What is an entity? .................................................. Who is a Primary User? This guide provides a walk through of the process to set up of your new Online Banking Service. For businesses, it explains the different user types and how they are set up. An entity is a group of accounts. For personal accounts, the accounts all belong to the same individual and include joint accounts. For businesses, it is a group of accounts in one business name. For a personal entity, the Primary User is the account owner. For a business entity, the Primary User is the person nominated by the business to manage and be responsible for Online Banking. .................................................. .................................................. Who is a Secondary User? .................................................. Primary Users automatically have full use of Online Banking. They can view account information and initiate payment instructions (if a payment limit has been agreed). For business accounts, Primary Users can also authorise the creation of additional Secondary Users and edit the profiles of current Users. There can only ever be one Primary User for a single entity. Please refer to section 7 for more information about Primary Users for businesses. Secondary Users are business employees or other individuals who have been selected by the Entity/Primary User to access accounts via Online Banking. The Entity/Primary User decides which accounts the Secondary Users may access, as well as any payment limits (if a payment limit has been agreed).Secondary Users can be limited to view only access, if desired. Please refer to section 8 for more information about Secondary Users. 2 Technical requirements To access Online Banking, you will need the appropriate browser software (eg Internet Explorer) and operating system (eg Windows) on your computer. .................................................. Primary Users Please make sure you have the following to hand before you attempt to complete the Activation process. Without these you will not be able to complete Activation: Your Security Device – which will look like the image to the right. Your Welcome Letter which contains your: Online Banking ID Registration Number Your Activation Code – sent to you by e-mail. 3.2 If a Primary User needs to be notified of their Activation Code again, they can contact the Helpdesk (refer to section 9), or alternatively complete and fax us an ‘Activation Code Request’ form. This can be downloaded from the forms section of the Online Banking Help Centre at www.hsbcprivatebank.com/ukhelpcentre Secondary Users A Secondary User will need a copy of the Setup Secondary User Confirmation screen which is supplied to them by their Primary User. This will have their Online Banking ID, Registration Number and Activation Code needed for activation. A Secondary User Application form will also need to be completed in full and submitted to the entities Private Bank Relationship Manager. This form can be downloaded from the forms section of the Online Banking Help Centre at www.hsbcprivatebank.com/ukhelpcentre 4 The Secondary Users Security Device (if required) will be sent to the Primary User once the Secondary User Application form has been processed. Activation process 4.1 If you are activating an additional entity, please see section 4.2 – Activating additional entities. New user To activate the service, please follow the steps below: Go to www.hsbcprivatebank.com and select ‘Sign in to Online Services’ from the top right hand corner of the webpage and select United Kingdom. .1 4.1 On the Online Banking UK page select the “Activate” button below the image of a Security Device in the “New service” section on the right hand side of the screen. Step 1 of 6 New or Existing User Once the screen appears: Select “I am a new user” if you are activating for the first time. Existing users wanting to add another entity should select “I am an existing user” or log on as normal and select “Add another entity” on the welcome page. Please refer to Section 4.2 for further details about activating other entities. 10UKEN178B 4/15 4 . 4.1 Activation 2 Step 2 of 6 – Enter activation details Input your Online Banking ID (starts with the letters “GBHBEU”) shown in your Welcome Letter. Input the Registration Number shown in your Welcome Letter. Input your Activation Code. This code is sent to you by e-mail. Choose your Entity Name. Chosen by you to differentiate this set of accounts from any other entity that you access. Select continue to proceed with your activation request. .................................................. Please note: An extra screen will appear after step 2 if Javascript has been turned off in your web browser options. .3 4.1 Step 3 of 6 – Enter log on details Input your Username. The Username you choose must be unique and memorable as it will be entered every time you access Online Banking. The Username should not contain any spaces or punctuation marks (hyphen and underscore are allowed). Input your chosen password. The password will be entered every time you access Online Banking. The Password is case sensitive. Input the Security Device Serial Number found on the back of the Security Device (as shown in the picture below). Press the button on the Security Device and enter the security number displayed. 10UKEN178B 5/15 4 . 4.1 Activation 4 Step 4 of 6 – Complete personal details Your First Name / Last Name is pre-filled. Step 5 of 6 – Complete security questions The Security Questions are used for two purposes: Your E-mail Address is pre-filled but can be changed if required. . 4.1 5 To identify you over the telephone, should you ever need any support from our Helpdesk. To reset your password online 24 hours a day, 7 days a week should you ever forget or suspend it. Select two questions and input two answers. .................................................. Note: If you need to reset your password and are unable to remember the answers to your reset question, you will need to send us an ‘Online Banking Password Reset’ form. This is available via Online Banking if you get your password or memorable questions incorrect three times. 10UKEN178B 6/15 4 . 4.1 Activation 6 Step 6 of 6 – Registration completed The ‘Confirmation’ screen will appear. Personal page You have now activated Online Banking. Click ‘Continue’…the window will close and you will be presented with your personal page. 7 . 4.1 To access the service, select the Entity (if you are registered for more than one) and click ‘Go’. 4.2 Existing User Activating another entity To add another entity you must complete a separate application form for the entity. The form can only be obtained by contacting your Relationship Manager. Once the completed application form has been processed, you will receive a new Welcome Letter via post and a new Activation Code e-mail. Note: you will not need another Security Device for this new entity. Please make sure you have the following to hand before you attempt to complete the Activation process for the new entity. Without these you will not be able to complete Activation: The new Welcome Letter which contains the: Online Banking ID Registration Number The new Activation Code – sent to you by e-mail. Your existing Security Device. 10UKEN178B 7/15 4 . 4.2 Activation 1 The first step is to log on to Online Banking using your existing details. This will bring you to your Personal Welcome Page as shown. Click on the ‘Add another entity’ text. The activation details screen will subsequently appear. Enter activation details Once the activation details screen appears: . 4.2 Navigate to the ‘Add another entity’ screen 2 Input your Online Banking ID as shown on the new Welcome Letter. It will start with GBHBEU. Input the Registration Number shown on the new Welcome Letter. Input the new Activation Code sent by e-mail. Input an Entity Name. Choose a name to distinguish this entity from any others which have already been activated. Select ‘Continue’ to complete the process. The ‘Activation Successful’ screen will appear and when you click finish/continue the window will close and you will be returned to your Welcome Page. You can now access and manage the new entity by selecting it from the drop down on your Welcome Page. You can activate up to 50 entities from your Welcome Page (all linked to the one Username). 10UKEN178B 8/15 5 Subsequent logons The next time you log on, please do so from www.hsbcprivatebank.com/uklogon and select the log on button below the Security Device image in the “Transactional online banking” section on the right hand side of your screen. On the first screen, enter your Username and click ‘Continue’. .................................................. On the second screen, enter your Password and Security Code and click ‘Continue’. You will then see the Online Banking welcome page. From your personal page, select the Entity name you require from the drop down box (if you have more than one) and click ‘Go’. 10UKEN178B 9/15 6 Closing the session To ensure that you close your session securely, you need to exit Online Banking. Select ‘Logoff’ from the top right hand corner of your personal page. 7 Primary Users for businesses 7.1 Online Banking enables the Primary User for a business entity to grant access rights to other individual Users. These individuals are ‘Secondary Users’. Primary Users always retain the ability to delete and amend Secondary Users’ rights as required. A Primary User could, for example, delegate view only rights to certain individuals and payment rights to others. Changing the Primary User If it is necessary to change the Primary User for a business, a ‘Replace Existing Primary User’ form should be completed by the business and submitted to your Relationship Manager for processing. This is available for download from the forms section of the Private Bank Online Banking Help Centre at www.hsbcprivatebank.com/ukhelpcentre . If the new Primary User has not already completed the Bank’s identification checks, we will need to see the following information along with the Replace Primary User form: A full driving license or passport. A recent utility bill confirming their current address. These should be sent to us at the same time as the Replace Existing Primary User form. 8 While a Primary User is being changed, the Primary User access will be disabled until a new Primary User is activated. Any Secondary Users will still be able to access the service, but amendments to a Secondary User’s profile and authorisation of payments above a Secondary Users payment limit cannot be made during this time. Secondary Users To allow other people to access the service, the Primary User for a business will need to set them up as Secondary Users via the ‘Access and Control’ function. The Primary User can determine their privileges, account access and payment limits. 8.1 Creating a Secondary User The Primary User must ensure a `Secondary User Application’ is completed in full and submitted to the entities Private Bank Relationship Manager. This form can be downloaded from the forms section of the Online Banking Help Centre at www.hsbcprivatebank.com/ukhelpcentre. Unless this form is approved by the Bank, a Secondary User will not be able to complete their registration. For full details of the services available and an explanation of payment limits please refer to `A guide to using Online Banking’ under the guides section of the Help Centre. 10UKEN178B 10/15 8 8.1 Secondary Users Creating a Secondary User To create a Secondary User, please follow these instructions: Log on to Online Banking and select the entity for which you wish to create a Secondary User. Select Access and Control from the left hand menu. Select Setup user. Enter the details for the new Secondary User to be created. Confirm whether the new Secondary User requires a Security Device or not. Note: If the Secondary User already accesses the Online Banking service to view another entity they will NOT need another Security Device (they will be able to use their existing Username and Security Device). 10UKEN178B 11/15 8 8.1 Secondary Users Creating a Secondary User Scroll down the screen and select the services you wish the user to be able to use. The services you grant will only apply to accounts to which you allow the user access. The only exception to this is the Activity log, which allows any user granted authority to use the Activity log to enquire upon all users, services and accounts available for that entity. If you grant a payment option to the user, please remember to enter a Daily Payment Limit. Scroll down the screen and select the accounts which you wish the user to access. Be aware for Multi Currency Accounts you can only provide access at a portfolio, rather than account level. Select ‘Continue’ and after checking the details on the resulting screen click ‘Confirm’. 10UKEN178B 12/15 8 8.1 Secondary Users Creating a Secondary User Important: When the ‘Setup Secondary User confirmation’ screen appears select ‘print’ and give the print out to the new Secondary User. They will require these details in order to register for the service. This ‘Setup Secondary User confirmation’ screen print out takes the place of the Welcome Letter and Activation Code e-mail. If the Secondary User loses the print out, the Primary User will need to delete them in the Access and Control function and set them up again as it is not possible to re-advise them of their Registration Number and Activation Code. If the Secondary User already has a Security Device, they can complete Activation by following the instructions in section 4.2. If the Secondary User requires a Security Device, they must wait for it to arrive before they can complete the Activation process. The Security Device will not be issued until the Secondary User Application form has been received and checked by the Bank. The Secondary User will receive an e-mail confirming that their account is active once the form has been received and confirmed. 10UKEN178B 13/15 8 8.2 Secondary Users Amending a Secondary User’s access rights or payment limits If you want to amend a Secondary User’s profile, this must be undertaken online. The Primary User or any other User with appropriate access and control rights can make these changes: Select ‘Access and Control’ from the left hand menu. Select ‘Edit User’. Select the Secondary Users name. Amend details as required. Select ‘Continue’. Select ‘Confirm’. 8.3 Deleting a Secondary User The Primary User can remove a Secondary User at any time, online, by deleting the User via the Access and Control function. Any other User with appropriate Access and Control rights can also delete Secondary User’s. Select ‘Access and Control’. Select ‘Edit User’. Select the Secondary Users name. Select ‘Delete’. Select ‘Continue’. Select ‘Confirm’. If you want to remove them from more than one entity, you will need to complete the actions above for each entity individually. If a Secondary User attempts to log on to Online Banking after being deleted, access will be denied. 10UKEN178B 14/15 9 9.1 Other points of reference Whilst logged on to the service you can click the help button or question mark icons to access online help relevant to the screen you are viewing. The question mark icon will normally be to the right of an input box you need to complete and the screen specific help button will normally be in the upper right hand corner of the screen. Online help centre for Set-up Guides, Forms and FAQs Located at www.hsbcprivatebank.com/ukhelpcentre this dedicated website provides guidance and further information on the Online Banking service. In addition to FAQs, Forms and details of system requirements there are two user guides available: 9.2 Online help buttons and icons Set-up guide - details step by step how to add additional entities, set up Secondary Users or simply register for the first time. A guide to using Online Banking - provides information on each of the functions within the service. 9.3 Online Banking help desk If you need assistance whilst using the service, please call our Online Banking Helpdesk on 0845 587 3301 or +44 1226 26 1013 if calling from outside the UK.
