POSITION DESCRIPTION TITLE: Special Events Coordinator PERFORMANCE PROFILE SOURCE: Professional DEPARTMENT: Development REPORTS TO: Director of Development Exempt Non-Exempt PRIMARY FUNCTION: Works with the various staff members, Board, and committee members to plan and execute fundraising and special events and monitor progress against attendance and funding goals. Supports Chief Professional Officer and Development Director in positioning Board to cultivate and solicit donations from individuals, corporations, foundations, and others to meet goals. KEY ROLES (Essential Job Responsibilities): Leadership 1. Provide leadership and direction to the executive staff, the Board of Directors, and events committees in the effective development and execution of events to raise funds required to fund Club operations and deliver programs within the community. Strategic Planning 2. In collaboration with Director of Development, develop and implements a strategic plan to hold an annual slate of events and recommend new events that may enhance the funding of services or Club awareness. • Researches and analyzes agency, corporate and individual donor base and recommends event solicitation strategies. • Logistically prepares for each event including but not exclusive of event staging, promotion, entertainment, venue, refreshment, prizes, and props • Works in coordination with event committee to execute events including obtaining sponsorships and solicitation of gifts. • Provides support for various fundraising projects/initiatives assigned by Director of Development, 3. Ensure the evaluation of event activities and identify opportunities to improve results. Board Development 4. Identifies, recruits and trains board members and community members to participate in planning and developing events 5. Encourages and support board/event committees responsible for planning and implementing development activities. Resource Management 6. Participate in the development, implementation and monitoring of the Club’s annual budget, controlling expenditures within the budget and maintaining donor and financial records in accordance with standards. Partnership Development 7. Develop strategic alliances with community leaders, local officials, donors and prospects. Develop collaborative partnerships with other community organizations, members, parents, families, funders and community organizations. Marketing and Public Relations 8. Through events, increases visibility of Club programs, services and activities and maintains good public relations with donors and prospects. ADDITIONAL RESPONSIBILITIES: 1. Ensure design and development of public relations documents for use in the promotion of events, and education of public, including press releases. Ensure the development and distribution of marketing documents. RELATIONSHIPS: Internal: Maintain oral and written contact with the Development Director, Event Committees, staff peers, and volunteers for the purpose of exchange of information, to provide progress reports regarding activities and planned programs, and to coordinate events. External: Maintain oral and written contact with agencies, business leaders, community groups, boards of directors of such organizations, and the media for the purpose of exchanging information and ideas and for the purpose of fundraising. SKILLS/KNOWLEDGE REQUIRED: Bachelor's degree from an accredited college or university (desired) A minimum of three years’ work experience in non-profit agency operations, specifically in the organization of events, sales/marketing or equivalent experience Considerable knowledge of fund raising techniques, and sources of funding the non-profit agencies and organizations Knowledge of: the mission, objectives, policies, programs and procedures and of the principles and practices of non-profit organizations, youth development services preferred. Ability to organize and coordinate event operations Strong oral and written communication skills, both verbal and written Ability to establish and maintain effective working relationships with Club staff, Board members, volunteers, community groups, and other related agencies Knowledge of accessing and utilizing a donor database Excellent interpersonal skills and the ability to work well with all types of people PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: Please evaluate and describe any physical skills, abilities or working conditions that are required to perform the essential duties of this position, as required by the Americans with Disabilities Act.
