Purpose of the Job
To ensure the garage has optimum level of commodities, and that purchases are administered in a
controlled and timely manner, in line with budgeted targets and stores procedures.
Key Accountabilities
Generate orders, ensuring urgent requirements are dealt with promptly, and follow procedures to
place with suppliers.
Report any difficulties obtaining parts within time scales on placement of orders.
Be responsible and accountable for maintenance of the recommended recorded levels of planned
items.
Organise stores to meet the effects of change (e.g. Fleet Profile, introduction of imprest stock etc).
Keep daily stock issue record up to date.
Validate and check goods received. Identify delivery discrepancies in taking corrective action by
liaising with suppliers and garage staff.
Conduct regular stock checks in line with quality procedures
Check for any outstanding warranty issues and liaise with Supervisor for assessment of possible
claims.
Identify, label and isolate potential warranty items by notifying the relevant suppliers and our internal
administration department.
Ensure exchange items have been returned with relevant paperwork to offset cost of non return
items.
Enter late or incorrect deliveries on suppliers evaluation report form (QAF 55).
Review collection of stores (QAF 10) for patterns of failures to supply on request, make amendments
to stock holding.
Send labels, copies of collection of stores (QAF 10) form and stock check master to Stores Controller.
Review supplier performance, compile and send copies of collection of stores (QAF 55) form to
purchasing.
Review slow moving parts and identify obsolete stock.
Identify and forecast the need for bus and non bus items by monitoring the availability of parts.
Review stock availability in response to a request and identify location of stock and retrieval of stock
for issue.
Monitor supplier lead-times.
Demonstrate flexibility in line with operational requirements.

To comply with health and safety instructions and directives issued by management.
To use the appropriate safety equipment properly.
To wear Personal Protective Equipment where applicable and report any loss.

To ensure that all necessary safety precautions are taken and, if they are in a management or
supervisory position ensure that instructions are provided.

To report immediately any accidents, incidents or near misses to your line manager as soon as
possible and always within 24 hours. This should include both personal injury and vehicle damage.

To attend and cooperate in any investigation following an incident as required.

To cooperate with your employer in attending and actively participating in any health and safety
related training courses as required.
4.10 To report immediately any hazard, faulty equipment or health and safety concern to your line
manager and ensure action is taken to make the hazard safe i.e. fencing them off, using signs etc.
