REQUEST for ACCESS to HR REPORTING SYSTEMS (RAPID and ORG PUBLISHER) Request for manager delegate access Name of staff member to receive access to HR sensitive data: Please choose which level of access is requested: A: Access to HR sensitive data for staff-member’s own organisational unit and all levels below (Org Publisher) Staff-member will be able to see personal information for their own organisational unit and all staff who sit beneath that unit within the formal hierarchy of the University’s Organisational Structure. B: Access to HR sensitive data as per Level 3 or 4 manager’s own access level and all levels below (RAPID & Org Publisher) Staff-member will be able to see personal information for staff within the organisation unit of the approving Level 3 or 4 manager and all other units that sit beneath that unit within the formal hierarchy of the University’s Organisational Structure. That is, the same access level as the Level 3 or 4 manager. C: Access to the RAPID payroll reports for the following budget centres Staff-member will be able to see payroll-related data for all staff paid from the budget centre(s) listed. Level 3 or 4 Manager Name: Level 3 or 4 Manager Signature: Obligations to manage the confidentiality of sensitive information regarding staff: Massey University regards security and confidentiality of data and information to be of upmost importance, and intends to comply with its obligations in respect of personal information under the Privacy Act 1993, the Official Information Act 1982 and the Education Act 1989. As part of your current role, you are to be granted access to sensitive and personal information in Massey HR Reporting tools Org Publisher and/or RAPID. Access to RAPID is subject to prior attendance at a training session. All staff granted access to systems involving HR personal or sensitive data, are reminded of the requirement to preserve the security and confidentiality of that information. Specifically: You must not disclose personal information unnecessarily. You must only access information that you require for legitimate work purposes. You are reminded of your obligations to the Policy on Staff Conduct. You must not discuss or share with any other person, group or school, any conclusions that you or others draw from the accessing of personal information, if discussing or sharing those conclusions would reveal personal information. If you are ever uncertain whether a particular fact, matter, document or file contains personal information, you must act in favour of preserving the confidentiality of that information, and seek clarification from your manager before engaging in any conduct that could jeopardise the confidentiality of the information. If you become aware that a breach of confidentiality has occurred due to your own, or others actions or inactions, you must immediately notify your manager.
