Team Manager Guidelines 1 Pan Pacific Youth Champs Format Tournament Dates o U20 – Saturday 9th July – Tuesday 12th July 2016 o U16 – Saturday 9th July – Wednesday 13th July 2016 o U18 – Friday 15th July – Tuesday 19th July 2016 o U14 – Friday 15th July – Monday 18th July 2016 Communication The Team Manager will act as the contact point between the players and parents before, during and a short while after the tournament. Any communications from the Development Officer will go through the Team Manager Players are to confirm their availability with their age group co-ordinator until a Team Manager has been announced. Once appointed, Team Managers may need to contact players if they have not confirmed their availability Tournament Details Accommodation/Flights o Booked by Development Officer o Provide the Development Officer with individual arrangements and requirements. Examples will include some players staying in Auckland to play in the grade above/below and vice versa. Team Managers will need to liaise with each other o All players are expected to stay with the team at Epsom Girls’ Grammar unless alternative arrangements have been discussed with the Team Manager and approved by the Development Officer o Liaise with Epsom boarding staff during the tournament. For example, matters relating to meals times, player behaviour, departure times etc. o Responsible for determining sleeping arrangements. Discussions with other Team Managers may be needed Travel o It is expected that all players will Fly to Auckland from Christchurch and from Auckland to Christchurch as a team unless an alternative arrangement has been discussed with the Team Manager and approved by the Development Officer o Some players may be first time travellers therefore Team Managers may need to go over airport protocols, security checks etc. o Inform players of hand luggage limitations with players Limitations on liquids/sharp objects etc. Pack competition togs in carry-on o Travel uniform Red and Black Canterbury Water Polo club polo and tidy black/dark blue jeans o Check in 2 o o Make sure all players are checked in on time Luggage allowance: Check allowance, usually 23kg per player. We check in as a group, so the total luggage (include extra luggage listed below) needs to average out at 23kg per player. May be best to give players a 20kg limit. Extra luggage Caps Balls First aid kit Hygiene - Each player is to carry their own hand sanitiser (100mL or less) Team Managers should carry a photocopy of all player’s ID Transport o Vehicles that will be used while in Auckland will be booked by the Development Officer o Liaise with the other Team Managers as to collection and drop off of vehicles. In most cases each age group team will be allocated one 12 seater van plus a small car. The Team Manager and Coach will need to coordinate transport to and from the pool as well as any other travel that is required o Please note all Team Manager’s must hold a full drivers licence Catering/food o All meals are provided at Epsom Girls’. Meals include: Continental breakfast Packed lunch Cooked dinner Breakfast and dinner will always be at Epsom Girls’ Lunch may be at the pool or when a player decides. Packed lunches are likely to be collected during breakfast o Liaise with Epsom Girls’ Boarding Staff regarding meal times and any dietary requirements o Make sure you pre warn Epsom Girls’ Boarding Staff of any special nutrition/dietary requirements o Players are to provide their own snacks, sports hydrate etc. o Basic recovery food and water to be supplied by Team Manager. This could include bread, with jam/peanut butter, bananas, muesli bars etc. This will need to be coordinated with other Managers. An allowance of $15 per player will be use as a guideline. Money that reflects the number of players will be loaded on the CWP EFTPOS Card. This card must remain in the possession of a CWP Team Manager at all times and with the pin number remaining undisclosed o Research local supermarkets/shops, that players can walk too Internet access o Check if internet is available at the Epsom Girls’ o Warn players beforehand as some may have School or University studies where they rely on a good connection. Players may want to pre-purchase additional data 3 Laundry o Check if laundry is available at Epsom Girls’ and the procedure required to use o It is useful to bring large strong bags that you can carry large quantities of washing in o Make sure players name items o Suggest players use laundry bags to keep their washing together Hygiene o Hand sanitiser to be in your gear bag at all times o Avoid touching hand rails, door handles, taps etc. – use hip or elbow – something that cannot be put near the mouth or nose. o Wash/sanitise hands before and after serving meals. Be just as particular at tournament venues o Players need to tell Team Manager and Coach immediately if they feel even slightly off colour during the tournament Dress code o Canterbury Water Polo polo is to be worn at all times while at the pool. Please contact the Development Officer should a player not have one o Canterbury Water Polo club togs are to be worn by all players. Please contact the Development Officer should a player not have a pair o No hats or singlets in the Epsom Girls’ dining room o No togs to be worn in dining room or vans. It’s unhygienic. Epsom also have standards. Please respect these standards. Medical o Collect First Aid Kit from Development Officer, ensure it has everything you need. All teams will have their own. o The Development Officer will provide Team Managers with a Medical form that all players MUST complete prior to leaving Auckland. These should be easily accessed at all times by the Team Manager during the tournament o If necessary the Team Manager may be required to carry medication such as inhalers, antibiotics etc. Arrangements should be discussed with the parents o Research medical facilities in the area prior to leaving Player Behaviour Management o The Development Officer will provide the Team Manager with a Pan Pacific Youth Water Polo Festival Code of Conduct that MUST be signed by all players prior to leaving Auckland. Please note all players have already agreed to abide by the Canterbury Water Polo’s Code of Conduct at time of registration however making players sign a physical copy reminds them of the consequences should their behaviour not align o Should a player breach their code of conduct contact the Development Officer as soon as possible. If the Development Officer is unavailable, please contact the Chairperson of Canterbury Water Polo 4 Pool Side Management o Sit with the team on the bench during all games o Liaise with NZWP Officials as necessary o Take direction from the Coach as appropriate o Ensure players have enough water and fuel o If necessary, attend to any first aid issues o Inform the duty bench of any changes to team list/cap numbers o Wear a Canterbury Water Polo polo at all times o Ensure players are on duty as required Family and friends o Please note that no family and friends are to be brought to Epsom Girls during the tournament. Players are free to meet family and friends off site as agreed by the Coach and Team Manager 5
