WACOPOLICYONUSEOFCREDITCARDS CreditcardsshallbeownedbyWACOandallmonthlystatementsmustbesenttotheWACOoffice.Individual creditcardswillnotbeissuedtoWACOstaff,employees,officersorboardmembers. Creditcardsaretobeusedasaconveniencewhenaccommodations,travelexpenses,orpurchasescanbemade on-line,oroverthephone.CreditCardsarenotissuedtoindividualemployees.Howeveremployeeswhen previouslyapprovedbytheExecutiveDirectormayonoccasionusecreditcardsforin-personpurchases. Priorapprovalforpurchasesover$250.00musthavethepriorwrittenapprovaloftheExecutiveDirector.The approvalmustbenotedonquotesreceivedand/oronlineorders.Originaldocumentationofeachpurchase, includingitemizedreceipts,mustbeprovidedtotheWACOAdministrativeandMemberServicesSupport,who mustattachthisdocumentationtotheCreditCardTransactionformwithExecutiveDirector’sapprovaland retainbothinafile.Thecreditcardapprovalformshouldincludethefollowingdetails;thedescription,purpose, date,amountandpersonmakingthepurchase. UseofcreditcardsmustbeconsistentwithallotherWACOpoliciesandpractices.Creditcardsmustneverbe usedforpersonalpurposesorforcashadvances.Useofacreditcardtopurchasealcoholortobaccoproductsis expresslyprohibited. Intheeventofthelossofacreditcard,theemployeeshallimmediatelynotifytheExecutiveDirectorandthe AdministrativeandMemberServicesSupport.
