Job Description: The Roots Foundation Wales Administrator/Publicity Officer. Main purpose of the post: We are looking for a dynamic and creative individual to support the aims of The Roots Foundation Wales Positive Progression Project by providing essential administrative and publicity support to the Development Workers recruited to this project. This project is funded by The Big Lottery Fund – People and Places. Background: The Roots Foundation Wales was established in 2011. The project was developed after working with a number young people in care, leaving care and in kinship care who were falling through gaps in provision. The organisation is currently voluntary led by a Management Committee who has direct knowledge of the care system and the issues care leavers face on a daily basis. Our aims is to offer workshops, training, activities and events that assist with a smoother transition into independent living and positively progress within society and increase the skill level of our users and create a strong support network for those who are considered vulnerable and isolated. Location: Based in the Ravenhill area of Swansea and working extensively in an outreach capacity in Swansea, Neath and Port Talbot, Carmarthenshire and Pembrokeshire Salary/ Rate of pay: £6656 per annum – 16 hours a week. Plus 5% Pension contribution and redundancy pay. Hours and duration: 16 hours per week – Working days negotiable upon agreement of the Management Committee, contracted for two years initially with the possibility of a further extension subject to funding. Management: You will report to The Roots Foundation Wales Management committee who will be your employer. You will be line managed and supported by the Project Managers: Amy Beckett and Emma Lewis Role and responsibilities: To manage the administrative element of the Positive Progression Project this includes completing monitoring and evaluation reports and support the Development Workers in their roles. Create and maintain databases, in regards to participants, training and membership. To manage our social media sites, emails and website and work in partnership with our IT volunteer to ensure maximum exposure. To support the Volunteers, the Management Committee with the funding, health and safety and finance requirements of running a voluntary organisation Identify new opportunities for The Roots Foundation Wales in regards to funding/ tendering, activities and workshops To create regular newsletters promoting upcoming activities and events. To ensure all relevant health and safety procedures are adhered to and completed fully. To attend any relevant training Any other duties as may reasonably be required by the Management committee. Essential Criteria: At least 1 years experience of working in an Administrative role. Experience in producing publicity material (e.g. newsletters, flyers, poster, letters, postcards, etc) in order to achieve the project aims in partnership with the volunteers and the project workers Essential experience in creating databases and maintaining records of staff, contacts and participants, in line with data protection The ability to manage the day to day finances of the project, including petty cash, expenditure, keeping financial records, Experience in creating presentations using up-to date and relevant software. An excellent communicator, who is personable and welcoming and who has a pleasant telephone manner. Knowledge and experience in report writing and recording minutes of meetings. Experience of using IT programmes such as Microsoft Word, PowerPoint, Publisher and Excel. Experience of working positively with other relevant agencies in a positive multi-agency approach. The ability to complete risk assessments, health and safety checks and relevant DBS checks. The ability to work in a calm and effective manner with the minimum of supervision. To work in an anti-oppressive and non- discriminatory manner. The willingness to undergo an enhanced DBS check at the expense of the employer. To work some evenings and weekends when required. Desirable Criteria: An understanding of social and urban deprivation and its effects on a community.
