First Wessex Leaseholders/Shared Owners Claims Notification Procedures STEPS 1. In the event of damage to the building the Leaseholder/Shared Owner must take all reasonable steps to mitigate the loss. 2. Call Arthur J. Gallagher Housing on 01245 341227 providing the following details: Date of loss (or its first discovery). Cause of the loss (or at least what is believed to be the cause). Risk address details. Full accident circumstances. Details of any actions taken so far by the Leaseholder/Shared Owner. Contact telephone number for the Leaseholder/Shared Owner or Tenant in case the property has been sub-let. Confirmation that the property is safe or secured If an escape of water (i.e burst/leaking pipe) has occurred, confirmation that the leak has been repaired will be required before any reinstatement works will be authorised. The responsibility for repairing the pipe (or fixed water system) falls to the Leaseholder/Shared Owner and this cost is not reimbursable. If applicable, a Crime reference number should be obtained and provided at the time of claim notification (required for all malicious damage/vandalism/theft/attempted theft claims). AJG Housing will then pass all details to NIG Insurers who will take over the running of the claim and who will contact the Leaseholder/Shared Owner direct. AJG Housing will issue a letter to the Leaseholder / Shared Owner acknowledging receipt of the claim notification and providing all necessary contact details. Within the letter it is explained to the Leaseholder/Shared Owner that a policy excess of £100.00 will apply to their claim and that NIG Insurers will deduct the excess from the final settlement figure. The following should occur: 3a. The Leaseholders/Shared Owners should immediately contact two reputable builders/joiners/decorators (depending on the nature of the damages suffered by the property) and arrange for inspections / evaluation. 3b. The Leaseholder/Shared Owner should take photographs of the damage occurred to their property. 3c. Upon receipt of two written estimates, the insured should post or email them to AJG Housing or NIG Insurers direct along with the photographs. NIG Insurers would write (and contact) the insured to approve the repairs as per their preferred estimate advising them of the £100.00 policy excess applicable to their claim. The Leaseholders/Shared Owners should then proceed to arrange for a commencement date of the repairs. Should the Leaseholder/Shared Owner experience difficulty in obtaining two quotations, they should contact NIG Insurers to advise the reasons why, and Insurers will appoint a Building Repair Network to provide a quotation on their behalf. 3d. Once the repairs have been completed the Leaseholder/Shared Owner should send the invoice direct to NIG Insurers for reimbursement less the £100.00 excess.
