Procedure for Obtaining Contract Works Insurance Certificate
Go to the JLT website (Right click mouse and select Open Hyperlink) and follow the
instructions to access the Contract Works Certificate Facility.
NB: If you experience problems opening the JLT website please check that your computer allows ‘pop-ups’. This
link is to a wiki page that shows how to disable ‘pop-ups’ in various applications.

Please complete the template as follows:
Contractor: Click on binoculars to see if on database and if not click on book to
add a contractor to the database. When a contractor first uses the system, they
enter their company/contact information in the following screen:
NB: Do not try to type the contractor name in the above box.
If you have problems with finding or adding a contractor see pages 5 and 6

On future visits select record through the search function
Hint: You can search Company Name in “Search using criteria” see example below or for a full list of contractors
click the ‘Specify’ button at top right
PMIS Project Number(s): Must have set up in PMIS
Project Manager: Full name
PM Email Address: Project Manager’s email address
Local Office: Click on drop down tab
School: Click on binoculars and search by letter. Schools with same name have
region or town in brackets. At bottom left click through the pages until you come to
the school and then double click to enter the school name into the box.
Start Date:
End Date:
Works Description: A short summary of the work to be undertaken.
Non Standard Description: covers additional work picked up in this project.
First MoE Project: click in box if a first project with the contractor

Cost Category: Contract Price for each category and cost of Principal Supplied
Materials.
Sub Contractor: Name each known (limit 4) and show brief scope of work.
Sub Contractor Costs: Breakdown beside each named sub contractor.
Submit or Exit to cancel/lose changes and quit.

On acceptance the Contract Works Insurance Certificate will be sent to the
Contractor’s email address*. Each certificate issued has a unique number.
* Note:
The website issues the confirmation directly to the contractor’s email address to ensure that the
contractual requirement (for the Principal to supply evidence of Principal’s insurance to the
Contractor) is satisfied. The website also issues a copy of the certificate to the Ministry and JLT.
The website will also issue confirmation to the Project Manager, if their email address has been
entered, but if a copy is needed you can contact JLT on 04 495 8210 or email
[email protected] (advise name of school and contractor).

Finding a Contractor (where a previous record exists)
1. Click the binoculars icon and a pop-up box appears
2. Check the “search using criteria” box
3. Clear the first box; type “Company N” (will auto fill); type the name of the contractor you are
searching for in the next box; hit “Enter”
4. If the contractor you want is shown then click the link and continue to complete details of works
5. If the contractor you want is not shown you will need to add a new record (see following page)

Adding a Contractor (where no previous record exists)
1. Click the book/green cross icon
2. The following pop-up box appears:
3. Enter Contractor’s details in the pop-up box
4. Click “Save”
5. Then go to the instructions on the previous page and find the contractor you have entered.
