During course registration week of each semester determined in academic calendar of the University, student can register up to 30 ECTS course work with the supervisor. Student can learn name and office location of the supervisor in Student Affairs Office (SAO) After the supervisor register courses, s/he gives printed course registration form to student. Student submits course registration form to SAO. Form to be used Course Registration Form (printed through AIS by supervisor) Supervisor Appointment Procedure for Supervisor Appointment A supervisor for newly registered student is proposed by the Department. Heads of Departments prepare the list of students and their proposed supervisors using Supervisor Appointment Form, and deliver the forms to Faculty Secretary to register as Faculty Council agenda right after the entrance exam. Faculty Council adopts supervisor appointments of the students. Faculty Secretary informs the Heads of Departments by sending the decision concerning the appointments. Faculty Secretary informs SAO by sending the decision concerning the appointments and Supervisor Appointment Form signed by Dean. SAO archives the form in student folder and upgrades the information system. SAO informs the student and supervisor through email. From to be used Supervisor Appointment Form Final Work Defense Procedure for Final Work Defense The student completes all requirement specified in the related articles (60 ECTS course work, publication, etc). The student submits Authorization Request to Schedule Final Work Defense Form together with one copy of final work and copy of publications to SAO within first two weeks of a month. The form should include proposed Final Work Defense Committee members and schedule of defense by supervisor and Head of Department. SAO prepares a folder including Authorization Request to Schedule Final Work Defense Form, one copy of Final Work, copy of publications, transcript. 3 SAO delivers the folder to Faculty Secretary to make an agenda in the Faculty Council Meeting. The Faculty Council takes final decision in its first meeting. Faculty Secretary informs SAO about the decision. SAO informs the supervisor and the committee members via e-mail. SAO announces the final work defense via Graduate Studies web page. Any changes in the Faculty Council decision (Committee members, schedule and date.) should be made in the subsequent Faculty Council meeting. After the revised decision student can defend final work . The committee members conduct a final work defence within one month (not less than 7 days) after the the Faculty Council decision. At the end of the defence, the committee , without the presence of the audience, gives the decision of "Approved", "Approved Upon Alteration", "Repetition of Defense" or "Rejected ". If the committee gives the decision of "Approved Upon Alteration" the student should make necessary corrections and take the approval of the members within 1 month. If the committee gives the decision of "Repetition of Defense" the student should defend the final work again within three months. ). If the student apply for second defense after following semester starts, he/she needs to register for the semester. The student whose final work is rejected can re-apply with a new final work proposal at the beginning of the next semester. S/he needs to register for new semester After the defense, chair of the committee delivers Jury Report for the Final Work Defense Form to SAO. Final Work Submission Procedure for Final Work (PhD Dissertation) Submission After successful Final Work Defense, student submits one copy of Final Work to SAO. SAO delivers the Final Work to Publication Office to check format of the work. Publication Office contacts with the student if there is any problem in format of the work To confirm the format, Publication Office send Format Checking Form to SAO SAO informs student to submit 7 hard copies of the final work and 1 CD including pdf format of the final work. Form to be used Format Checking Form Senate Decision Procedure for the Senate Decision SAO delivers one hard copy of the thesis to Faculty Secretary to register the request as an agenda of Faculty Council Meeting. After Faculty Council decision, Senate adopts the final decision. General Secretary informs SAO about the decision 4 SAO stamps final work's compies and gives one copy to the student. The Documents and Records on Study Procedure for the Documents and Records on Study Student submits Withdrawal Form to SAO after collecting all necessary signatures. SAO issues the diploma and diploma supplement within 1 month after the Senate decision. Form to be used Withdrawal Form 5
