NANS2-NIC Terms and Conditions
1. Contract. The following rules and regulations become binding
upon acceptance of this contract between the applicant, its
employees, and the North American Neuromodulation Society (hereinafter “the Society”), the show sponsor.
12. Liability and Insurance. The hotel management and the Society
will take all reasonable precautions to avoid loss of exhibitors’
property by theft or fire, but under no circumstances shall the hotel management or the Society be responsible for such losses.
2. Space Assignment. Exhibit locations will be assigned at
the sole discretion of show management. Placement will be
based on date of reservation.
13.Damage to Property. Exhibitors are liable for any damage
caused to the building, floor, walls, columns, or to standard
booth equipment, or to other exhibitors’ property. Exhibitors
must not apply paint, lacquer, adhesive, or any other coating
to building, columns, floors, or to standard booth equipment.
3. Booth Package Description. Exhibit packages include one 6
ft table and one wastebasket. No walls, partitions, signs, or
decorations may be erected that will interfere with the general
view “down the aisle”, or of other exhibits.
14.Public Policy. Exhibitors are charged with knowledge of all ordinances and regulations pertaining to taxes, health, fire prevention, customs, and public safety while participating in this
show. Compliance with such laws is mandatory for exhibitors
and is the responsibility of the exhibitor.

15.Eligible Exhibits & Restrictions. The Society reserves the
right to determine the eligibility of any company or product
for inclusion in the show and reserves the right to reject, evict,
or prohibit any exhibit, in whole or in part, or any exhibitor or
his representatives, with or without giving cause. The Society reserves the right to deny the exhibition of inappropriate
items and products. Drugs, chemicals, or other therapeutic
agents listed in AMA’s New and Non-Official Remedies, National Formulator, or U.S. Pharmacopoeia may be displayed.
Proprietary drugs, mixtures, and special formulas may be displayed if documentary evidence of their acceptance by ethical
medical organizations is on file with the Society. New, unlisted, and/or initial display items must be submitted for clearance prior to the opening of the meeting. If any products that
are not FDA-approved are displayed, they must be labeled appropriately. Clinical and laboratory tests and evaluation on
such items must be submitted at least one month prior to the
opening date of the meeting and receive written consent from
the NANS Executive Director. The same restrictions apply to
medical journal advertisements or other displayed publications and all promotional literature.
5. Unoccupied Space. The Society reserves the right to rent or
occupy said space, should any rented space remain unoccupied after 9 am Sunday, June 29, 2016.
6. Payments & Refunds. The total amount for exhibit space is
due upon serving of space and signing of the contract. In the
event an exhibitor cancels a contract, the Society must be
notified in writing for refunds to be made. A cancellation fee
of $100 will be deducted from any refund made. No refunds
will be made for cancellations within 45 days of the Joint
Meeting.
7. Food Service. The Society reserves the right to provide food
and beverage service during certain hours in the exhibit area.
8. Noisy and Obnoxious Equipment. At no time should music,
videos, or any electrical or other mechanical apparatus be
played at a level that interferes with a neighboring exhibitor’s
booth activities.
9. Security. Exhibitors are responsible for their equipment and
property.
10.Conflicting Events. Ancillary meetings or events may not be
held concurrently with official NANS2-NIC scientific or social
functions. Any function, regardless of size and location, must
have written consent of the Director of Industry Relations.
16.Exhibit Floor Access. The Society reserves the right to limit
access to the exhibit floor to anyone during times the show is
not officially open.
11.Fire and Safety Regulations. All local regulations will be
strictly enforced and the exhibitor assumes all responsibility
for compliance with such regulations. Fire hose cabinets and
fire exits must be left accessible and in full view at all times.
All display materials and decorations must be flame proof
and subject to inspection. No flammable substances may be
used or shown in booths.
17.Use of Booth Space. Exhibitors shall reflect their company’s
highest standards of professionalism while maintaining their
booths during the show hours. No exhibitor shall assign, sublet, or share booth space.
18.Exhibition Sales Policy. Exhibitors may not accept payments
in cash or checks or deliver merchandise in the exhibit hall.
19.Irregular Canvassing & Advertising. Distribution and/or solicitation outside of the purchased exhibit space is prohibited.
