BIDDING REMINDERS








Log into eBid.
Take note of your status in the bid, your entitlements and read all Important Notifications and Links.
Answer “My Bid Questions”.
Add Standing Bids and ensure “Standing Bid” is turned ON.
Wait for your Bid Window to open (Bid Now!)
o You will be allowed three (3) minutes for each of your bids.
o You can allow the system to count down your allowable time and award valid weeks or you can click
Confirm to manually confirm your selection before your time is up.
Check Awarded section to confirm week(s) have been awarded.
You will receive a confirmation message in your Air Canada email.
Update your “Standing Bids” in preparation for your next round.
VACATION BIDDING SUPPORT
AIRPORTS
 Email help will be set up for employees to “ask the expert” for assistance or to explain the system. This email
account will be monitored and responses will be sent back within 24 hrs.
 1-855 number will be set up to talk to a Bid Administrator for assistance.
 SMEs will have a vacation bidding room with computers open during hours of the bid to assist or explain the
system.

GENERAL INFORMATION – POINTS OF INTEREST









Entitlements will be split into weekly calendar (7 day) increments
All Vacation will be bid in full week blocks commencing on the Sunday of each week.
Employee may take additional time off without pay in order to obtain a complete calendar week of vacation (ie:
scheduled to work 6 days in a given week) or stop at 40 hrs.
An employee cannot work on any vacation designated day.
No partial vacation days will be granted.
Vacation Adjustments- You must inform the company immediately following a shift bid if you choose NOT to slide
vacation which occurs during the duration of bid and commences on the Sunday as originally bid.
Any change of status during the vacation year may cancel your participation in the VPP program.
A vacation calendar year will span from January to December and will include the week that contains January 1st
of the following year, thereby commencing the vacation bid of the following year on the second week of January.
No vacation is permitted to be adjusted into the previous year.
Employees who fail to request their vacation dates prior to the vacation bid will be assigned dates after all other
employees in that location have been assigned (14.03.02)
VACATION SPLITS (Article 14.01.03)




Employees shall be able to split their vacation equally by the number of weeks to which they are entitled.
Employees will receive one (1) additional block if they participate in the VPP and/or GHO program – Up to a
maximum of 6 rounds.
The weeks selected for the second and subsequent splits will be allocated in the same way as the first, only after
all the original seniority process of allocating vacation weeks has taken place.
GHO/VPP entitlements can only be bid after the third round of bidding (fourth and subsequent rounds).
VACATION WAITLIST (Article 14.06.01)




Employees will be allowed to exceed the above-mentioned “block entitlement” by one (1) block when they elect to
split these blocks in the course of the waitlist process.
Employees may split any of their blocks independent of the round which these blocks were originally bid.
An employee’s first round shall only be split one time and all subsequent rounds will be bid in seniority order.
An employee who waitlists his/her first round (or part thereof) will be granted a one-time “super-seniority”
privilege. Once this super-seniority privilege has been used, any other transaction of his/her first round (or part
thereof) will follow strict seniority. Therefore, super-seniority consists of seniority preference given to one’s
seniority when giving up first round vacation, or part thereof, over senior employees giving up second or
subsequent rounds, or part thereof.
VACATION PERIOD BECOMING AVAILABLE




A vacation period will be deemed as becoming available when an employee retires or otherwise terminates his/her
employment with the Company. (Sick leaves will be assessed on a case by case basis by the Company and may
trigger the vacation waitlist process.)
The vacation waitlist will not be actioned for any vacation becoming available less than twenty-one (21) days
ahead of time. (14.06.01)
Vacation waitlist requests, when vacation becomes available, will be automatic and awarded to the eligible
employee on file and is irrevocable.
The employee must ensure all requests on file are accurate and up to date.
GENERAL HOLIDAY OPTION (GHO)/ VACATION PURCHASE PLAN (VPP)



For employees enrolled in the General Holiday option, all Statutory Holidays will be treated as a normal working
day.
When granting additional time off (RO) on a Statutory Holiday as per Article 13.02 and subject to operational
requirements, time off will be granted to employees who elected NOT to convert Statutory Holidays to General
Holidays.
General Holidays will be prorated for employees absent from the workplace for a period exceeding thirty (30)
consecutive days (including WSIB) as per Article 14.11.
GHO/VPP will be bid in the 2nd and subsequent rounds for vacation bidding.

VACATION SLIDING (Article 14.02.01)



Employees have the option to start their vacation on the Sunday of the bid week OR they may slide
Vacation will slide in conjunction with days off provided that the maximum number of consecutive days off is in
the scheduled vacation week (in case of tie, vacation will always slide forward)
Employees will inform the Company “immediately” following the shift bid of their intention to slide their vacation
or to commence it on the Sunday as bid.

ANNUAL RECONCILIATION (Article 14.11)





The Company will reconcile annually Vacation time taken and paid (March/April of following year)
Any required deductions from the employee will be taken from the employee’s time bank first, and if insufficient,
payroll deductions to a maximum of $150.00 per pay period ($75.00 for part time employees)
Any money owing to an employee will be paid in one lump sum
Vacation pay for employees absent from the workplace for more than thirty (30) consecutive days within a
Vacation year will have their Vacation pay prorated according to the time worked during the year (can still take
Vacation entitlement without pay)
