Schools DMS - Before You Begin

Schools DMS - Before You Begin:
A short guide to what you will need to create your Schools DMS
account and register School Direct courses for the 2018 to 2019
academic year.
IMPORTANT: Please do not register courses until NCTL has
announced the registration period has opened. Registrations lodged
before this will not be approved to recruit.
If you are creating a new account to use the Schools DMS, or are simply revisiting in
order to register courses in the next cycle, there are few things you should be aware of
before starting. This information will help you to get through the process as quickly as
possible.
1. As a school you can have one user registered at any time.
2. You will need to create a new user account if you have not used the system
before. You will be required to enter a username, create a password, your first
name, second name, and provide a valid email address so that you can receive an
authorisation message.
3. After you have confirmed your user account via the authorisation message, you
will be able to login to the Schools DMS. The first time you do so, you will be
asked to answer a few quick registration questions. These must be answered
before you can continue.

At the time of this collection you are using the schools' most up to date 'identity'.

At the time of this collection your school was graded 'Good' or 'Outstanding' at its
last Ofsted inspection.
(Please note if you answer negatively to any of the two questions above, you
will not be able to proceed and are required to create a new Lead School
account)

Did you participate in School Direct last year?

Count of number of schools in your partnership – this is an automated calculation
– you are not required to enter any data

What help did you have in putting together your School Direct programme?

A partnership marketing name to be used by UCAS. (Please note the NCTL may
request a change to this name in cases of duplication).

A partnership contact's first name.

A partnership contact's second name.

A partnership contact's role.

A partnership contact's email account.

A partnership contact’s telephone number.
(The partnership contact information will be the main point of contact between the
NCTL and the lead school for all information related to School Direct, such as the
Teacher Recruitment Bulletin. It will also be passed to UCAS to supplement their
contact with lead schools. It is preferable that this is not the same person as defined
in the user account details. The marketing name will be the only name
used/referenced by UCAS).
4. The bulletin is the main source of in-year information and important updates on
School Direct. There is no separate mailing list for the bulletin and it is the
responsibility of the main contact to disseminate information. It is therefore
recommended, where possible, that you create an email account that is either
shared between staff, or is specifically created for School Direct communication
(for example, [email protected]). This could be used for both the
user account and the partnership contact if accessible by multiple staff members.
5. If you are a new lead school you will be required to associate your account with
your record in our database. You should have to hand either the URN, DfE
Number or post code of your lead school. All of these can be found by using the
search function on Edubase at http://www.education.gov.uk/edubase/home.xhtml .
6. When you are ready to register your courses you should have to hand a
combination of information that includes the ITT partner provider, the programme
type (School Direct programme or School Direct programme (salaried)), the
course aim (whether QTS only, or QTS plus academic award), in the case of the
latter the awarding institution, and finally the number of people you plan to recruit
to each registered course.
7. Lead schools also have to have an account with UCAS in order to confirm their
registrations. Please make a note of your NCTL ID number which UCAS will need
on their joining form. The NCTL ID number can be found in the top right hand
corner of each Schools DMS screen next to the text “Your provider ID is:”.
