GENERAL INFORMATION AND REQUIREMENTS FOR ALL BOARD POSITIONS
TERM OF OFFICE: APRIL 2013 TO APRIL 2014
TIME COMMITMENT
• Board meetings (usually monthly/bimonthly, average of 2 hours each).
• Monthly Club dances, special events, and annual convention (Boogie by the Bay).
• Annual General Membership meeting (approximately 1 hour).
• Any time necessary to perform duties of the position.
GENERAL INFORMATION AND REQUIREMENTS
• Attend and participate actively in Board meetings, held at least 4 times per year.
• Ensure that all Bylaws and policies are practiced in all operations.
• Offer feedback, bring ideas regarding direction of the Club, and advocate proper management in
accordance with the Bylaws, Policies & Procedures, and applicable law during Board meetings.
• Attend monthly Club dances, special events, and the Annual General Membership meeting.
• Provide leadership that advances the Club’s purpose, philosophy, and vision.
• Direct the current operations while keeping the long-term success of the Club in mind.
• Establish and adhere to an annual, zero-balanced budget. Actively participate in quarterly financial
reviews.
• Foster an atmosphere of dynamic, friendly volunteerism.
• Recruit volunteers outside the Board to manage and run operational functions and Club
activities/events per the Bylaws and Policies & Procedures.
• Listen to and respect all viewpoints and support the will of the majority.
• Prepare for meetings, as necessary.
• Perform special projects, as necessary.
• Perform specific duties for position (see individual Job Descriptions).
MINIMUM QUALIFICATIONS
• Current member in good standing of The Next Generation Swing Dance Club.
• Able to make the time commitment.
• Able to fulfill the responsibilities required for position.
• Passionate about promoting Swing Dancing and the purposes of the Club.
JOB DESCRIPTION - PRESIDENT
RESPONSIBILITIES
• Oversee all business operations and ensure compliance with Bylaws, Policies & Procedures, and
applicable law.
• Enter into business agreements on behalf of the Club in compliance with Bylaws, Policies &
Procedures, and applicable law.
• Establish agenda and lead meetings of the Board and Executive Committee.
• Work with Club accountant/bookkeeper and Treasurer to prepare annual budget.
• Work with Treasurer and accountant/bookkeeper to oversee quarterly financial reviews and
mange any needed program adjustments to meet budgeted bottom-line.
• Serve as the primary representative of the Club to other dance organizations.
• Remain informed of local, regional, and national swing dance activities.
• Conduct Club business between meetings and report relevant activity back to the Board.
• Foster volunteerism to facilitate filling any open positions.
• Ensures that announcements are made at Club Dances about Club activities & other dance
events.
• Be a signatory on the Club’s bank account(s).

• Ability to facilitate meetings and promote teamwork.
• Strong organizational skills.

• In the absence of the president, establish agenda and lead meetings of the Board and Executive

• Serve as the secondary representative of the Club to other dance organizations.
• Remain informed of local, regional, and national swing dance activities.
• Conduct Club business between meetings and report relevant activity back to the Board.

activities & other dance events, as needed.

JOB DESCRIPTION - TREASURER
RESPONSIBILITIES
• Serve as custodian for all funds of the organization.
• Conduct Club business between meetings and report such activity back to the Board.
• Receive and deposit Club membership and event funds.
• Distribute funds in accordance with Club policies and procedures.
• Coordinate collection of funds at Club events (dances, fundraisers, etc).
• Work with the Assistant Treasurer/Convention Treasurer to coordinate collection of funds at the
BbB convention
• Work with the Assistant Treasurer/Convention Treasurer to reconcile income with attendance sales
records at the BbB convention.
• Reconcile income with attendance sales records at Club events.
• Work with Club Accountant/Bookkeeper to prepare and file tax returns and other financial reports
required by federal and state agencies.
• Work with Club Accountant/Bookkeeper to prepare and present quarterly financial reports (P&L and
Actual vs. Budget).
• Work with Club President and Board to prepare annual budget and submit approved budget to Club
Accountant/Bookkeeper.
• Be a signatory on the Club’s bank account(s).
SPECIAL SKILLS
• Experience in financial accounting and financial report preparation is desirable.
• Attention to detail and the ability to meet deadlines.

RESPONSIBILITIES
• Record, manage reviews, obtain approval, and distribute minutes of all meetings of the Board,
Executive Committee, and General Membership.
• Maintain attendance records of Board members at meetings and Club Dances.
• Maintain attendance records of all people attending the Annual General Membership Meeting.
• Maintain custody of all records of the Club including Bylaws, meeting minutes, E-Votes, and Club
correspondence.
• Handle Club correspondence, including thank you notes for donations.
• Conduct Club business between meetings and report such activity back to the Board
• Be a signatory on the Club’s bank account(s).

JOB DESCRIPTION - MEMBERSHIP DIRECTOR
RESPONSIBILITIES
• Promote Club membership and benefits.
• Conduct Club business between meetings and report such activity back to the Board.
• Work with the Club’s Database Administrator* to maintain membership records and statistics.
• Present membership reports at Board meetings.
• Coordinate membership station at Club dances, accepting fees for new members and renewals.
• Be a signatory on the Club’s bank account(s).
• Chair the annual new member dinner
• Process volunteer choices on the membership application forms and provide names to the
appropriate people
* The Database Administrator may or may not be the Membership Director.
The following are Membership Director responsibilities that may be handled by an assistant or the
Database Administrator:
• Prepare and send information packets to non-members who request information about the Club.
• Prepare and send membership renewal packets to expiring members.
• Send membership cards and membership information to new and renewing members.
• Prepare and present monthly membership reports to the Board.
