Investors in People Online assessment guide Investors in People // Online assessment guide Creating an online assessment // Start Start by clicking ‘New online assessment’ in your online assessment menu. Please complete the following fields: Organisation: Start to type the name of the organisation you want to create an online assessment for. This will then generate a drop down menu for you to choose your organisation from. Make sure you are entering the organisation name correctly. If your organisation does not appear please contact your Delivery Centre. Question set: Please select the online assessment type from the drop-down. This is where you can also select an alternative language if required. Online assessment title: Please add in a title for your online assessment. This is displayed to participants. Description: This field is not displayed to participants and is just used as a reference point for you. Start & End date: Please select when you would like your online assessment to start & end from the pop up calendar. Please note that there are default start dates included here, but these can be updated as necessary. Online assessment owner ‘Practitioner name’: Please add in the Practitioner responsible for this online assessment (this is likely to be you). Online assessment owner ‘Practitioner email’: Please add in the email of the practitioner responsible for this online assessment (this is likely to be your email address). Online assessment owner ‘Client contact’: Please add in the main client contact for your online assessment. Online assessment owner ‘Client email’: Please add in the email address of the main client contact for your online assessment. ‘Create online assessment’: This option creates your online assessment and takes you onto the ‘draft’ stage of creation. Once you have created your online assessment you are able to access it at any time via your ‘manage online assessments’ page by clicking edit on the left hand side. This means you can leave your online assessment and come back to it at any point. Please remember to save any changes that you make. More information about the ‘manage online assessments’ page is available on page 5 of this guide. 1 Investors in People // Online assessment guide Creating an online assessment // Draft Within the ‘Draft’ stage you can make edits to the previously completed fields as required. Please ensure you save any changes. There are also new fields that can be filled in during the draft stage: Data Collection methods: This is where you can define how the online assessment is deployed. Emails: Download a template CSV file and add the contact details of users you want to invite to take part. Please ensure that you follow the same structure as provided in the template, and do not make any changes to the headings. Once uploaded, save your changes to import email addresses in to the system. Open Access: Click ‘add an open access link’, add in the number of submissions allowed and custom group data if required. Click save, and an open access link will be generated that you can share with your client. You can create as many open access links as required, and edit/delete existing links. IIP9 Interview import: Only available for IIP9. This is accessible in the next stage of online assessment creation Import data from a 3rd party survey: Only available for IIP9. This is accessible in the next stage of online assessment creation Customise online assessment: This is where you can customise elements of your online assessment. Add Optional questions: This is where you can add in optional questions from a predefined list. These will appear in the online assessment, and allow additional ways for the results to be filtered. Select and upload a organisation logo: This logo will appear on the email sent to participants so should match the brand of the organisation you are creating the online assessment for. Simply select the check-box and then use the ‘Choose file’ to select a logo from your computer, and then upload. Edit email: Allows you to edit the main message that is sent out to users when the survey is emailed to participants. Always keep any text in a [square bracket], and remember to save changes. Reminder Emails: Allows you to edit the frequency of email reminders that are sent out during the survey to users who have not completed the survey. This function allows the reminder email text to be edited, along with when the reminders are sent. Please ensure you save any changes you make. Delete online assessment: You can delete your online assessment if required - this is useful if you have been testing functionality or have made a mistake. Please note that once deleted the data is fully removed and cannot be recovered. Ready to Start: Once you are happy with the details you have entered and you have saved your changes, you are able to move the online assessment state on to ‘Ready to start’. Please only do this when you are happy with all of the information entered, as once created you cannot make changes to the online assessment details. You will be presented with a checklist that you have to complete before you are able to move on to the next stage. Not all of these checklist points will be relevant to you every time, but you will still need to check the boxes to confirm that you have reviewed the online assessment details thoroughly and are happy to move on. 2 Investors in People // Online assessment guide Creating an online assessment // Ready Now that the online assessment is in the ‘ready’ stage, it is ready to launch on your specified start date. There are still some elements you can amend at this point. Start & End date: If your start date and end date are in the future, you are able to update them. This is useful if you need to postpone or bring forward your online assessment. Please ensure you save any changes you make. Data Collection methods: At this point you can also make changes to the deployment methods you’ve chosen to use, and if you have created an IIP9 online assessment you will have access to two additional options at this stage also. Emails: If you need to add any additional emails to your list of participants, you can do so by adding another completed CSV template. You do not need to amend the list of emails you have already uploaded. If you do need to delete any email addresses, please refer to the ‘manage emails’ section of this guide. Open Access: You can add more open access links at this stage, or edit/delete existing links. IIP9 Interview import: This is only available for IIP9. Download the IIP9 PDF to use during interviews. These PDFs are interactive and should be completed using a computer or other electronic device. You need to save one per person that you interview. Once you have your completed and saved your PDFs, they need to be uploaded back in to the platform using the browse function here. You can upload more than one PDF at a time. Once you have uploaded your PDFs, please save your changes. Import data from a 3rd party survey: This is only available for IIP9. You will need to provide your client with the IIP9 questions for them to integrate in to their own survey. It is essential that the client survey has a 7 point answer scale. Once your client has provided you back the survey results, these can be uploaded in to the system using the browser function here. The results need to be uploaded in the correct format, which is provided in the results template CSV that can be downloaded at this point. Organisation logo: You can still add or change the organisation logo here if required. Stop online assessment: This allows you to stop all activity related to the online assessment. It cannot be undone, so please only use this function if you are certain your online assessment needs to be removed. 3 Investors in People // Online assessment guide Creating an online assessment // Active Once your online assessment is active, it will be automatically sent to any email addresses you have imported and any open access links will now be active and accessible. You can still make the same changes as before in ‘ready’ stage. Crucially, you can still change the end date so you are able to bring forward or postpone your online assessment’s close if required. Creating an online assessment // Closed Your online assessment automatically closes at 23:59 on the specified end date. Once an online assessment is closed you are no longer able to receive any online submissions and you can no longer edit or update any details. You are still able to upload IIP9 interview PDFs and data from a 3rd party survey after an online assessment has closed. Creating an online assessment // Results You can access the results of your online assessment from your ‘manage online assessments’ page. There is a results column on the right hand side of the page giving you the option to view your results or export them as a raw data CSV file. When viewing your results, you are given four different view types: an overview of the results, an alignment summary, a break down of results by indicator, and a basic table of results. If your client opted to add any filters (i.e. groups or optional questions) you can break your results down accordingly using the filter options within each view. You can also apply industry benchmarks to the results. You are able to download these results as a PDF to be included in your assessment report. Every chart and graph can also be downloaded individually as an image file. 4 Investors in People // Online assessment guide Managing an online assessment // Manage online assessments Your manage online assessments page is where all your online assessments are stored. From this page, you are able to see an overview of every online assessment you have created regardless of what state of creation it is in. You can access any online assessment by clicking edit on the left hand side of the organisation name. You are also able to access and download your results by clicking view in the result column. You can search for online assessments here using the search functions at the top of the page. Managing an online assessment // Manage emails This page stores all emails you have uploaded in to the system, and allows you to manage the email addresses and view progress of your email sends. Search function: This page has a detailed search function at the top that allows you to search for emails based on a variety of options. You can view emails associated to particular online assessments, or you can look up specific email addresses if necessary. Deleting emails: If you need to delete an email address that you have uploaded, you just need to locate it in the list by using the search function and selecting the check box on the left hand side. Then you can delete by going to ‘operations’ , selecting delete and applying this choice. You can delete more than one email address at a time by selecting more than one check box. Resending emails: If a client has requested an online assessment email to be resent, you can do this by locating the relevant email address and selecting the check box on the left hand side. Then you can resend the online assessment by going to ‘operations’ , selecting resend and applying this choice. You can resend more than one email at a time by selecting more than one check box. Checking email sends: If you would like to check the progress of an email send, you can see the initial date that the survey was sent by checking the ‘sent’ column. For further details, you can click ‘view details’ next to a participant’s name. This will take you to a page that details every email that has been sent to this user and when. It also lets you know if and when the user has completed the online assessment. 5
