Prior to Filling up the Application
Form:
• Know your research interests
• Get to know the research topics of the potential
advisers
• Choose 2-3 thesis/dissertation advisers to apply to
and RANK them from most preferred (choice 1) to
least preferred (choice 3)
• Do not apply to advisers who have no available slots
for new advisees. They either opted not to accept new
advisees or already have too many.
• Students are strongly encouraged to talk to
prospective advisers before submitting their
applications

Faculty Research Topics
Each year, each ChE faculty member with PhD or
equivalent publicizes his/her current research topic(s)
using any of the following:
the Department webpage*,
the Department Graduate Student Orientation,
ChE 296.1,
the Department Bulletin Board,
Department brochures, or in the
Matrix of Advisers and Topics which comes with the Call for
applications

File Name for Application Form
• One application form per adviser-topic should be filled up.
• Save the filled up application with a specific file name:
“XX Application Y_ADVISER_STUDENT”
that indicates the following:
XX - Degree Program “MS” or “PhD”
Y - Priority Number “1” to indicate 1st choice adviser; “2”
for 2nd choice, and; “3” for 3rd choice.
ADVISER - Surname of Selected Adviser (Adviser Code), all
caps (see matrix of advisers and topics)
STUDENT - Surname of Student, all caps

• For example: A PhD ChE student named Juana Garcia, applying
to her 2nd choice adviser Dr. Juan Santos should save the
application form as

The 500-word Essay
o The essay “Why I am interested in the research topic “ is to
communicate the significance of the topic to you and your career plans.
o In addition to describing your personal interest in the topic, include
one or more of the following:
• A description of the importance of the problem which the proposed
research topic addresses
• An explanation as to how the proposed research topic might
improve scientific knowledge, technical capability, culture, and
practices, or solve a problem in society.
• A description of how the concepts, methods, or practices that drive
this field or market segment will be changed
• Potential innovation and intellectual merit
o Include references, if any.
o Save the essay with the file name:
ESSAY_<topic code>_<student surnames>

Online Submission
• Before sending the application forms, check for
completeness and correctness.
• Email the filled up forms to [email protected] on or
before the due date for submission of applications (see
Bulletin Boards, emailed announcements,
announcements posted on the website for details, or
the last slide of this powerpoint)
• IMPORTANT: Send all applications in one email
submission with a particular subject line format (see
next slide).
• Your online submission will be automatically
forwarded to the advisers listed on the subject line.

• IMPORTANT: Use the following subject line
“XX_ADV1_ADV2_ADV3”
where
XX = degree program “MS” or “PhD”
ADV1 = SURNAME or ADVISER CODE of FIRST CHOICE
ADVISER
ADV2 = SURNAME or ADVISER CODE of SECOND CHOICE
ADVISER
ADV3 = SURNAME or ADVISER CODE of THIRD CHOICE
ADVISER
Note that the order of listing adviser code names is important,
and again the underscore “_” that connect the code names

What to put/include in your email
• A brief transmittal e-message
• 2-3 Filled-up application forms as attachment (1
per adviser-topic)
• 2-3 Essays, one for each research topic under each
adviser of choice, as attachment

Results
• Results will be posted 2 weeks after the due date
for submission of applications.
• If at the end of the first call, there are still some
students who have not been accepted by an
adviser, a second call for applications may be
made.
