SMPS Michigan 2016/2017 Board Positions SMPS Michigan 2016/2017 Board and Committee Positions Attendance Requirements Executive Board/Committee Co-Chair Meeting • • • Face-to-Face Meeting Attendance: o Attend all joint board/committee meetings, held on a bi-monthly basis. Committee chairs are allowed to miss one of these meeting a year. o Committee chairs are required to attend yearly program planning and strategic planning session held in the summer. Monthly Committee Calls/Meeting: o Lead Communications Committee meetings on monthly basis. Event/Program Attendance: o All committee chairs to attend 75% of events in a given calendar year Attendance Requirements Committee Member • • • Face-to-Face Meeting Attendance: o Joint board/committee meetings, held on a bi-monthly basis. Committee members are encouraged to attend as many of these as possible. Monthly Committee Calls/Meeting: o Committee members to attend 75% of these meetings in a give calendar year Event/Program Attendance: o Committee members are encouraged to attend as many of these as possible. President (requirements: served on Board of Directors for at least one year) • Preside over all chapter meetings, events/programs, and all Board meetings • Act as principal spokesperson for the Chapter • Notify Board members and Committee Chairpersons of their elections, and contact SMPS National with all changes to Board • Collect agenda items and preparing agenda for monthly Board meetings • Send personal thank-you notes to speakers • Sends letters to leadership at the firms of Board Members to thank them for allowing participation • Provide President-Elect with outline of introductory speech for programs and agenda for monthly Board meetings in their absence • Spearhead efforts to prepare any Chapter Awards for submission • Greet and help at program check-in SMPS Michigan 2016/2017 Board Positions President-Elect (Position Available) (requirements: served on Board of Directors for at least one year) • Aiding the President, and presiding in the absence of the President, or at the request of the President • Assume the presidency in case of resignation, until the post can be filled according to the bylaws • Secure sponsorships for monthly programs and special events • Prepare sponsorship reports for monthly Board meetings • Pursue Corporate Sponsorship & additional sponsor opportunities as applicable • Forward copy of mailing list to any sponsor who requests it • Ensure sponsor’s needs are met at programs/events (set up, etc.) • Greet and help at program check-in Past – President (requirements: served as Chapter President Previous year) • Acts as advisor to Chapter Board • Greet and help at program check-in • Act as Liaison for the Heartland Chapter Conference planning Secretary (requirements: served on Board of Directors for at least one year) • Prepare and distribute meeting minutes to Board within two weeks of Board meeting • “Keeper” of general chapter records and officially approved minutes • Responsible for maintaining the Chapter Job Bank; including posting and distributing job listings to membership, sending invoices to Chapter Treasurer, and promoting Job Bank to membership • Prepare and distribute surveys after monthly programs, and upon request of Board Treasurer (2 Year Rotation - Requirements: member of SMPS for one year) Finance Committee (made up of Treasurer / President / Past President) • Appoint & Chair Finance Committee • Update contact information with all applicable organizations to ensure all bills and financial correspondence is received • Maintain all financial records of Chapter and complete all banking tasks • Oversee financial integrity of Chapter • Prepare monthly finance report for Board meetings • At fiscal year end, complete and submit chapter financial report to SMPS National Office • File all necessary tax forms with the IRS SMPS Michigan 2016/2017 Board Positions Membership Committee Chair (Position Available) (Director is a 2 Year Rotation - Requirements: member of SMPS for one year) Committee: • Provide Membership Information to potential members • Work to retain members • Make personal calls to each member • Follow up with guests after program/event • Prepare Membership reports for monthly board meetings; includes members gained/lost and list of potential new members • Introduce new members at monthly programs and actively try to include them during networking time. • At programs, set up membership table with packages • Greet guests attending programs and pass out nametags • Make program nametags • Update and maintain prospect list • Update members in the Star Chapter database • Organize the membership scholarship drive April-July • Review the scholarships and award recipients • Write and mail membership anniversary notes every month • Organize New member highlight on website. Keep on rotation • Organize the new member breakfast (venue, agenda, food, presentation, and activities) • Update buddy list. Add new members, record attendance after each event, and switch buddies twice a year. • Take on the planning of the end of year program (June) Communications/Marketing Committee Chair (Position Available) (2 Year Rotation - Requirements: member of SMPS for one year) Committee: • Create a yearly communications plan for the chapter • Design and distribute yearly program calendar. • Design and distribute monthly program announcements. • Design and distribute additional informational emails as requested by Board (new member breakfast, scholarship announcements, etc) • Social Media – LinkedIn o Update LinkedIn with all program announcements o Post program announcements in related LinkedIn groups • Social Media – Twitter o Tweet Programs Announcements and event photos o Tweet or retweet relevant marketing information o Manage live tweeting at events o Follow SMPS-MI and select national members and relevant organizations or institutions • Social Media – Facebook o Update Facebook with all program announcements o After program/event post all photos from the event SMPS Michigan 2016/2017 Board Positions • • • • • • Take photos at all education programs, client panels and socials Secure in-kind media and print sponsors and maintain contracts Order, design, stock and distribute SMPS-MI related swag (ie. Sticky notes, pens, mugs, pins, etc) Create graphics and distribute standards and guidelines for chapter use. Design graphics specific to website as requested by other committees. Take on the production of items required for the January Corenet Event Programs + Education Committee (Position Available) (2 Year Rotation - Requirements: member of SMPS for one year) Committee: • Appoint & Chair Programs Committee • Secure programs for the year abiding by National domain guidelines. • Act as main contact to the venue for guest guarantees (from treasurer), room, food, and equipment accommodations. • Prepare program summary email for distribution including program description, correct speaker name, title, affiliation, brief speaker bio, domain category, and number of available credits for attendance 6 weeks prior to program date. • Act as main point of contact with the speaker(s); includes meeting any speaker equipment or set-up needs, arriving early with the speaker, etc. • Prepare and distribute yearly program calendar. Webmaster: • Maintains and updates website • Works with programs committee to upload programs content to the website on a monthly basis • Runs reporting on website traffic • Works with membership committee to post information related to membership to the website
