HOW TO CONVERT A POWERPOINT TO CAPTIVATE AND PUBLISH FOR CORNERSTONE BJC HealthCare How to Convert a PowerPoint to Captivate and Publish for Cornerstone Overview This handout will briefly explain the features in Captivate 5.5 and provide a tutorial on how to import and publish any PowerPoint file. When you are importing a PowerPoint file, you will have the option to retain the link between the Captivate project and the PowerPoint presentation, or you can choose to embed the PowerPoint into the Captivate project by deactivating the Linked check box. By activating the Linked check box (activated by default) you can edit the PowerPoint file directly in Captivate and the changes will appear automatically. If you choose to deactivate the Linked check box any change you make to the source PowerPoint file will not be reflected in the Captivate project. Library Toolbar Filmstrip Timeline Stage or slide Stage The stage is where you will view an enlarged version of your current slide. This is also where you will be able to add, remove or modify an object that is viewed or interacted with on the screen. Timeline The Timeline in Captivate controls how long the slide or objects appear on the screen Toolbar The Toolbar is where you will go to find objects to place on the stage. Filmstrip The Filmstrip displays a list of all the slides in the project. 2 | P a g e Properties/Library The Properties window is where you can make adjustments to the settings of a slide or any object. Next to Properties is the Library tab, this is where you will find all of the major attachments to the project (i.e., Audio, Video, and PowerPoint Presentations) and edit them by double‐clicking on the text associated to the file type. If you accidentally remove any of these windows, just click on the Window text at the top of the screen and a list of all the available windows will appear. Bringing the Presentation into Captivate 1. Select ‘From Microsoft PowerPoint’ under the Create New heading. 3 | P a g e 2. Navigate to and select the PowerPoint file you wish to import. 3. Type the title of your course in the Name text field. Select the Preset Sizes Drop Down. Select 790 x 545. Verify that all of the slides you wish to include are selected. (by default all slides are selected) Verify that On mouse click is selected in the Advance Slide drop down. Select the Linked option if desired. Click OK to begin the import process. (This may take some time) Understanding the Timeline The Timeline appears in seconds and is notched like a ruler with every second being the longest notch. The Timeline has a ‘Playhead’ that you can ‘scrub’ (move back and forth) to view any animations that will appear on the slide. The Timeline also includes the slide and any objects that are on that slide such as a ‘Click Box.’ The Timeline will also display an End marker, indicating the end of the slide. Playhead End Object (Click Box) Slide Setting the Click Box Width 1. Position your mouse on the Click Box so that you see your cursor turn into a double‐headed arrow. (The Click Box is automatically positioned at the end of the timeline) 2. Drag the front of the Click Box to the beginning of the Timeline. (See above image) 3. Repeat steps one and two for all slides in your presentation. 5 | P a g e Adding a Submit Button A Submit button is required to record the user’s completion of the material in Cornerstone. 1. Navigate to the last slide using the ‘Filmstrip’ on the left side of your screen. 2. Click on the last slide in the Filmstrip. 3. In the Toolbar located to the left of the Filmstrip, click on the Insert Button tool. A button will be added to the middle of the slide. (See image on the next page) Insert Button 4.

Drag the button on the screen to a desired position on the slide. In the General pane of the Properties tab, click in the Caption text box. Type the word Submit. Click the On Success drop‐down in the Action pane. Select Execute JavaScript. 6 | P a g e 9. A Script_Window button appears with a Drop Down arrow beside it. Click the Script_Window button. 10.

Type: “javascript: window.close()”. Click OK. Click the Drop Down arrow. Select Top and deselect Continue Playing the Project. 14. Click the Drop Down arrow to close it. 7 | P a g e Adjusting the Timeline on the Final Slide In order to close the window when the user clicks the Submit button, you will need to change the timing of the last slide. 1. On the Timeline, select the Click Box, the Click Box label to the left of the Timeline should be highlighted. Click Box on Timline Click_Box layer Pause highlighted 2. Press Delete. 3. Click OK to confirm the Delete action. 4. Position you mouse at the end of the green timing bar, your mouse will change to a double‐
headed resize arrow. ½ second behind pause Pause 5. Drag the green bar to the left until it is located ½ second past the Pause. (The Pause is indicated on the green Bar by two bold lines, followed by a thin line that separates the green bar) 6. Position you mouse at the end of the gray slide bar on the bottom of the Timeline, your mouse will change to a double‐headed resize arrow. 7. Drag to the same position on the Timeline as the Click Box. 8 | P a g e Publishing your File to Run within Cornerstone Your Captivate presentation needs to be published to run successfully in Cornerstone. The publishing process will add all of the programming calls necessary to communicate with the LMS. These calls identify the user and mark the course complete when the Submit button is clicked. Project Category – Start and End 1. Select File > Publish Settings from the menu. 2. Select Start and End from the Project Category on the left. 3.

Click the Action dropdown under Project End Options: . Choose Stop project. (Already selected by default) Deselect Fade Out on the Last Slide option. Verify that the Auto Play: option is active. Verify that the Preloader option is active. 9 | P a g e Quiz Category – Reporting 1. Select Reporting from the Quiz Category on the left. Manifest button for Step 5. 2. Click the Enable reporting for this project Check Box next to Quiz: at the top of the screen. 3. Choose Standard in the Learning Management System (LMS) area. 4. In the Course area, Click in the Title text box. Enter your course title. In the SCO area, Click in the Title text box. Enter the same course title. These two fields must match. All other items on the screen should be defaulted to the above screen shot. Click OK. You will be returned to the Preferences window. 11 | P a g e 12. Verify that the Complete/Incomplete option is selected in the Report Status area. 13. Choose Slide Views Only in the Choose Report Data area. Make sure Slide View Completion is set to 100. 14. Click the LMS Customization Settings… button. A new window will appear titled LMS Customization Settings. 15. Deselect the Never Send Resume Data check box. 16. Click OK. Browse… Verify that the Flash (SWF) is selected on the left. Click in the Project Title: text box. Enter the course title. This will name the compressed file that the publishing process will create. Click the Browse… button. Navigate to and select the appropriate file location. Click OK. In the Output Options: area, select the Zip Files check box. Click Publish. Click OK to close the confirmation message. 13 | P a g e What to do with the Published File 1. Go to http://www.bjclearn.org/Service_Request/add.html. 2. Fill out the form with the appropriate information. 3. In the Insert File(s) category, click the Browse… button. 4. Locate and select the compressed file that Captivate created. 5. Click Open. 6.
