5 EASY STEPS TO START PAYROLL
DEDUCTIONS AT YOUR AGENCY
1) GIVE PAC SIGN UP FORM TO EMPLOYEES:
You can use the attached form or create your own. Your authorization form simply
needs to include the name of the employee, their occupation, home address, a line
for the employee’s signature, along with a notice to the employees instructing them
on how they can opt out of the program after they have enrolled and stop their
deductions. Companies have had success hosting a 5-10 minute presentation from
a PAC representative, giving employees the form during the hiring process, or giving
the form to employees on an annual basis.
2) ESTABLISH A NEW DEDUCTION CODE FOR YOUR EMPLOYEE’S PAYCHECK:
This code should accumulate year-to-date totals on your employee’s paycheck so
they can track their contributions.
3) CREATE A NEW GENERAL LEDGER ACCOUNT:
The new general ledger account should be set up to track all employee payroll
deductions contributions. The deductions should appear in the general ledger as
credits and once the payment is received you should debit the account, bringing the
total back to zero. This will help you determine that all of your deduction
contributions have been paid.
4) EACH MONTH HAVE YOUR PAYROLL DEPARTMENT REQUEST A CHECK
FROM YOUR ACCOUNTS PAYABLE DEPARTMENT:
Every month your payroll department should send a list of the names of your
participating employees and the amounts of their contributions to your accounts
payable department. Your payroll department should then request a check from
accounts payable for the amount of your total employee contributions for that month.
5) SEND A CHECK TO THE TEXAS HOMECARE & HOSPICE PAC:
Important: Accounts payable should send a check monthly to the TEXAS
HOMECARE & HOSPICE PAC within three business days of the date paychecks
are distributed. All accounts payable checks should be made payable to TEXAS
HOMECARE & HOSPICE PAC. The PAC also needs a list of who contributed and at
what amount for each check. The PAC cannot deposit checks without a list of
contributors by law.
