
Difference between value registered in MMS and membership at standard
Total IDC share due (by the Gar) as 15% of standard value, cumulated and for the last quarter
Gar share (for Lings, if requested)
* Lings are not shown for Kunsangars as too many

b. Excel off-line quarterly Report - 2
There are two useful ratios for any local Membership Management:
- Average fee in euro and in local currency
The ratio in euro may be affected by exchange rates fluctuation, but in Local Currency shows the
average measure of the non-completed payment (or registration) by membership type
- Difference between value registered in MMS and membership at standard fee
This ratio is linked to the previous one and gives the total amount missing to complete standard
payment for the registered members (again in euro or LC as above)
For Gars, a table with also a comparison with total previous year results (Membership income and
number of members) is supplied, to show the progress in renewal&new-entry (in value of payments
and in number of members compared to totals of previous year)

The change of Membership type during the year affects reports
a)
Upgrade after first payment
 This should be encouraged, of course. But creates a problem for off-line calculations and statistics regarding the number
of members in each type (same member present in both types).
 Manual investigation, choice and correction off-line is necessary.
 The upgrading in MMS is possible through Admin/Payments Registration, select the new type, Pay partial, enter payment
and confirm
 Warning: MMS shows the last as official membership type, but counts both the first and the upgraded type for its
Statistics report.
b)

Downgrade after first payment (for multiple payments, in case of impossibility to keep the level declared at first
payment)
To be avoided, if possible, but in real case of necessity, corrected through a new payment : Admin/Payments Registration,
select the new type, Pay partial, Remove limit, enter 1 cent payment and confirm
For off-line report, same problem of manual investigation, choice and correction off-line.
Do not cancel the previous payment(s) in previous quarters ! This changes past calculations.
Warning: MMS shows the last as official membership type, but counts both the first and the downgraded type for its
Statistics report.
