Virtual Tagging (Mobile App)
Virtual Tagging allows you to bypass use of the NFC-enabled plastic tags on individual plants. This means
you will manage your plants through locations only and not through individual plant tags. Remember
that each plant still requires a visual label with the state ID, to allow for state inspection. These
instructions will show you how to print labels without encoding individual tags, and how to move and
harvest plants via location tags.


The benefit of Virtual Tagging is that you can work with the plant in bulk without the need to
attach a tag to each plant.
The downside is the loss of ability to inspect or interact with each plant individually. If the need
arises, you will have to “retag” any individual plants you need to interact with.
We will be expanding the virtual tagging functionality over time but currently it works with newly
created plants through the cloning process. To begin using virtual tags follow the instructions on
promoting clones below.
Please note that all of the instructions in this mini-guide are included in the main User Guide as well.
This is intended as a streamlined Virtual Tagging guide for users already familiar with TraceWeed. For
complete instructions on using our service, please use the complete User Guide.

Promote Clones and Seedlings to Plants (Mobile App)
Select the third icon from the “Clone” menu called “Promote Clones and
Seedlings to Plants” and follow the instructions to promote all or part of the
group of clones, seeds, or tissue to plants.
Promote from a Single Group
1. Scan the Location where your inventory resides.
2. A screen will appear with all the groups in this location pending
promotion.
3. Tap the group you wish to promote.
4. Enter a quantity to promote.
5. Tap the Continue button
6. A confirmation message will appear.
7. Review the info for accuracy.
8. Tap the Confirm button.
Promote from a Strain
From the location screen (step 2 above):
1.
Tap in the top box & select desired Strain to promote.
2.
Then tap the Select button.
3.
All quantities of that strain will be captured in one box and
ready to promote.

Note the number of ‘Combined Groups’.
Continue with step 4 above.

Create Virtual Plant Tags with Labels Only
From the “Tag Promoted Clones and Seedlings” icon in the “Clone” menu:
1. A screen will appear with all the promoted groups ready for tagging. You may need to scroll
down to see all the groups.
2. Tap the desired group to tag.
Note: Be sure the printer button is showing the green “Label Print: ON” version. If not, tap it and turn
your label printer on.

Tap the Print Untagged Labels button.
A confirmation message will appear.
Tap the Confirm box, or Cancel to go back.
All of the labels for this promoted group of plants will be
printed without associating an NFC tag to them.
Note: You can associate a tag to the plants later by
“Retagging Plants” (see below).
7. The system will be ready to tag a new group.
To exit, tap a navigation feature or the exit button at the bottom of the screen.

Retagging Plants (Mobile App)
Select the second icon from the “Tagging” menu called “Retag an Inventory of
Plant Item” and follow the instructions.
1. Scan a location that has items that need to be retagged.
Note: If the location doesn’t have a tag for some reason, you will
need to first retag the location.
2. Optionally filter by strain in the top select box.
3. Optionally filter by the inventory type in the bottom select box
4. Choose an item to retag from the green bordered items listed.
Review the information about the item to verify it is correct.
5. Scan an unassociated tag to attach to this item (this will
automatically recycle the old tag).
A confirmation message will appear.
6. Review the information and tap the Continue button.
7. Physically attach the tag to the item.
8. Repeat to retag any additional items.
To exit, tap a navigation feature or the exit button at the bottom of the screen.

Move Tagged Clones and Seedlings to a Plant Location (Mobile App)
Select the fifth icon from the “Clone” menu called “Move Tagged Clones and
Seedlings to a Plant Location” and follow the instructions to move all or part of
a group of clones, seeds, or tissue that have been tagged as plants but have yet
to be placed in a valid plant growing location.
1. A screen will appear with all the tagged groups ready to move to a
plant location.
2. You may need to scroll down to see all the groups.
3. Tap the desired group to move.
4. Scan the plant location tag where you’re moving the group.
5. A confirmation message will appear.
6. Review the info for accuracy.
7. Tap the Confirm box, or Cancel to go back.
8. The system will be ready to select another group to move.
To exit, tap a navigation feature or the exit button at the bottom of the screen.

Move Plants and Inventory (Mobile App)
TraceWeed’s “move” functionality allows you to move individual items, move all items within a location,
or even move a location itself, all with the mobile application. With “virtual tagging,” you can only
perform the location-based moves.
To begin using the mobile application you will need to navigate to the “Move” menu from the main
menu on your mobile device by selecting Clone, Plant and Harvest > Move Plants and Inventory.
The mobile application covers the following move actions:





Move Individual Items or Scanned Groups
Move All Items from a Location to Another Location
Move a Location and All Contents to Another Parent Location
Move Everything Under a Location to Another Parent Location
Move Items from Receiving to Tagged Locations
For this Virtual Tagging Guide, we will focus only on moving all items from a location to another location.
Please see the full user guide for other actions.

Move All Items from a Location to another Location (Mobile App)
Select the second icon from the “Move” menu called “Move All Items from a
Location to another Location” and follow the instructions to move all items to
a new location.
1. Scan an existing location tag.
Note: If the location is empty the system will let you know that there is
nothing to move from this location
2. Review the summary of items and child locations to be moved.
3. Scan the new parent location tag of the items to be moved.
Note: the location must be compatible to the items being moved because
of state system rules (plants can only move to plant locations, inventory to
inventory locations). If you try to move items to an incompatible location
the system will ask for a different location.
4. A confirmation message will appear.
5. Review the information for accuracy.
6. Tap the Confirm box, or Cancel to go back and edit.
To exit, tap a navigation feature or the exit button at the bottom of the screen.

Scheduling Harvests (Mobile App)
TraceWeed’s “Harvest” functionality on the mobile application allows for scheduling plants and
locations for harvest with the harvests being automatically grouped by strain. Managing the harvest
after it is scheduled is done from the PC App (see the full User Guide for details).
To begin using the mobile application you will need to navigate to the “Harvest” menu from the main
menu on your mobile device by selecting Clone, Plant and Harvest > Schedule Plants or Locations for
Harvest.
The mobile application covers the following harvest actions:


Create a New Harvest
Modify a Harvest that has already been Started

Create a New Harvest
When it is time to harvest plants, the first thing that needs to happen is to schedule the harvest(s) which
in the system signals a new state for the plants.
Harvesting can be done with individual plant tag scans, specific locations, or fully nested locations
(whole rooms with multiple plant locations within them). These Virtual Tagging instructions focus on
harvesting with location tags only (see full User Guide for instructions on harvesting with individual plant
tags).
From the “Harvest” menu you begin to schedule your harvest by:
1. Tapping in the first box to Name your harvest. This is used for you to identify the harvest with
something that isn’t a random number.
2. If you’re harvesting flowers only and not destroying the plant, select the Re-flower Plants
checkbox. Otherwise, leave this box unchecked (default).
Note: Most harvests will have a yellow “Full” in the harvest information box on the scanning screen.
Reflower harvests will show the words “Reflower (Partial)” instead.
3. Tap the Start Harvest button.
4. Add plants to the harvest:
o Scan a location tag where desired plants are located. The system will capture all eligible
plants in this location and all sub-locations.
o As you scan tags, the Strain, Location and Plant counters will increase.

Note: since harvests are broken down by strain, the numbers are tracking the unique strains, the
locations that are child locations within a location you have scanned for harvest, and the total
number of plants (across all strains and locations)
o
To remove any location from the harvest, scan the location tag that was already
scheduled, tap the Confirm Remove button and it will not be scheduled for harvest.
5. When you’re done adding/removing plant locations for harvest, tap the Schedule Harvest
button.
6. Review the harvest summary.
7. When ready, tap the Submit to State button. This will commit the schedule to the state and you
can now physically move your plants to harvest and complete the harvest on the PC App.
To exit, tap a navigation feature or the exit button at the bottom of the screen.
Modifying a Harvest
To modify a harvest that was started, but not scheduled, navigate to the “Harvest” and begin by:
1. Tapping in the box under “To modify a harvest already started”.
2. Select desired harvest pending to be scheduled.
3. Tap the Modify Harvest button.
4. Resume with step 4 of the Create Harvest steps above.
To exit, tap a navigation feature or the exit button at the bottom of the screen.
