Instructions for filling in the room-card
Generally
All of the points must be filled in. The room-card is primarily meant for the emergency staff in the
event of an emergency situation. All entries must be clearly legible.
Unit
Name of (research) department, faculty, (research) unit and/or section. Please enter the information
that best describes the area. The room number and building must be submitted because copies are
being stored centrally.
Person responsible for the room
He or she must be familiar with the activities for which the room is used, and
oversee that these activities do not expose human health or the environment to any hazards; ensure that the necessary
protective equipment, as well as equipment for keeping the room clean and tidy, is available; take part in risk
assessment exercises and HSE checks related to the room; is not required to be on standby duty.
Deputy In the absence of the person responsible for the room, the deputy will perform his/her tasks.
Security staff phone numbers If the person responsible for the room or the caretaker responsible for the building
cannot be contacted, if the incident occurs outside normal work hours, or if extra assistance is

Write down what kind of activity the room is used for (chemistry laboratory, high voltage laboratory,
workshop, isotope storage etc.).
Particular hazards
Describe factors that are of such a nature that they may pose a particular hazard to human
health or the environment if involved in an incident. Examples: corrosive substance, chemicals
(trade name), use of ionising substances, electricity, storage of explosive substances etc.
Gases
”Flammable gases” are gases that continue to burn in air after ignition. Write down the maximum
volumes (litres) of gas to be kept in the room. ”Other gases” are e.g. inert, corrosive and poisonous
gases. If compressed gases (cylinders) are kept in the room, there must be a separate label
indicating that this is the case on/beside the door. The requirement of writing down gases and
labelling their presence does not apply to wall outlets for gas.
Flammable liquid Write down the maximum volumes of such liquids, expressed in litres, stored in the room.
