CE-JS045 COINS Enhancement: Phase and Cost Code Periods to Keep in JS Summarization Modules Affected: Job Status Versions Affected: COINS v7 (software level 9.7c2.37 and 10.7c2.37) and COINS Ti 2.9 (software level 9.7c2.37TI and 10.7c2.37TI) Documentation Updated: This document may contain information that is not incorporated into the documentation, such as procedures and sample reports, so you may want to keep a copy for future use. An archive of CE documents is available on the Client Center web site at http://support.coinsglobal.com/usa/releases/cedocs.php. The discussion of this new function is divided into the sections shown below. Overview .............................................................................................1 Tailoring ..............................................................................................2 Effect on JS Argon ...............................................................................4 Overview This document describes changes to JS Summarization that allow phase and cost code summarization records to be preserved for a specified number of periods. Previously, JS Summarization deleted the phase and cost code summarization records for prior periods in order to save disk space. Note: Previously, some old cost code summarization records did not get deleted properly. If you took advantage of this “bug” it is very important that you review and set the proper number of fiscal periods before running the first summarization after loading the .37 release. 11/19/2009 © 2009 Construction Industry Solutions (Shaker) Corporation. 1 CE-JS045 Phase and Cost Code Summarization Periods Tailoring A new prompt was added to Job Status Tailoring to determine the number of past periods for which phase and cost code summarization records will be saved. The system deletes the old job, phase, and cost code summarizations (i.e., for periods prior to these settings) as part of the JS Summarization process. You should decide how many periods you need to keep and update this setting as soon as you load the release, before running JS Summarization. Since each job, phase and cost code has a single summarization record per fiscal period, keeping a large number of fiscal periods available will preserve information for trend analysis and reporting and will have minimal impact on your systems performance. However, keeping a large number of fiscal periods will increase the database size and thus total disk space available. Figures 1 and 2 show the applicable JS Tailoring screen from COINS version 7 and COINS Ti. The higher the number of fiscal periods, the greater the amount of data processed and saved. Depending on your use of J/S Argon, you should evaluate this setting based on your company’s needs and database size. Number of Fiscal Periods to Keep: Job-level Summarization Records Phase/CC-level Summarization Records Indicate the number of fiscal periods for which job level summarization records and phase/cost code level summarization records should be saved. This value cannot be less than the number of fiscal periods that are processed during summarization and cannot be greater than 99. 11/19/2009 3 CE-JS045 Phase and Cost Code Summarization Periods Effect on JS Argon If you decide to keep cost code level summarization records for more periods than processed by JS Summarization, you will be able to access Argon cost code screens for prior periods. This can make Argon more useful for trend analysis and reporting. Figure 3: Argon Job Costs by Cost Code for Prior Fiscal Period 11/19/2009 4
