Setting Up General Ledger Accounts Setting up General Ledger Accounts in ServiceTitan Who should use this guide: ● Accountant ● Anyone in the office responsible for QuickBooks setup or exporting to QuickBooks. Overview You can set up your general ledger accounts in ServiceTitan. This will allow you to select from these accounts (via a drop-down menu) when you map ServiceTitan items to a QuickBooks account. You will need to map ServiceTitan items such as your Pricebook services and your payment types to a QuickBooks account. By creating your accounts in ServiceTitan, you will prevent exporting errors due to misspelling account names. You will also be able to map your accounts faster when you add new payment types or Pricebook services. Note: This features is now standard with all new ServiceTitan accounts. If these features are not yet enabled in your account, contact your Implementation Specialist or Success Manager. Adding your General Ledger Accounts 1. Open QuickBooks and ServiceTitan. 2. In QuickBooks, open your Chart of Accounts (Lists > Chart of Accounts). 3. In ServiceTitan, go to Settings > General Ledger Accounts. 4. Click Add Account to add a new account. You will be copying the information from QuickBooks into ServiceTitan. ServiceTitan KnowledgeBase page 1 of 3 Setting Up General Ledger Accounts 5. You will now be able to add: ● Name. Copy/paste the name of the account. This should not include the account number unless you have included that in the QuickBooks account name field. If you are adding a sub-account, click here for more information. ● (Optional) Number. Copy/paste the account number associated with the account in QuickBooks. If you cannot see the account numbers in your Chart of Accounts, right-click on the top-navigation bar and click Customize Columns. Add the Accnt. # column. ● Select the appropriate account type. ● After you select the account type, a selection will appear for a subtype. Select the appropriate subtype. ● Click Save. Please note that adding account numbers in ServiceTitan is optional. If you need more information about account numbers in QuickBooks, go to the Intuit Community (https://community.intuit.com/products/quickbooks-help-en-us). What accounts should I do this for? You do not need to set up all the accounts from your Chart of Accounts. You should ensure you set up the accounts you will map your Pricebook services and payment types to. If I change the account mapping for my Pricebook item will they update automatically in QuickBooks? No, they will not update automatically. If you update the account for a Pricebook service, after you have already exported that Pricebook service, it will need to be manually updated in QuickBooks. For example, you have mapped your AC maintenance service to the HVAC:Sales account. You have exported invoices with that service. You update the AC maintenance service to map to the HVAC:Maintenance account. You will need to go into the QuickBooks Item List (Lists > Item List), right-click to edit the service item, and update the account field to HVAC:Maintenance. ServiceTitan KnowledgeBase page 3 of 3
