InformationNOW – Letters – Word 2010 About This Document This document contains tips for creating letters in MS Word 2010 for use in InformationNOW. Setup To create a new letter go to InformationNOW. Go to System Preferences | Setup. Select Letters and a Letter Type (Student, Discipline or Attendance). Click Refresh. Existing letters will display. Click Add. • Confirm the Letter Type. • Enter a Name. • Enter a Description (optional). • Click Create. • Click Download Datasource. Each DataSource.doc file should be saved in a separate folder – one for each type of letter. Note: Refer to the InformationNOW – Letters Quick Reference Guide for detailed instructions regarding data sources. Creating Letters in Word 2010 • Create a new document or edit an existing document in MS Word 2010. • On the Mailings tab, choose Select Recipients | Use Existing List. • Browse to the Data Source that was saved using the steps above. Select the DataSource.dot file and click Open. Quick Reference Guide STI_0304151356 InformationNOW – Letters – Word 2010 • 2 • On the Header Record Delimiters screen, select the following: o Field Delimiter: Select Tab. o Record Delimiter: Select Enter. • Click OK. • Type the letter as normal. To add fields from the InformationNOW database, select Mailings | Insert Merge Field. Fields will vary based on the type of letter created. Fields are in the following format: <<MergeFieldName>> • Save the MS Word file. Select File | Save As. In the Save as type droplist, select Word 97 – 2003 Document (*.doc). *Important Note: If the file is saved as the default Word Document (*.docx), InformationNOW will not be able to use the file. • Once the letter has been created in MS Word and the file has been saved, go to InformationNOW. • Go to System Preferences | Setup. Select Letters. Select the letter type and click Refresh. Click to View the existing letter record.
