SUBJECT: New Events Program Project The project will include comparing and contrasting of the Trump Hotel and the New Castle Hotel event programs. Our goal is to make the New Castle Events Program successful and to improve it in any way possible. Abstract By moving forward in this project, we will meet all clients to ensure that their event runs smoothly and successfully. Our focus is to achieve any goals towards the event, to encourage participation, allow people to have a full experience, and to go above and beyond the expectations that the client has. Anyone that is participating in this project must have knowledge in certain areas such as designing, planning, coordinating, and evaluating the event. We will show our client that we can make any type of event happen in the way they see it, regardless of the budget they are aiming for by inputting the right amount of resources and approaching it professionally. Benefits The benefits of this project will improve the hotels status and make it more appealing to its future clients. These benefits include: - New business/consumers Increase in job opportunities Facilities will be occupied more often Increase in sales for food and beverage Hotel will make more profits, and therefore will be able to spend money on improving facilities such as making conference rooms modern, or expanding the hotel for event space Resources Support Required - Research on your competitors - Time management for event - Lighting, audio/visual, catering services, enough space for parking, photographers, facilities, event space needed, organizing on how the event will be set or planned, suppliers, booking entertainment, décor, guest list Background The Hotel Industry is a competitive market, especially when you are competing with a well-known hotel such as the Trump Hotel. We want to bring people to our hotel from all over the world so they can use our event services. We hope to bring in business travellers, leisure travellers, event service companies, new employees, and future business that will create more opportunities. Motivation and Need In making this event program happen, we plan to have responsible and dedicated workers, consider time management when working in busy environments, strategize and divide certain tasks or duties fairly to everyone in the workplace. We will also be setting deadlines to motivate our staff in completing these tasks and organizing their schedules. If the timeline of the event is short, we will increase the amount of staff that is working on the project, to ensure that no one is feeling over pressured. Our objective is to ensure that we generate a lot of business and to show our competitors clients that we provide excellent event services. We will exceed our clients’ expectations by displaying a large amount of attention to detail. Budget Breakdown - To startup this event program, we will have to invest an estimate of $30,000 - The money will be spent on items for the event such as cutlery, tables, tablecloths, chairs, electronics, audio/visual, lighting, stages, décor, staffing and any other materials or services. - All staff will be paid $15.00/hour bi-weekly Work Schedule By introducing this events program, we will need all the support and extra help in the workplace. Each employee will have to work at least 40 hours a week. If any employee is asked to work over time they will be paid and compensated for providing us with the help we need. We will need all employees to meet deadlines for each event, act professional, and be able to work in busy environments. Furthermore, we will be encouraging any volunteer work to prepare for events and to make sure it runs according to plan. Time management is very important to us, which means we expect all employees to be responsible in coming in on time and being prepared to work. We will need employees that are efficient at setting up and cleaning up the event at a fast pace. Closing Remarks Our mission is to attract more business to our hotel by creating this event program. There is an increase in hotels and hotel event programs in Toronto. By creating new, innovative ideas and improving the hotel and its new event program, we will generate large amounts of business. Therefore, this will lead to an increase in profits, we will be able to expand the New Castle Hotel, and will become a large competitor in the industry. The hotel will be known for creating extravagant events that people from all over the world won’t be able to resist.
