These are put in place to enable Let’s Get Sociable to run its services as smoothly as possible and to assist the comfort of all who use its services. 1.Confidentiality All personal information that you provide to Let’s Get Sociable will be treated in confidence and will be held securely. Staff at Let’s Get Sociable will never share information about you without your consent. If Let’s Get Sociable has reason to believe you are in danger of harm, or of harming others then we would have to follow the appropriate safeguarding guidelines as set out by the Safeguarding Authority. 2. Use of Outside Providers Let’s Get Sociable will often source outside providers to provide activities. These providers will be reputable companies who use specially trained staff to ensure you receive the best possible service. These companies will hold their own public liability insurance and risk assessments. By agreeing to our terms and conditions you also agree to abide by the terms and conditions of any outside providers used on the activities / outings - these are available on request. 3. Attendance Customers are asked to telephone Emily before 10am (on an evening activity) and by 8.30am on a daytime activity to inform us if you will not be attending due to illness etc. 4. Refunds We require a minimum of 7days notice should you wish to cancel your booking. Your request can be made in person, in writing or by email: [email protected]. All deposits once paid are non-refundable. Should you provide less than 7days notice to cancel your booking we reserve the right to invoice you for the full amount of the intended booking price. Should you repeatedly cancel bookings we reserve the right to refuse further bookings to ensure a smooth running of service to all of our customers and to ensure that our service is available to those who require it. Providing you give more than 7 days notice to cancel your booking – you will lose your deposit only. In exceptional circumstances we may allow a deposit to be transferred to a different outing – but this is at the service manager’s discretion.’ *For any daytrips / activities that are outside of Bournemouth / Poole area as well as any theatre trips / shows either in our out of the local area – the full balance must be paid 14 days prior to the event. We require 14 days notice to cancel your booking for these particular outings and outings affected by this t&c will have a note on the dairy of events to make you fully aware. If less than 14 days notice is given you will lose the full amount of monies paid. 5. Attendance It is important that you do your best to arrive on time to ensure everyone gets the best from the service and to ensure where appropriate – we don’t miss any public transport arrangements! If you are going to be more than 15 minutes late we may not be able to wait for you and you may have to meet us at the destination for that outing –we can assist you with booking alternative transport where needed but this will be at your own cost. Please telephone the duty number if you believe you will be more than 15 minutes late. 6. Support Let’s Get Sociable provides qualified and experienced staff & volunteers to support clients during their outings. Staff and volunteers have their own enhanced DBS checks that have been checked by Emily Kelly SUPERVISION Should any client choose to arrive at the agreed meeting point earlier than the arranged time, or leave the group after the session times they will not be supervised and do so at their own risk. 6.Health & Safety Let’s Get Sociable takes health & safety very seriously. Should it deem necessary; you may be asked to have a risk assessment completed prior to participating in certain activities. You would need your carer / support staff to assist you with this. We reserve the right to refuse a booking if the risk assessment deems the activity too high a risk to yourself or others and there are no adaptations available to reduce that risk to a safe level. 7. Medication / Health problems It is your responsibility to inform us of any medication that you are taking or of any changes to your health that may affect your ability to participate safely & fully in any activity / outing. Where possible; Let’s Get Sociable will adapt activities – if this is not possible to do this then Let’s Get Sociable reserves the right to refuse your place in that activity but will do it’s best to find an alternative – this may be on another date. We cannot be held responsible if we are not fully aware of any issues that may occur due to a health related problem or incident of this nature. If there are certain risks associated with your health and the activity you have requested could potentially pose a high risk to your health then it may be necessary for us to request medical consent from your GP prior to accepting your place on an activity. We reserve the right to refuse your place until this consent is received. All information is held in strictest confidence. 8. Equipment / Appropriate Clothing Please ensure that you arrive with the necessary equipment (if required) and appropriate clothing for the activity / outing. We will provide you with information on this when and where applicable. This advice is often provided for safety reasons and we cannot be held responsible for any injuries caused by failure to follow the appropriate advice. 9. Behavior Let’s Get Sociable has experienced staff & volunteers who have worked with challenging behaviour and will support where necessary. However; Let’s Get Sociable reserves the right to refuse a placement on an activity should behaviour be displayed that poses a risk of harm to yourself or others. Any form of abuse will not be tolerated and you may be asked to withdraw from our services should this occur. We will provide warnings where appropriate and offer support with any difficulties you may be having, but if any incident is deemed serious enough you may be asked to withdraw from our services with immediate effect. 10. Changes to programme Let’s Get Sociable aims to provide consistent programmes with a range of activities / outings on offer. Let’s Get Sociable reserves the right to cancel / amend advertised activities in the event of an outside provider being unable to provide their services at short notice. Should this happen; Let’s Get Sociable will do it’s best to provide an alternative activity on the same allocated date / time. Let’s Get Sociable requires group activities / outings to have a minimum of 4 bookings to be able to go ahead. Should the minimum number not be fulfilled then Let’s Get Sociable reserves the right to cancel the event. Where this is the case; we will aim to provide an alternative on another date – if this is not suitable then we will provide a full refund of any monies paid. 11. Payment All bookings require a deposit to be paid in order to secure your place. These are non-refundable. The remaining balance must be paid no later than 7 days prior to the event taking place. If you are booking less than 7 days before the activity then full payment is required immediately. 14. Spending money / additional costs Let’s Get Sociable will clearly state what is included in the cost of each activity / outing. You may wish to bring additional spends for gift shops, snacks and / or drinks. This is done so at your own risk. 15. Availability Some activities may have limited places - where this is the case Let’s Get Sociable may arrange an additional date should there be a minimum demand of 4 people for a group activity. It may sometimes be possible to call upon additional support workers to assist with a larger group – but again this would need to be for a minimum of an additional 4 people and is subject to availability of the support workers that volunteer with Let’s Get Sociable. We limit our groups to a maximum of 10 people per outing – however this may be less on occasions depending on the activity. 16. One to one support We understand that group based activities may not be for everyone. For this reason; Let’s Get Sociable can sometimes offer one-to-one support on activities / outings. Please contact us to discuss this should you require this service. All the individuals within a group will be offered appropriate support throughout their time on any of our outings / activities. Should and individual require a lot of one to one support within a group setting this can sometimes be arranged but it may involve an additional cost. Unless it is agreed from the outset that an individual requires intense one to one support we are happy for individuals to come out on some outings where their level of support needed can be assessed further before a decision is made on this. 17. Insurance: Let’s Get Sociable holds full public liability insurance. We may require you to bring your own personal support staff (at your own cost) should any of your support requirements be at a level that would not be covered by our insurance policy. You will be advised of this should this be the case. Should you require the use of a mobility scooter you would need to have your own public liability insurance for this as our insurance policy would not cover its use – you are required to hold your own policy.
