Position Description
Healthy Families Waitakere Administrator
(20 hours/week fixed term June 2016 – June 2018)
Encouraging New Zealanders to live healthy, active lives – by making good food choices, being
physically active, sustaining a healthy weight, being smoke-free and moderating alcohol
consumption – is part of the Government’s approach to supporting the underlying causes of good
health.
The Government wants to strengthen the prevention system in New Zealand. Healthy Families NZ is
a new initiative that aims to improve people’s health where they live, learn, work and play by taking
a dynamic systems approach to preventing chronic disease. This approach aims for large-scale
population reach, initiating action on the systems that influence the health and wellbeing of
individuals, families/whanau, and communities.
Healthy Families NZ aims to encourage children and families to lead healthy, active lives, and
involves a dedicated health promotion effort in 10 locations across New Zealand. In each location, a
government-funded Lead Provider is responsible for bringing together a partnership of key
organisations in the community, and establishing a dedicated health promotion workforce. The
health promotion workforce will work across schools, early childhood education centres,
workplaces, marae, sports clubs, and other key community settings to enable sustainable healthy
change.
Sport Waitakere is the lead agent for Healthy Families Waitakere. Regional Sports Trusts engage with
local communities and respond to their specific sport and physical recreation needs. To this end,
Sport Waitakere aims to be the recognised hub for sport and physical recreation information and
expertise in West Auckland.
Primary role:
The primary focus of this role is to provide quality administration
support for Healthy Families Waitakere, this will involve providing
secretarial, financial and admin support to the team and governance
group.
Location:
The position is based at Sport Waitakere, located at the Waitemata
Rugby Club, 96 Swanson Road, Henderson
Reports to:
Healthy Families Waitakere Manager
Direct reports:
No direct reports
Internal Relationships:
Healthy Families Waitakere team, Sport Waitakere team, Board of
Trustees, Volunteers, Oranga Poutama ki Tamaki
External Relationships:
Ministry of Health, other Healthy Families communities, governance
and prevention partnership organisations
Key Result Areas:
This position is responsible for the following key result areas and tasks:
Governance group support:

Manage the Healthy Families Waitakere governance meeting schedules, organisation and
secretarial functions

Prepare and manage minutes, agendas, report collation and distribution

Managing follow up actions as required.
Administrative support:

Provide support to the Healthy Families Waitakere team as required

Prepare and format correspondence, reports and letters to a high standard

Manage Healthy Families Waitakere filing systems to a high standard

Attend meetings as required to take high quality minutes, record actions and circulate in a
timely manner
Financial team support:

Process Healthy Families Waitakere invoices in accordance with Sport Waitakere financial
procedures

Support the Sport Waitakere accounts team with Healthy Families financial administration as
required
HR support:
 Support with administration of the Healthy Families recruitment as required.
Other:
 Provide support for the community action teams as appropriate
 Perform responsibilities in a way that seeks continuous improvement
 Any other reasonable tasks as directed by the Healthy Families Waitakere manager as
required.


Contribute to the effective functioning of Healthy Families Waitakere

Demonstrate appropriate and professional workplace conduct

Assist with the recording and reporting back on activities and progress to the Ministry of
Health

Attend all required Healthy Families NZ workforce development opportunities and
participate in all relevant networks and communities of practice

Utilise specific infrastructure and support provided


Knowledge and Experience

A minimum of 5 years administration experience

Advanced knowledge of Microsoft Word, Excel, Outlook and Powerpoint

Excellent customer service skills

Excellent numeracy skills and attention to detail

Excellent time management

Current valid driver’s licence

Excellent written and oral communications skills with the ability to foster good stakeholder
relationships through consultation and partnership

Proven experience setting up and managing office systems and processes

Minute taking and secretarial functions for committees.
